METHODS OF DATA CAPTURE

DATA CAPTURE: Entering of data into the computer. These include the following:

a) Key-to-Disk: Capturing of data using the keyboard


Advantages:
 The keyboard is cheap to buy

Disadvantages:

 Entering of data using the keyboard is very slow


 The rate at which errors are made is very high
b) Optical mark Reading(OMR): This is used in marking of multiple choice answer sheets
Advantages:
 It is fast to mark papers as it covers a lot over a short period of time
 Rates at which errors are made is very low
Disadvantages:
 It has high data rejection rates
 Expensive to maintain the device

c) Optical Character Recognition (OCR): It involves the use of a scanner to read data and
compares it with the one that was previously stored in the computer. It is used to read
data on passports at immigration
Advantages:
 It can read various types of data e.g. graphics, text etc.
 Fast in capturing data
 It is accurate in capturing data

Disadvantages:

 It has high data rejection rates


 Expensive to maintain the device

d) Magnetic Ink character Recognition(MICR):Detects characters written in special ink


e.g. used in bank cheques

Advantages:

 Security of data is high

Disadvantages:

 Cannot work on any data i.e. works on data that is printed on ink

 Rate of data rejection is also high

e) Barcode Reading: It is reading of the thick and thin lines with corresponding number at
the bottom of the lines on an item that represents information about it.

Bar Code: The thick and thin lines with the corresponding number at the bottom of the
lines that represent data about an item

Advantages:

 Fast in capturing data


 It is accurate in capturing data
Disadvantages

 It has high data rejection rates


 Expensive to maintain the device

f) Magnetic Encoding: This is used in automatic teller Machine (ATM) Cards. Types of
those cards include:
a. credit cards
b. Debit cards
Here there is a magnetic strip where data is captured and these are usually protected with
a password.

Advantages:
 Fast in capturing data
 It is accurate in capturing data
Disadvantages:
 It has high data rejection rates
 Expensive to maintain the device

Turnaround Document: A document produced by the computer, filled manually and later used
as input to the computer e.g. electricity bill.
