Access 2 System Software Version 3.2 (and Higher) Notes


You have received either a software upgrade package for your current PC, or a new or replacement PC with
software version 3.2 or higher installed. For a software upgrade package, complete the instructions in the
information update (IU) Upgrading Your Access 2 System (P/N A84691) to install the software.

Updated features delivered in Access 2 system software version 3.2 and higher are described in this IU. These
features are not yet updated in the Help system. Be sure that all Access 2 system operators review this IU before
operating the system with the new software.

Updated features:
• Selecting the Language—the updates for this feature are for Asian languages only
• System Backups—new or replacement PCs may no longer have tape drive technology, so the system
is now capable of backing up to a flash drive on a PC with a USB port
• Copying Data to a Storage Device—new or replacement PCs may no longer have 3.5-inch disk drive
technology, so the system is now capable of copying to a flash drive on a PC with a USB (universal
serial bus) port; LIS diagnostics data will be copied to your system PC
• Derived Result Setup—a test name can be included more than once in the same derived result formula.
• Help System

Some procedures in this IU refer to existing topics in the Help system. For assistance in locating these topics,
see the Help System Navigation Paths topic at the end of this IU. This IU is intended for use with Access 2
system software version 3.2 or higher. Retain this IU with your other Access 2 system documentation.

Selecting the If you do not use Asian language features of the Access 2 software or Help system,

the Help system. If you need to change the language of your Access 2 system either to

System Backups Access 2 Update

System If your Access 2 system has a tape drive, the procedure for backing up your system
Backups has not changed from the Scheduling System Backups or Performing Immediate
System Backups procedures found in the Help system.

The Access 2 system supports a Beckman Coulter backup flash drive (order
P/N A81923). System PCs are being upgraded to flash drive technology as new or
replacement tape drives become unavailable. The system stores the backup data on
the flash drive and on the disk drive of the PC, which maintains several of the most
recent backups. The flash drive can hold a maximum of 8 GB of data.

CAUTION
Beckman Coulter recommends using only the backup flash drive provided
by Beckman Coulter for scheduled and immediate system backups. To
avoid exposing your system to computer viruses or other threats, do not
use the backup flash drive on any other system or computer unless
instructed to do so by Technical Support.

If you have a backup flash drive, the first and last steps of the Scheduling System
Backups or Performing Immediate System Backups procedures in the Help system
should be updated according to the following text.
First Backup Step: Confirm that either a backup tape is loaded in the tape drive
or the backup flash drive is inserted in the USB port. Load or insert the proper
storage device, if necessary.
Last Backup Step: When the backup process is complete, the progress window
closes.
• If you have a tape drive, remove the backup tape from the PC and label it.
• If you have a backup flash drive, you may choose to rotate it with another
backup flash drive and store one of them in a secure place. Whether you
have one or two backup flash drives, Beckman Coulter recommends that
you keep one backup drive resident in the USB port. If it is not present when
a scheduled or immediate backup is requested, the backup will fail.

Copying Data On your Access 2 system you can copy data to a flash drive storage device using a
to a Storage USB interface.
Device
To copy test results, QC data, or diagnostic data, you can use either a flash drive or a
3.5-inch high-density disk as the storage device. When copying LIS diagnostics data,
you copy to the PC hard drive instead of a flash drive or a 3.5-inch disk.
• If your PC has a USB interface, you can order a backup flash drive from
Beckman Coulter (P/N A81923) to convert for use in copying data. Enable
USB ports by following the procedure in the Enabling USB Ports and

Installing the Backup USB Flash Drive IU document (P/N A54568), which
accompanies the flash drive. Rename the flash drive from BACKUPDRIVE
to a name of your choosing, following instructions provided in the IU.
• If your PC has a 3.5-inch disk drive, a set of 3.5-inch disks was delivered
when the instrument was installed.

CAUTIONS
• If you also back up your system to a flash drive, Beckman Coulter
recommends using separate flash drives for backup and copy to disk
functions. You may want to label the plastic casings of the flash drives
so you can tell them apart.
• To avoid exposing your system to computer viruses or other threats,
only use the flash drive or 3.5-inch disk on systems that are protected by
anti-virus software. If you are unsure whether a system is protected by
anti-virus software, contact your lab supervisor.

NOTE
The 3.5-inch disk drive may not be available in new or replacement PCs.

1 Be sure the system is in the Ready or Not Ready mode, then select the data to
copy. The following data can be copied.
• Test results from the Test Results screen.
• QC data from the QC Chart and Data screen.
• Diagnostics data (including test result data, QC data, event log information,
and system configuration information) from the Diagnostics menu.
• LIS data transmissions from the LIS Diagnostics screen.
For more information about selecting the data to copy, see the individual copy
to disk procedure in the Help system.

2 Insert a storage device into the PC. Exception: When copying LIS diagnostics
data, the storage device is the PC.
• To copy data to a flash drive, insert a flash drive into a port on the front of
the PC. If the front of the PC does not contain a USB port, use a port on the
back of the PC.

NOTE
For Access 2 instruments set up to perform system backups using a flash drive,
the backup flash drive will be in one of the USB ports. Use a different flash
drive and a different USB port to copy data.

• To copy data to a disk, insert a 3.5-inch disk into the 3.5-inch disk drive of

the PC.

NOTE
Be sure you insert the disk into the 3.5-inch disk drive of the PC, not the
Access 2 instrument.

3 Select Copy to Disk F6.


The Copy to Disk window is displayed. For an example window, see the Copy
to Disk window for test results pictured below.

4 Confirm that the correct drive is selected from the Drive list, or select a different
drive.
• When copying LIS diagnostics data, the directory C:\ is automatically
selected. Unless directed by Technical Support, do not copy any other type
of data to the C: ConsolePC drive.
• For a 3.5-inch disk, select drive A: .
• Unless directed by Technical Support, do not copy data to any drive labeled
BACKUPDRIVE.

5 The file name for LIS diagnostics data is LIS_mm-[Link] and


cannot be changed.

To change the default file name for other data file copies, enter a name and file
extension for the data file in the File Name field.
• The system supplies a default file name based on the date and time and
a .csv (comma delimited) extension.
• If the file name already exists, the system displays a warning message. To
overwrite the existing file, select Yes F1. To rename the new file, select
Cancel F8.

6 For QC data and LIS data transmissions, all data on the screen will be copied.
• For test results, select an option from the Copy what list. Data you select
will be copied.
• For diagnostics data, type a start date (the default date is seven days ago).
Data from that date forward will be copied.

‰ (Optional) For a 3.5-inch disk that is not formatted, select the Format disk box.

7 Select OK F1.
A progress window is displayed. To stop the copy process at any time, select
Cancel F8.

8 If the storage device becomes full before the copy process is complete, the
system displays a status message.
• For a flash drive, clear sufficient space on the drive, or copy the files to a
different flash drive.
• For a 3.5-inch disk:
- Remove the disk and label it with the data file names.
- Insert another disk, and select OK F1.
The system automatically names the file on the new disk the same as the
file on the first disk, and adds a disk number to the end.
EXAMPLE: If two disks are required to copy a test result file, and you
name disk one [Link], the system names disk two mydata(2).csv.
• For the directory C:\ used for LIS Diagnostics data, contact Technical
Support for assistance.

9 When the copy process is complete, the progress window closes. Remove the
storage device from the PC.
• If you copied LIS diagnostics data and you need assistance retrieving this
data, contact Technical Support.
• If you are using a 3.5-inch disk, label it.

Help System and Manual Updates Access 2 Update

NOTE
If you will be copying multiple files to one storage device, you can leave the
flash drive or disk in place for the next copy operation. For a 3.5-inch disk, be
sure to keep track of the file names so you can correctly label the disk when you
remove it.

Help System The Help system contains the following updates in all Help system languages:
and Manual • The radio frequency emissions statement is updated for CISPR 11 Class A.
Updates
• The following warning is added.

WARNING
Remove caps from all sample containers before loading on the Access 2 system.

For the French, Italian, German, Spanish, Japanese, and Simplified Chinese
languages, the Help system contains these additional updates:
• The content is updated to match the English Help system updates made in
system software version 2.8. The Help content now matches in all
languages.
• Keywords and operators for reflex testing and derived results formulas,
some of which were previously translated in error in the Help system, are
restored to the system required values.
• Many screen and report illustrations are updated with recent user interface
translations and test examples.

If your system was not previously updated to version 2.8, confirm that your
instrument Instructions for Use part number (P/N) is at revision R or higher (such as
English P/N 107405R), or order an updated Instructions for Use manual. The manual
pages released with software version 2.8 contain important safety labeling,
environmental, and ordering information updates, as well as corrected information
about the Substrate button turning to yellow or red.

NOTE
The Instructions for Use updates in revision R are included in the English
language Help system released with system software version 2.8 and higher.

The Help system in the software does not contain the rest of the information in this
IU. Retain this IU for reference until the Help is updated.
