CONSTITUTION
OF
OMIRA SELF HELP GROUP
Name of group
1. The group shall be called OMIRA SELF HELP GROUP.
2. LOCATION
The group activities will be located within Central Gem.
3. MEMBERSHIP
 To join the group, you will be expected to pay a registration fee of Ksh.1500.
 The registration is based on individual.
4. MISSION
 The group aims to empower registered members to improve their livelihood
through use of modern farming activities and different business undertaking.
5. OBJECTIVES
a) To improve farming activities by :-
i) Training of members on use of modern methods of farming
ii) Encouraging the use of certified seeds
iii) Use of artificial insemination as a means of improving livestock for
improved returns
iv) Commercial rearing of different types of poultry
b) To encourage and support registered members or group of such members which
are willing to start business activities or are already in business through training
or financial support where necessary.
c) To work closely with government agencies and non – governmental agencies so
as to meet the objectives set up in part (a) and (b) above.
d) To promote greater understanding and unity among registered community
members for faster achievement of their objectives and mission.

6. ADMINISTRATION
a) All the activities of the group shall be co - ordinated by elected members in the
following positions: -
i. Chairman
ii. Vice chairman
iii. Secretary
iv. Assistant secretary
v. Treasurer
vi. Organizing secretary / co – ordinator
vii. Internal Auditor

b) Term of elected office bearers
i) Election will be held after every two years.
ii) A member can be re – elected back into the office for a maximum of
three (3) consecutive terms.
iii) Election of officials will be by secret ballot.
iv) Notice of the election date will be given one month in advance before
the date of election.

c) Roles of officials :-
i) Chairperson
 To chair all committee, Special General and Annual General meetings
 To keep law and order during such meetings
 Link between the group and other agencies / group
 Bank signatory
 Spokesperson of the group
ii) Vice chairman
 To work hand in hand with the chairman in all the activities of the organization.
 To perform the duties of chairman in his/her absence.
 To perform any other duty assigned by the chairman as per the constitution.
 Shall Not be a Bank signatory

iii) Secretary
 To take minutes during meetings
 To keep clear records of minutes and other communication of the group
 Shall be a Bank signatory
 In charge of correspondence with other entities
 Giving notices of impending meetings including agenda.

iv) Assistant secretary


 To work hand in hand with secretary and carry out secretarial duties in the absence of the
secretary
 Shall Note a bank signatory

v) Treasurer
 To receive and receipt all moneys due, to the group such as registration fees, development
funds, emergency funds, donation funds e.t.c
 To keep proper financial records for auditing purposes
 Bank signatory
 Custodian of the group assets and thus keeps proper records of the same
 To keep record of all funds used by the group after official approval.
 Bank all moneys received within 24hours

vi) Auditor
 To audit the organizations financial records and present quarterly reports to the
organization.
 To work with external auditors if required
vii) Organizing secretary / co-ordinator
 To co – ordinate all group development activities in consultation with the other officials to
ensure faster implementation of approved activities.
viii) Co – opted members
 Part of the officials and expected to offer special pieces of advice on the implementation,
improvement, security e.t.c. concerning group activities.

7. BENOVELUND FUND
If the group loses
A member – Members shall contribute 500/
Spouse - Members shall contribute 1,000/=
Child - Members shall contribute 200/=
Parent - Members shall contribute 1000/=
Child Below one month 200/=
Child above 29dys 500/=
Married Daughter 500/=
Married Son 500/=

8. GROUP FINANCES
a) The group shall receive funds from the following sources

[Link] development contribution by the registered members
[Link] emergency payments by registered members.
[Link] and profits from donors and from group commercial activities.
b) Uses of moneys received
i. Registration fees
 Purchase of stationery for the group
 Registration of the group
 Transport, refreshment e.t.c for members during approved functions
 Any other expenditure approved by the group it will be paid once by
new members seeking registration at a rate of Ksh.500

ii.
Donations
 In case of donations, the funds given will be used for the project they are meant
for only.
iii. Interest / profits from group activities
 The group to decide from time to time depending on amount available either to
inject back into the group activities or give as bonus to members.

NOTE:
 If there is an approved activity, which require more funds to start or run than the
available resources, then the members or group of members undertaking the said
project, will be required to pay extra funds and to come up with by – laws to run
the project successfully.

9) BANKING
i. All moneys collected will be banked within 24 hours by treasurer
ii. Such moneys will be used as per dictates of this constitution
iv. There shall always be three (3) signatories to the bank account as specified under
administration and at least two (2) signatories are required to effect withdrawal of
funds.
v. The group members will decide on the bank to partner with.
10) MEETINGS
i.
Committee meetings will be called anytime a need for the same arises either to
address a specific need or to prepare an agenda of next meeting.
ii. There will be monthly meetings for all members to :-
 Review progress made during the month
 Contribute monthly development funds and emergency funds
 Plan for activities of the next month
 The meeting will be held on 28th every month between 2:00p.m and 4:00p.m.
iii. There will be an annual general meeting at the end of the year to review the
progress made during the cause of the year; to elect new officials if elections are
due and to give bonuses if there is.
iv. A special general meeting can be called any time should there be an emergency.

NOTE:
i. This group is purely a development group and is not politically aligned and will
work closely with other development partners within and without the location so
as to achieve the mission set out above.
ii. This being a group based on clan relation, there will be no room for withdrawal
of members after registration
iii. All the activities of the group will be carried out taking into consideration gender
rules and persons living with disability rules at all times.
11) DISCIPLINE
The group aims to foster cordial relationship between its members leading to greater
understanding and unity.
It is due to this thus causes of indiscipline such as Drunkardness, use of abusive
language, frequent absentees during meeting and group activities, misuse of funds,
assets e.t.c will be seriously penalized.

12) PROCEDURE FOR AMMENDMENT OF CONSTITUTION


a) If there is a need to amendments some sections of the constitution, then the
amendment will be proposed by a member during a general meeting and this
will be seconded by another member.
The members will then vote on the amendment and if approved by more than
2/3 of members, then the amendment will be adopted.
b) Adoption of the constitution
if the amendment is unanimously accepted then it will be adopted and members
will set the date for it to start being operation.

13) DISOLUTION OF THE GROUP
The group shall only be dissolved in case of bankruptcy among the members,
mismanagement of group’s funds, and as a result of serious differences among members
and the officials.

This shall only be done after involving the social services and ruling be made to dissolve
the group In case of dissolution the members shall distribute the shares if any
according to individual’s contribution.

Any groups property shall be sold and equal shares be allocated to the members. The
group’s certificate shall be withdrawn and returned to the social services department.
