NAIROBI MONTESSORI SCHOOL

COMPUTER LAB INSPECTION & STATUS

REPORT
Compiled by the ICT Department

Date: 02/12/2025 Inspector: Joseph Odhiambo

1. EXECUTIVE SUMMARY
A full operational and security assessment of the computer laboratory was conducted to determine system
readiness, compliance status, and overall performance. The evaluation focused on hardware health, software
licensing, account security, and network reliability.

The lab is generally functional and stable, with all machines successfully connected to the school WiFi.
However, several compliance and operational issues were noted, including software licence activation gaps and
a critical overheating issue on one unit. These findings require timely intervention to maintain system reliability
and safeguard the school’s ICT infrastructure.

This report presents clear findings and prioritised actions to support informed decision-making and ensure the
lab remains secure, efficient, and aligned with institutional ICT standards.

Summary:

 All computers connected via stable WiFi.

 Only three active issues found as listed.

3. SECURITY & COMPLIANCE STATUS

3.1 Software Licensing and Activation

Proper software activation is essential for receiving updates, maintaining system integrity, and ensuring legal
compliance.

 Computer 3: Microsoft Office not activated – requires licence validation.

 Computer 4: Windows not activated – limits updates and reduces system protection.

3.2 User Account Configuration

To maintain system security and prevent unauthorized changes, the recommended structure is:

 Administrator Account – full privileges, password protected.

 Student Account – restricted access to prevent installation, configuration changes, or system alteration.

Current Observation:

 Student accounts pending full implementation on some machines.

 Admin accounts functioning as expected.

3.3 Security Tools

2
 Windows Defender active on all systems.
 Regular security updates recommended immediately after activation issues are resolved.

4. NETWORK STATUS – WIFI CONNECTIVITY

All computers demonstrated stable connectivity to the school WiFi network. Internet performance was
consistent across all workstations, with no interruptions or latency issues reported.

Recommendations:

 Maintain WiFi password confidentiality to prevent unauthorized access.

 Ensure WPA2/WPA3 encryption remains active to safeguard network traffic.

5. HARDWARE & ASSET CONDITION

5.1 Physical Condition

 All computers in good physical condition.

 No damaged components reported.

5.2 Performance Health

 SSDs ensure fast boot and smooth performance.

 Overheating issue detected on Computer 4.

5.3 Overall Hardware Status

 Lab hardware condition rated: Good.

 With activation fixes, overall performance will be optimal.

6. RISKS IDENTIFIED
RISK 1: Unsupported Operating System (Windows 10)

Computers still running Windows 10 are at high security risk because Microsoft no longer provides security
updates, patches, or vulnerability fixes. This exposes the systems to malware, ransomware, data breaches, and
performance instability.

RISK 2: Unactivated System Software

Unactivated Windows or Office installations limit essential updates and reduce overall system protection.

RISK 3: Overheating Hardware

Computer 4 exhibits overheating, increasing the likelihood of system failure or long-term hardware damage.

RISK 4: Inconsistent Software Environment

3
Mixed operating systems complicate maintenance and reduce efficiency in teaching and system management.

7. RECOMMENDATIONS
High Priority (Immediate Action Required)

1. Upgrade all Windows 10 computers to Windows 11 to restore security, ensure support, and eliminate
risk from unsupported systems.
2. Activate Windows on Computer 4 to enable updates and restore system security.
3. Activate Microsoft Office on Computer 3 for full productivity capability.
4. Diagnose and resolve overheating on Computer 4 to prevent hardware damage.
5. Implement the recommended two-tier user account structure (Admin and Student) across all devices.

Medium Priority

6. Deploy classroom management software (e.g., Veyon) to enhance instructional control and monitoring.

Long-Term Enhancements

1. Upgrade older devices to 16GB RAM (where applicable) to improve multitasking and long-term
performance.
2. Replace aging machines (7+ years old) with newer models to ensure reliability and support future
software requirements.
3. Introduce periodic hardware servicing (cleaning internal components, thermal paste replacement,
airflow checks) to extend lifespan and prevent overheating.
4. Plan for phased replacement of non-uniform systems to maintain consistent hardware across the lab.

8. CONCLUSION
The computer lab is operational, stable, and ready for instructional use. Only a few issues require attention—
mainly system activation and cooling on one machine.

With the recommended fixes implemented, the lab will meet full ICT standards and provide a secure, efficient
learning environment.
