File
❑ A file is a unit used to store data on computer storage devices.
❑ A filename is the name used to uniquely identify a file within the file
system. A filename includes:
o name – base name of the file
o extension – represent the format of the file
For example, .msi (Microsoft installer), .pdf (Portable Document Format)
❑ A filename cannot contain any of the following characters: \ / : * ? “ < > |
❑ Size is the current size of the file in bytes, kilobytes, …
❑ Location is the folder path containing the file.

Folder
❑ A folder is an item used to store files or other folders.
❑ Folders are hierarchical to form a folder tree structure.
In Windows OS, the highest-ranking folder in the folder tree is called the disk, denoted
by an alphabet letter followed by a colon.
For example, the disk is named D, symbolized as D:
❑ Path is a string of characters used to uniquely identify a location in a folder
structure.
In Windows OS, the backslash character \ is used to separate directories in the path.
For example, D:\informatics\windows\folder

Shortcut
❑ A shortcut is a reference link to a folder or file.
❑ Shortcut is a type of file and its extension name is .lnk (link).
❑ Shortcut has an icon that resembles the file or folder it refers to along with
an arrow symbol in the left bottom corner.

❑ Use key combianation Alt + Left Arrow or press Backspace key to return
the previously opened folder – Back button

❑ Use key combianation Alt + Up Arrow to move up one folder in the path, it
means that move to the folder containing the current folder.

The search string is case-insensitive.
❑ File extension names are counted as one word.

❑ Use {starting characters of a word or whole word (1)} to find items.
❑ Use the AND operator or space character to separate {(1)} words without ordering to find
items that contain all {(1)} words.
❑ Use the OR operator to separate {(1)} words without ordering to find items that contain at least
one of the {(1)} words.
❑ Use double quotes “ ” to contain {phrase (2)} to find items whose names contain the exact
words in the order in {(2)} phrase.
❑ Use parentheses ( ) to contain {(1)} words to find items whose names contain in any order in
{(1)} phrase.
Each word in {(2)} phrase counts as a whole word.
❑ Use the NOT operator to negate the clause behind (left side) of NOT.
❑ Both {(1)} words and {(2)} phrases can be applied as values in keyword syntax.

❑ Use an asterisk character * to represent any number of characters (a
natural number).
For example, find all files with .TXT extension: *.TXT
❑ The asterisk character can be used with double quotes.
For example, find all items whose names have words starting with the
letter A and words ending with the letter Z: “A*Z”

❑ Use question mark characters ? to represent characters:
o If at the beginning of the search string, the question mark represents
zero characters or a number of any characters equal to the number of
question mark characters used.
o If at the end of the search string, the question mark represents zero or
all remaining characters of the search string regardless of how many
question marks are used.
o If in the middle of the search string, a question mark represents any
single character.

❑ Keywords searched by date (date, datecreated, modified, datemodified,
before, after) can have a specific date value (for example, 20/10/2023) or
the following time phrases: today, yesterday, this/last week/month/year.
❑ Keywords such as size, date, datecreated, modified, datemodified can use
the following operators in the value clause:
o Comparison operators: >, <, >=, <=.
o Range operator double dot .. to limit a range of values.
For example: 1MB..3MB
equivalent to >=1MB <=3MB or >=1MB AND <=3MB

❑ Use keyword filename to find items by name is similar to using {(1)} words
in syntax without using keywords, asterisk * and question mark ? are
enabled, but question mark ? will only represent any single character
regardless of its position.
❑ Use parentheses ( ) to combine {(1)} words or {(2)} phrases in syntax
without using keywords to make the value for keyword filename.
