Topic – : Attendance Register

6.1 Introduction
The attendance register is one of the most essential records of a school. It is used to record
the daily presence and absence of students, teachers, and non-teaching staff. This document
reflects the regularity and discipline maintained within the institution.
Separate attendance registers are maintained for the Headmaster/Headmistress, teachers,
non-teaching staff, and students. Through this record, the number of persons present or
absent on a given day can easily be determined.
Earlier, attendance registers were maintained manually on paper sheets or in books.
However, many schools have now adopted biometric attendance systems for staff, though
most schools still record student attendance manually.

6.2 Types of Attendance Register


There are mainly two types of attendance registers used in schools —

 a. Staff Attendance Register:

All teachers and staff members, including the Headmaster/Headmistress and non-teaching
staff, are required to arrive at school by 10:45 a.m. If anyone arrives after the morning
assembly, the word “Late” is marked in red ink beside their name. If a staff member is late
six times in a month, one Casual Leave (CL) is deducted. The departure time at the end of
the school day is also recorded.

 b. Students’ Attendance Register:

The class teacher records the presence and absence of students daily. The symbol “P”
denotes presence and “A” denotes absence. Each student is given a School Diary. If a student
is absent, a letter signed by the guardian explaining the reason for absence must be shown
to the class teacher on the following day.

6.3 Importance of Attendance Register


 Helps maintain school discipline and regularity through daily attendance records.
 Facilitates the calculation of average attendance of teachers and students.
 Helps monitor the academic performance of students by maintaining their attendance
records.
 Assists in preparing yearly attendance summaries for each student.
 Allows analysis of leave and absence reasons for teachers, staff, and students.
6.4 Format

6.5 Observation
After the Covid-19 pandemic, the system of classroom teaching has undergone many
changes. At present, students from classes IX to XII attend school on alternate days.
Students of classes X and XII usually attend on Monday, Wednesday, and Friday, while
students of classes IX and XI attend on Tuesday and Thursday. Meanwhile, the
Headmaster/Headmistress, assistant teachers, and non-teaching staff attend school from
Monday to Saturday regularly.

6.6 Conclusion
The attendance register is an integral part of school administration and academic
management. It helps determine the annual and average attendance of teachers, staff, and
students. It serves as a vital document ensuring regularity, responsibility, and
organizational discipline within the school.
