Excel Guide – Charts

Creating a Chart

Charts allow for a visual representation of selected data. It is important to select only the data/area to be
charted. Select the labels first; values/formulas second. Select subsequent areas of a worksheet by using
the Ctrl key.

Select the Source Data and Begin Creating Chart

• Select the source data in to create the chart


• Ensure to include column headings if
required (example A3 to D6 shown in
diagram)

• Click on the Insert tab ~ Charts group


• Select the chart from Recommended Charts tab or the All Charts
tab

Customization of Chart

Chart location defaults to centre of worksheet


Chart Design and Format tabs available on Ribbon to customize the chart

Charts can be embedded on a current worksheet or moved to a new worksheet

• Select the chart to move


• Click on Chart Design – Move Chart
• Select New Sheet and rename sheet

Apply various features to the charts as


necessary such as chart titles, location of chart,
data labels, and more.

Ensure the chart is selected to edit components


of the chart.

Elements of a Chart

A chart has various elements. Some elements are displayed by default; others can be added as required.
Change the display of the chart elements by moving them to other locations in the chart, resizing them, or by
changing the format. You can also remove chart elements that you do not want to display.

1) Chart Area
2) Plot Area
3) Data Series
4) Horizontal (category) and vertical (value) axis along which the data is plotted in the chart
5) Chart Legend
6) Chart Title
7) Data Label (example callout) to identify the details of a data point in a data series

Chart Elements

Chart elements such as axes, axes titles, chart titles, data labels, data tables, gridlines and other elements
can be added based on the type of chart.

Sparklines

A sparkline is a small chart in a worksheet cell that provides a visual representation of data. A sparkline is a
tiny chart in the background of a cell.
Sparklines show trends in a series of values, such as seasonal increases or decreases, economic cycles, or
to highlight maximum and minimum values. Position a sparkline near the data for greatest impact and
reference. Show features such as high points, low points, negative points, and other.
• Click on the Insert tab ~ Sparklines group
• Select the type of Sparkline
• The Create Sparklines dialog box appears
• Highlight the Data Range and click on OK
• Copy the Sparkline to appropriate cells
