Before You Start

Students desirous to complete the degree by research must acquire the consent of their
supervisors (it is the duty of research student to acquire the consent of a faculty member for
the supervision of his / her research) as soon as the final semester commences. Students
desirous to complete the degree by internship will be assigned the supervisors after the
culmination of final semester.

Following are some general guidelines to facilitate students in preparing their internship
report:

Internship Report Weightage and Marks

It is important for the students to understand that the internship report is an integral part of
their degree program. It has a weightage of 3credit hours and carries 100 marks. Out of the
100 marks, the internal supervisor/faculty will assign marks out of 50, based on the quality of
the internship report produced by the student. The remaining 50 marks will be assigned to
viva voce examination conducted by an external examiner, appointed by the Exam section
upon the recommendation of the semester committee.

Assigning a Supervisor/Faculty to the Student

Each student will be assigned a supervisor/faculty and the student is expected to be in close
liaison with the supervisor during the preparation of the internship report. How do the
supervisor and supervisee contact with each other depends on the mutual agreement between
the two, e.g., on campus meetings, online meetings via skype or communication through
emails etc.

Content of the Internship Report


Following is a model outline of the internship report.
1. Title Page
2. Scanned copy of the internship certificate (provided by the organization)
3. Acknowledgment
4. Executive Summary

6. Description of the Organization/Company/Institution
7. Internship activities performed

1. Title Page
 Student’s full name
 Company or Institution name
2. Scanned copy of the internship certificate (provided by the organization)
 Attach the scanned copy of your (original) Internship Completion certificate
provided by the organization.

3. Acknowledgment

 In this section you acknowledge the help and support of the people who
helped you in completion of your internship and internship report e.g. the
company staff, course instructor, family or any other person.

4. Executive Summary
 A page summary of the company which would include short description of the
major activities carried out during the internship period
5. Table of Contents
 Contents of the ‘Report’ with page numbers
 List of figures and tables
6. Description of the Company/Institution
 Company’s name, brief history, full mailing address and relevant web links.
 Type of ownership
 Information about ‘sector’ that the company operates in.
 Information about the ‘product or services’ offered to its customers.
 Customers or end users

 Organization chart
 Most importantly, provide list of functions performed by different departments
(e.g. Admin/Procurement, Finance/Audit, Marketing/Events management, HR and
Legal department etc.)
Note: Inform the examiner/reader about the type of company or business,
location, etc. Mention the department or division you worked in while providing
the organizational chart.
7. Internship Activities
 Describe your working conditions & functions: who is your supervisor, team
members or co-workers and what their functions are to complement yours.
 Provide an organogram or organizational chart
 Provide the department or function layout
 Process chart of major product(s) and service(s)
 What kind of operating procedures and principles are used in the company
i. Describe the quality control activities throughout the life cycle of the product
or service
ii. What kind of financial analysis and decision making methods are used in the
company
 What kind of incentives system the company has in order to create more effective and
efficient organizations?
 Critically analyze the systems and internal controls of the company
 Clearly describe all the strengths, weaknesses, opportunities and threats of the
company as a result of above analysis
 A comparison between theory and practice must be made (for example, things you
have learnt in the classroom versus what you actually did or observed at the company
or institution)
 Show some work samples that you have encountered or conducted and include them
in your report such as small cases

Note: This is the heart of your internship report and will largely determine your
grade. What you did and what you learned; here, you can explain chronologically the
kinds of tasks performed. Tell the reader exactly what you did on the job. Describe
duties/chores in detail. Include writing and/or account work as well as all other duties.
Most importantly, describe what you have learned in this whole experience

8. Recommendations
Recommend solutions for the problems/control deficiencies (you have pointed out in
critical/SWOT analysis) found in the company.

 Problem identification: Clearly identify and describe the problem
 Consequences of the problem: Identify how the problem is affecting the company.
 Solutions: Suggest a solution to the problem. You need to document your solution
based on your program of study. You need to properly reference whatever sources
you use in forming the solution.
9. How your degree prepared you for the internship
 In this section, try to explain to reader as in how different courses in different
functional areas such as HR, Marketing, Finance & accounting; guest lectures;
industry mentorship helped you prepare for internship
11. An assessment of the Internship (self-evaluation / self-judgement)
Students/Internees should be able to answer the following questions:
 Skills & qualifications you think that you have gained from the internship
 Responsibilities you have undertaken during that period
 How do you think internship will influence your future career plans
 How do you think the internship that you carried out are correlated with your
classroom knowledge
12. Conclusion of the report
 A summary of key conclusions derived from the internship experience
 This is your review/ feedback of your experience in terms of pros and cons of it.
As an internee what did you learn, was it important and did that experience made
you find more about yourself. Try not to be informal in write up here, convince
the reader or examiner that you have learnt some knowledge, investigation and
intelligent deduction during your internship period. Be very specific in depicting
your experience
 Also, include your general observations about the sector in which your internship
company/ organization operates
13. References and Bibliography
 Refer to all those sources which you have used in gathering information, e.g.,
academic journals, books, annual reports, organizational reports, departmental
reports, magazine articles, newspaper articles, websites, etc.
14. Appendices
Attach the following supporting documents in this section:
 Organizational charts/ organogram
 Graphs, brochures, letters
 Photographs, etc

Note: Incorporate specimens/samples of the work you did at the internship- that could
be any of the above document(s). What you include here will be determined by the
kind of internship you did.

Format of the Internship Report


This section explains the format of the internship report.
1. Length of the Report
 The normal length of the report, inclusive of notes, bibliography and appendices, has
been determined as follows:
a) The minimum requirement of the report is 5000 words and it should not exceed
10,000 words.
2. Language
• English must be used
3. Font
• All text should be printed in Times New Roman
• All text should be 12-point with the exception of chapter headings.
4. Layout and Paper
• Printed single-sided on white A4 paper
• The left hand margin should be 40mm (1.5”); all other margins 20mm (0.75”);
• Text should be in a single column and left-aligned
• Double spacing between lines, including appendices and bibliography, but excluding
quotations, footnotes or captions, which may be single-spaced
5. Pagination
• Number pages consecutively throughout the report from the Introduction, including
all pages whether textual or otherwise
• Page numbers should be Arabic numerals, i.e. 1, 2, 3
• Numbers should be located centrally at the bottom of the page
• Preliminary pages (e.g. Contents) should be numbered using lower case Roman
numerals, i.e. i, ii, iii
6. Chapter Headings and Sub Headings
• Begin new chapters on a fresh page
• Chapter headings should be in Title case, centre of the page, bold 14-point font,
preceded by “Chapter” and the appropriate number

• Section headings should be in Title case, bold 12-point font, left-aligned

• Sub-section headings should be italicized, bold 12-point font, left-aligned

• All headings should be consistent, providing a clear indication of changes in content
and emphasis. No further section subdivisions other than those described above
should be used.
7. Figures and Tables
• Number consecutively either throughout the report (Table 1, Figure 2) or within
individual chapters (Table 1.2 , Figure 2.3), but not within sections or sub sections
• Refer to figures/tables within the text as Table 1, Figure 2, etc.
• Numbers and captions should appear at the bottom of the table/figure
