Kobo Toolbox

Introduction

• Kobo Toolbox is a free suite of tools used for digital field data
collection on mobile devices or laptop computers.

• It is created by researchers at Harvard University for use by field


researchers and humanitarian organizations.

• There are two separate instances of Kobo Toolbox for humanitarians


and other users.

• It is free to create an account and collect data, with no limits on the
number of data collection projects. Users can collect up to 10,000 form
submissions with their projects per month and store up to 5GB of
survey attachments collectively in their user account (photos, videos,
audio recordings, PDF, etc.). If you require more submissions or
storage, please contact us at [email protected] to arrange for a
paid subscription.

• If you are an organization providing humanitarian assistance, please


use OCHA's KoboToolbox installation instead, which provides an
unlimited number of submissions.
Who is KoboToolbox for?

•KoboToolbox was built for humanitarian aid professionals but can be


used to suit any of your data collection needs.

•The users range anywhere from governmental organizations, search


and rescue teams, UN agencies, large and small NGOs, to business
consultancies, accounting firms and individuals.
Which Server Should I Use?
• KoboToolbox is free and open source software that can be installed on
any computer or server.
• The vast majority of users use one of the two options: The
Humanitarian Server hosted by UN Office for the Coordination of
Humanitarian Affairs (OCHA) or the Non-Humanitarian Server hosted
by KoboToolbox.

KoboCollect

• The KoboCollect is an Android app used


for collecting data on mobile devices. Once the app has been
configured to connect to the form author’s KoboToolbox account,
forms can be downloaded into the app ready for data collection.

• These forms will work even without an internet connection. Once the
mobile device has an internet connection, the collected data can then
be transferred to the KoboToolbox platform.

GIC-Collect
• GIC-collect is an ios app and can be used
instead of kobocollect in ios mobiles.

Enketo web forms
• In addition to the KoboCollect mobile application, data can also be
collected using Enketo web forms.

• These forms can be sent to respondents for online data entry on their
mobile devices, laptops or desktops. As with KoboCollect, they can
also be used for offline data entry, particularly in cases where
responses will be recorded by enumerators (data collectors), instead
of the respondents themselves. While responses can be stored
offline, the device will initially need an internet connection to load the
form.

Installing KoboCollect & Connecting it to Kobotoolbox
• If you are using mobile devices
for data collection, install
KoboCollect
• To install KoboCollect,
search KoboCollect on
Play Store and install it.

Note: if you are using OCHA


server the URL should be:

Configuring KoboCollect
• Form Management:
• Auto send:
we can sent the form automatically by
selecting the Wifi or Cellular option.

• Delete after send:


check this option if you don’t want to keep the
submitted form in you phone memory.

• Form filling -> Constraint processing behavior

Downloading the Form

• This is the home page of ODK Collect App.


• Downloading the Form:
After configuring the server settings,
the “Download form” button should be clicked
in order to download the form we shared with
the enumerators and want to collect data for.
Filling Form
• Filling the form:
To fill the downloaded form the green button
(+ Start new form) should be clicked and
the form can be filled step by step.

• The form can be sent after answering all of
the questions or can be saved as a draft if
we need to edit it later.

• The circled button is used to save the form


as a draft in case you don’t want to fill the form
at once.

• Sometimes you need to not send the form directly


even after completion, in this case uncheck the
“Mark form as finalized” and click the
“Save Form and Exit” button.
Edit Saved Form
• Forms which are not marked as finalized
will be displayed and edited by clicking the
“Edit Saved Form” button. Remember, that
all files which are listed under the Edit Saved Form
are not sent to the server and are saved in
your phone. They need to be marked as finalized
and should be sent to the server otherwise your
data will not be collected.
Note: if you have any draft form, their number will

Delete Saved Form
• Sometimes you will need to delete a form which
you don’t collected data for.
