TASK 2 : REFLECTIVE REPORT / ESSAY

Introduction
This reflective report documents my journey through the preparation, recording, and
post-production stages of a video presentation proposing a teambuilding course for
the administrative and support staff at our company. The purpose of this reflection is
to evaluate the challenges, decisions, and learning that occurred throughout this
process. Understanding how I planned, delivered, and refined this professional
communication exercise has reinforced important language-based skills, business
etiquette, and relationship-building strategies relevant in workplace contexts.
Reflecting critically on these aspects allows me to continuously improve my ability to
communicate confidently and effectively in a professional environment.

Reflection on the Process


Planning Stage
The planning stage was fundamental in shaping the success of my presentation.
Initially, I identified key issues faced by the administrative and support staff, focusing
on limited departmental collaboration and low staff morale. To ensure clarity and
professionalism, I structured my report around a formal board meeting format:
introduction, detailed course proposal, supporting evidence with visuals, and a
persuasive conclusion.

I spent significant time researching effective teambuilding concepts and gathering


data to include in graphical aids such as bar charts and pie charts. Writing the script
involved careful vocabulary selection and grammatical accuracy to maintain a formal
yet accessible tone for the audience. I rehearsed the script multiple times to ensure
smooth delivery, emphasizing natural language flow rather than a rigid reading.
Recording Stage
Recording the video presented several challenges. Speaking to a camera without
immediate audience feedback initially felt uncomfortable, requiring me to consciously
maintain direct eye contact with the lens to simulate connection. I encountered
technical difficulties such as adjusting lighting to avoid shadows and finding the ideal
camera angle to capture my upper body clearly for effective non-verbal
communication.

Maintaining a confident voice while moderating pacing to remain within the 7-10
minute limit demanded multiple takes. At times, nervousness led to small stumbles
over words, which I addressed by pausing, breathing, and restarting parts smoothly.
Throughout the recording, I focused on correct pronunciation of technical terms, an
engaging tone, and incorporating hand gestures and facial expressions to complement
the spoken message.

Post-Recording Stage
After completing the recording, I reviewed the footage carefully to evaluate both
verbal and non-verbal elements. I noted certain segments where my pacing was
slightly rushed or my gestures appeared restrained. Editing focused on ensuring
transitions between slides and speech were seamless and that visuals appeared on
screen at appropriate times for clarity.

Uploading the final version to Google Drive and testing the accessibility of the
shareable link was the last step, underscoring the importance of technical competence
alongside communication skills.

Challenges and How I Overcame Them


A significant challenge was overcoming nervousness and adapting to speaking
without an immediate audience, which I mitigated through multiple rehearsals and
recording short segments rather than attempting one long take. Technical hurdles like
lighting adjustments were solved by experimenting with natural light from a window
in my room combined with adjustable lamps.
The complexity of balancing formal language with natural delivery was addressed by
practicing aloud and making script edits to simplify phrasing where necessary. I also
asked a peer for feedback on pronunciation and tone before final recording, which
helped boost my confidence.

Timeline and Importance of Creativity and Professionalism


My preparation spanned approximately four days in total. I allocated two days for
research, scripting, and slide design, which included the creation of graphical aids
such as bar and pie charts through PowerPoint. One day was dedicated solely to
rehearsals, focusing on timing and delivery refinement. The final day involved
recording multiple takes and performing basic edits.

Creativity played a critical role in designing engaging visuals that supported my


verbal points, allowing complex data to be presented simply and memorably.
Choosing appropriate colors, fonts, and graphs enhanced audience comprehension and
maintained professionalism.

Professionalism was demonstrated not only in content structure but also in


appearance, tone, and adherence to board meeting conventions. Wearing business
attire and maintaining a tidy, neutral background reinforced the seriousness of the
proposal. The combination of creativity and professionalism ensured the presentation
was both appealing and credible, which is essential when addressing senior
management.

Reflection on Improvements and Ease of Process


Reflecting upon the process, I realized that dedicating additional time to rehearsing in
front of a camera or mirror could have further improved my comfort with on-screen
presence and reduced the number of retakes. Simplifying some slide content might
have allowed smoother transitions and more confident narration.

Using more advanced recording equipment and software would have mitigated minor
audio fluctuations and video quality concerns experienced with my basic webcam and
microphone. Creating a more controlled environment, free from background noise and
distractions, would enhance video clarity.

The main advantage of video recording is the ability to practice and perfect the
delivery with the option to edit errors, resulting in a polished final product.
Conversely, this advantage is balanced by the time demands of multiple takes and
post-production. An alternative method, such as a live virtual presentation, might
foster more viewer interaction and immediate feedback but would limit opportunities
to revise the message.

Feedback from a Viewer


I shared my video with a trusted colleague experienced in public speaking and
corporate communication. They found the presentation well-organized, clear, and
professional. The graphical aids were praised for simplifying complex data
effectively.

Their constructive feedback focused on speech pace, suggesting I slow down slightly
for better audience comprehension. They also recommended including more real-life
examples during the activities section to add relatability and impact. Furthermore, a
few suggestions were made to vary tone more to sustain audience engagement
throughout the presentation.

Receiving this external perspective emphasized the importance of audience-centered


communication and continuous improvement. I intend to integrate such feedback into
future presentations to enhance effectiveness.

Personal Thoughts on Completing the Task


Overall, completing the video presentation was a valuable and enriching experience.
It challenged me to integrate research, content development, technical skills, and
formal communication within a realistic professional context. While initially
daunting, the process fostered greater confidence in public speaking and digital
presentation.
If given a choice, I would consider live presentations or interactive webinars as
alternatives for certain workplace scenarios, as they encourage dynamic engagement
and immediate response to audience queries. However, for recorded formal proposals
like this task, the video format offers the advantage of controlled messaging and
quality assurance.

This project has deepened my understanding of the critical role of language accuracy,
non-verbal communication, creativity, and business etiquette in relationship-building.
These insights will significantly benefit my professional development and future
communication endeavors.

Conclusion
This reflective report has critically examined my journey through preparing,
delivering, and refining a video presentation as part of a workplace communication
assignment. The process highlighted the challenges of adapting to digital delivery, the
importance of clear and professional language, and the value of creative and visual
aids in supporting persuasive communication.

Feedback from others enriched my understanding of effective presentation dynamics,


while reflection on the overall experience reaffirmed my commitment to continuous
improvement in communication and interpersonal skills.

Reflective practice, as demonstrated here, is an essential component of developing


confidence and competence in professional contexts. Moving forward, I am motivated
