Application Overview
Here is a screenshot of how the greytHR application looks.  Get familiar with various areas on
the screen to get the most out of the application.
Key Activities
GreytHR is packed with useful features to help you work efficiently and get a lot more
done in no time. Here are some key activities that can be done from within the
application.

HR Activities
Employee Onboarding  

• add employees
• import employee data
• assign manager to an employee 
• Update employee information
• Prepare employee letters (address proof, confirmation letter, etc.)
• Confirm employees on probation
• Employee exit (resignations)
Payroll Activities
Update salary information
Revise salaries
Update loss of pay information
Stop payment for an employee
Process payroll
Verify payroll
Review salary statement for the month
Compare current month's payroll with last month for differences
Payout the salaries 
Bank transfer
Cheque or cash payments
Print or email payslips
Accounts journal entry/voucher
Publish payroll information to employees

Add an employee:

Click on the Employee Menu bar > This enables to open the Employee Information Page.
Click on the Actions tab > This enables to open the options for updating employee information.
BASIC INFORMATION > UPDATE THE BASIC INFO AS PER THE
APPLICATION.
CLICK ON THE NEXT > TAKES YOU TO NEXT PAGE.
EMPLOYEE POSITION > UPDATE EMPLOYEE POSITION
DETAILS.
CLICK ON THE NEXT > TAKES YOU TO NEXT PAGE
 
PF & ESI > UPDATE EMPLOYEE PAN NUMBER, PF & ESI DETAILS IF APPLICABLE,
SELECT INCLUDE OPTION. IF NOT APPLICABLE LEAVE IT WITHOUT ANY
SELECTION
CLICK ON THE NEXT > TAKES YOU TO NEXT PAGE.
PAYMENT MODE > UPDATE PAYMENT MODE DETAILS
OF THE PARTICULAR EMPLOYEE.
CLICK ON THE FINISH > COMPLETES ADDINING A NEW EMPLOYEE.
HOW DO I UPDATE EMPLOYEE INFORMATION?

•Click on the Employee menu bar > This enables to open the Employee Information Page.
•Click on the Employee Information > Enables the options to update employee information .
• CLICK ON THE EMPLOYEE PROFILE > UPDATE THE INFORMATION RELATED TO
EMLOYEE.
SELECT THE EMPLOYEE > LOCATE THE EMPLOYEE WHOSE INFORMATION NEEDS TO BE UPDATED..
CLICK ON THE EDIT BUTTON > TO UPDATE NEW INFO OR TO EDIT THE EXISTING INFO.
SELECT AN INFORMATION CATEGORY THAT YOU WISH TO MODIFY FROM THE LEFT PANE.
CLICK ON THE POSITION HISTORY > EMPLOYEES VARIOUS CATEGORY
INFORMATION'S LIKE DEPARTMENT, DESIGNATION,
LOCATION, GRADE ETC WILL BE DISPLAYED.
TO ADD A LOCATION CLICK ON ADD DETAILS BUTTON FOR LOCATION
UPDATE.
Update Salary Info

Here are the steps to update the salary details of an employee:


1. Click on the Payroll menu bar > Enables to open the payroll updating options.
2. Click on the payroll inputs tab > This enables to open salary updation options
•The Salary Information Page opens. You need to search and select the employee
for whom the salary information is to be viewed or updated.
THE GROSS COMPONENTS ARE THE INCOME COMPONENTS OF THE
EMPLOYEE. SOME GROSS COMPONENTS ARE PRO-RATED AND SOME
ARE NOT. THE PRO-RATED COMPONENTS WILL HAVE A
CORRESPONDING FULL INCOME COMPONENT.
•All the components will get updated automatically through a formula, lookup or special processing.
•Post processing click on the save button .
POST SAVING CLICKING ON THE PROCESS BUTTON, IT WILL REDIRECT
TO SALARY UPDATION PAGE.
CLICK ON PROCESS.

How to release IT declaration for Employees?


•Click on Payroll Menu Bar > This will enable to open the payroll options.
•Click on Actions > This will enable to option Action items.
•Click on Release / Lock IT Declaration.
•It will redirect to a IT declaration page.
SELECT THE EMPLOYEES TO WHOM IT DECLARATION HAS
TO BE RELEASED.
SELECTION CAN BE MADE FORM THE DROP DOWN AVAILABLE ON LEFT TOP OF THE
EMPLOYEE LIST.
•Post selection click on Release Selected. Post that click on continue
that appearing in pop-up as below.
Similar to release we can also lock the IT declaration for the emloyees
Create a new payroll month.
Complete all pre-processing activities for the month
•Click on the Payroll Menu bar > This will enable to open payroll process options.
•Ensure that the current payroll month is selected.
•Click on Process Payroll > This will help in asking few checklist steps that has to be completed. If
completed click on the particular operation to go to other option. Else there will be an option where
it can be redirected to a particular page for completing a task.
•Post completing checklist click on process payroll .
POST COMPLETING CHECKLIST CLICK ON PROCESS PAYROLL.
TO COMPLETE THE PROCESS FASTER, CAN CLICK ON THE OPTION
QUICK PROCESS.
PAYROLL STATEMENT
 

PAYROLL STATEMENT IS ONE OF THE MOST COMMONLY USED REPORTS OF THE


APPLICATION. THIS IS QUITE FEATURE RICH AND ENABLES YOU TO DO THE
FOLLOWING:

1. CREATE ANY NUMBER OF REPORTS


2. FOR EACH REPORT, YOU CAN:
3. SPECIFY THE COLUMNS THAT YOU WANT AS PART OF THE REPORTS
4. YOU CAN INCLUDE MOST OF THE EMPLOYEE INFORMATION COLUMNS, LIKE NAME,
NUMBER, DEPARTMENT, COST CENTER (ANY CATEGORY), JOIN DATE, PF NUMBER, BANK
NAME, ETC.
5. YOU CAN INCLUDE SOME OR ALL THE PAYROLL COMPONENTS.
6. SPECIFY THE ORDER IN WHICH YOU WANT THE COLUMNS TO APPEAR
7. YOU CAN GENERATE THIS REPORT FOR ALL OR FOR A SUBSET OF EMPLOYEES
8. YOU CAN GROUP THE REPORT BY ANY CATEGORY - LIKE DEPARTMENT, COST CENTRE,
LOCATION
9. YOU CAN GENERATE REPORTS THAT CONTAINS ALL EMPLOYEES OR REPORTS THAT ARE
SUMMARIZED.
10. EACH REPORT CAN BE PRINTED OR GENERATED TO AN EXCEL FILE. TO SEE THE REPORTS
ON EXCEL YOU WILL NEED OFFICE 2007 AND ABOVE INSTALLED ON YOUR PC.
How do I generate a Payroll Statement?

•Click on Payroll Menu Bar > Enable’s to open payroll related activities.
•Click on Actions > Enable’s to open the options related to payroll operations.
Payroll Reports
How do I generate various reports in Greytip Online?
All the reports that you can generate in Greytip Online are available under the Reports menu.
Payroll Statement, Payroll Differences and Query Builder (adhoc querying module) are available
directly under the Reports menu. You can generate all other reports by visiting the Reports
Gallery.
Payslip
How do I print / email / publish Pay slips to employees?
