office for practical reference. In the goal I am
working with care and love with and easy
approaches. While making this work I got affected
by COVID on 20.05.2021 which breaks my
progress. Upto 20.05.2021 my works are being
publish and updated version would come with
times gradually. This is not a complete book rather
a handy companion in which so many things not
having so much practical value has been omitted.

CSI; CORE SYSTEM INTEGRATOR


CSI is a program for postal operation made by TCS. It replaces the meghdoot and speed net
software. It has certain new concept like

General ledger code


DOP is using 15 digit general ledger ac no but in CSI those number are converted into 10
digit GL code.

Accounting
It use double entry accounting system i.e. debit and credit. There are 3 type of accounts.
1. Personal Accounts- debit the receiver and credit the giver
2. Real Accounts- debit what comes in credit what goes out
3. Nominal Accounts- debit all expenses credit all income

Centre and Facility ID


1. Profit centre- office getting income
2. Cost centre- office bearing expenditure
3. Fund centre- office estimate budget

All three centre are same Facility centre [office] having a facility ID like 2622110201

Component of CSI

Now a day’s Postal operation are done through the following three components of CSI
i.e. Core System Integrator
1. BO- Back office
2. POS- Point of sale
3. SAP- System application and products

BO(Back Office)
In back office we have to perform supervisor works as well as dispatch PA works. the
two main component that are use are PO OPERATION and IPVS

POS(Point of sale)
In point of sale we perform the counter PA works , the main button that’s are use are
Mail, E payments, Product sales, IPO, Money remittances, Miscellaneous Services, Finance.
Besides these button there are also other button but we have to do most of our work with these
button.

SAP( System application and products)


This is the only component which we have to do online. Here we do DPMS, F & A , SSA
and HRMS works mainly.

WORK FLOW IN A POST OFFICE


(With effect from 16.10.2019)

1. Run the Three Communication


a. start Database Server
b. Run Mobilink_client_Daily
c. Run Mobilink_claint_High
2. BO>PO operation>PO begin
>counter allocation
> receive cash and others from F&A >supply to counter
3. Generate Daily Account (previous day) by transaction code ZFR_DAY_NEW at SAP
4. POS >shift begin> accept allocation > Do normal works
5. SAP>do work under DPMS>take return at DPMS
6.BO>IPVS>DO Dispatch Works
7. SAP>Do voucher Posting in F&A
8. POS >balance Transfer > BO> approval > POS>submit account> BO>approval
>shift end at POS>
9. Do EOD at finacle >DO EOD at DPMS

POS BACK OFFICE

In BO we do the supervisory works as well as Dispatch works. We use the menu ‘’PO
OPERATION’’ for supervisor and ‘’IPVS’’ for dispatch PA .

PO OPERATION
a. Do PO begin > allocate counter
b. Receive cash and stamp form F&A > supply to POS Counter
c. Do supervisor approval for EMO, cash remittance and submit ACs at POS
d. Do PO end
IPVS
a. Dispatch PA login > select CLOSE BAG> create the bag> scan article and close bag [
save button can be use to include article later]
b. Choose ‘’Virtual Sort’’ for auto separation of article
c. Select ‘’RETURN & REDIRECT’’ for fetch Article
d. We can use ‘’Mark PENDING ARTICLE’’ for deposit and dispatch article

POS [POINT OF SALE]

1. After login to POS we see three button in right corner > click on daily operation button
>click on shift begin button
2. Click on the back button on left below corner
3. Do the counter transaction
4. At the end do cash transfer ,submit account and shift end

SAP [SYSTEM APPLICATION AND PRODUCT]

SAP is totally online module. Login to SAP and invoke t-code ZDOP_MAIN we will go
to the custom screen of postal dept. In our office we do the following sub component of SAP
1. DPMS [delivery and postman management system]
2. F & A [finance and accounting]
3. SSS [staff scheduling system]
4. HRMS [human resources management system]

DPMS [DELIVERY AND POSTMAN MANAGEMENT SYSTEM]

We can go to DPMS by 2 method


1. Invoke ZDOP_MAIN > click on DPMS
2. Invoke ZMODPMS to reach directly to DPMS screen

POSB; POST OFFICE SAVINGS BANK

Post office Savings bank facilities are available since 1882 in our country. The DOP operate
POSB Schemes on behalf of Ministry of Finance, Government of India. It has the followings
schemes. In each of the scheme nomination is mandatory now.

SAVING BANK ACCOUNT

Can be opened by a single or joint holder with minimum balance of 500 rupee. Can avail
cheque facility also. Minor and lunatic account can be opened by proper guardian. Interest is
4% now. Interest earn up to 10000 per financial Year is exempted from income tax.

RECURRING DEPOSITE ACCOUNT

Can be open by a single person or jointly upto 3 person with a minimum deposit of 100 rupee
and there after the multiple of 10 rupee. It is deposited for a period of five year and can be
extended up to another five year. It can be closed after three year. Loan facility is available after
one year.

TIME DEPOSITE ACCOUNT

Can be open by a single person or jointly upto 3 person with a minimum deposite of 1000 rupee
and no maximum limit. It is deposited for one, two, three or five year. It can be closed after 6
month. It can be pledge as security.

MONTHLY INCOME ACCOUNT

Can be open by a single person or jointly with a minimum deposite of 1000 rupee for a period
of five year. Maximum limit for single account 4.5 lakhs and joint account is 9 lakhs. A fix
income is generated every month. It can be closed after one year.

SENIOR CITYZEN SAVING SCHEME ACCOUNT

It can be open by a person after 60 year or taken vrs after 55 year and retired army person after
50 year of old. Minimum diposite of 1000 rupee and maximum deposite of 15 lakhs. Interest is
paid quarterly on 31st March, 30thJune, 30th September and 31st December.

PUBLIC PROVIDENT FUND ACCOUNT

Can be open by a single person for a period of 15 year with a minimum deposit of 500 rupee.
Minimum 500 rupee and maximum 1.5 lakhs can be deposited in a financial year. It has income
tax benefit. Loan can be avail from third year to sixth year. Partial withdrawal can be done after
seventh year.

SUKANYA SMRIDDHI ACCOUNT

Can be opened by guardian of a girl child under 10 year of old with a minimum of amount 250
rupees. Minimum deposit is 1000 and maximum 150000 per financial year. The deposite period
is up to 15 year from the opening date. Maturity period is 21 year from the date of opening.
Upto 50% can be withdrawal incase the child attained 18 year or passed 10th standard. Account
can be closed after marriage of a child after attaining 18 year.

NATIONAL SAVING CERTIFICATE

It can be purchase individually of on behalf of a minor or lunatic with a minimum deposit of


1000. It has income tax benefit up to 150000 rupee. It can be pledge as security.

KISHAN VIKAS PATRA

It can be purchase individually of on behalf of a minor or lunatic with a minimum deposit of


1000.it can be encashed after 2 year 6 month. It can be pledge as security.

2. For Medium risk – where total deposit of customer is between 50000 to 10 lakh a]two

proof or form 60 or 61 and any identity proof

3. For High risk- where total deposit of customer is above 10 lakh a] all documents of
medium risk + b] proof of source of fund

POST OFFICE LIFE INSURENCE

Postal Life Insurance came into existence in 1st February 1884. Now a day it is driven by Post
office Life Insurance Rule 2011. Post office Life Insurance are of two type 1] PLI –postal life
insurance 2] RPLI- rural postal life insurance. The RPLI is with effect from 24th March 1995.

POSTAL LIFE INSURANCE

Type - 1] Whole Life Assurance 2] Convertible Whole Life Assurance 3] Endowment


Assurance 4] Anticipated Endowment Assurance 5] Joint Life Assurance 6] Children Policy

Sum assured Limit – minimum 20000/-(twenty thousands) maximum 5000000/-(fifty


lakh) in the multiple of 10000/-(ten thousand). Up to sum assured of 500000/-(five lakhs no
medical examination needed)

Anticipated Endowment Assurance – Introduced with effect from 1st February 1984.
Two type of policy available 15 year and 20 year policy. Minimum age is 19 year and
maximum age is 45 for 15 year policy and 40 for 20 year policy. Four installments (money
back) will be paid to the insurant.

Joint Life Assurance – introduced with effect from 1st August 1997. The policy will be
issued to a person with his/her spouse. The term of this policy is 5 year to 20 year. Age at entry
is in between 21 to 45 year.

Children Policy – Introduced with effect from 20th January 2006. The sum assured is
minimum 20000/- (twenty thousands) maximum 300000/- (three lakhs) or the sum assured of
guardian whichever is less. Maximum is 100000/- one lakh in cash of RPLI. The age of the
child be between 5 to 20 year and the age of the main policy holder will be below 45 year.

Central Processing Center (CPC) – Branch of Head Office where all works relating to

Due Date – The first day of the month for which premium is payable.
Free Lock Period – 15 day from the delivery of the policy when the insurant can cancel
the policy.
Paid Up Policy – A policy which require no further payments of premiums.
Proposer/proponent – who apply for the policy.
Grace Period – Up to the last day of the calendar month in which the due date of
premium fall.
Premiums – The periodical payments of a policy.
Void – A policy which is less than three year and a due premium is not paid within the
grace period.

SOCIAL SECURITY SCHEME

These schemes were announce by the Government on budget for 2015-2016. These
schemes were launch on 9th May, 2015for providing life and accidental insurance with
affordable cost.

Pradhan Mantri Suraksha Bima Yojana (PMSBY)

Age group 18 to 70 having accounts. Risk cover 200000/-(two lakh)for accidental death
or full disability rs 100000/-(one lakh) for partial disability. Premium is rs 330 per annum
deducted from holder account. This scheme is offered by Life Insurance Corporation.

Pradhan Mantri Jeevan Jyoti Bima Yojana (PMJJBY)

Age group 18 to 50 having accounts. Risk cover 200000/-(two lakh) in case of death of
the holder stretching from 1st June to 31st May and is renewable. Premium is rs 12 per annum
deducted from holder account. This scheme is offered by general insurance company.

Atal Pension Yojana (APY)

Age groups 18 to 40 years. A minimum pension of 1000,2000,3000,4000 and 5000 is


guaranteed at the age 60 year. The contribution is based on pension amount chosen. If the
subscriber demise then the spouse will get the pension amount till the death. If subscriber and
spouse demise then the nominee will get the pension.

SOME KINDS OF LEAVE WE AVAIL


CASUAL LEAVE

The number of casual leave is 8 days per year for who has 17 holidays and 10 days per year
who has not 17 holidays. Casual leave can be taken for half day also. It should not normally
grant for more than 5 days at a time. Sunday or holiday can be suffix or prefix to CL. There are
provisions of special casual leave for sports events, cultural activities, mountaineering, trekking,
family planning, natural calamities, bandh and other purposes also.

EARNED LEAVE

15 days is credited in January and 15 days is credited in July every Year. If somebody join in
the middle of the year then 2.5 days is credited for each completing months. EL can be avail up
to 180 days at a time. It can be taken up to 300 days as leave preparatory to retirement.

HALF PAY LEAVE

10 days is credited in January and 10 days is credited in July every Year. If somebody join in
the middle of the year then 5/3 days is credited for each completing months. HPL can be avail
with or without medical certificate.

COMMUTED LEAVE

Not exceeding half of HPL can be taken on medical certificate. It can be taken without medical
certificate up to maximum 90 days in the entire service. It can be taken up to maximum of 60
days by a female with maternity leave or with adaptation of a child.

MATERNITY LEAVE

180 days during pregnancy and 45 days for miscarriage or abortion. It is granted on full pay.

15 days is granted. Up to 15 days before or up to 6 month after the date of delivery it can be
taken.

LEAVE NOT DUE

LND is granted when no HPL is available. It is granted on medical ground. The amount of LND
is limited to the HPL that one will earn and maximum 360 days

EXTRAORDINARY LEAVE

It is normally granted when no other leave is admissible. It is granted Up to 3 month with or


without medical certificate up to 6 month with medical certificate of common illness up to 18
month in case of cancer, mental illness likes illness. EOL may be granted to regularize the
period of absence without leave.
