Abstract
The internship report in broad-spectrum contains four chapters in which I
explain my two-month internship. The content in all chapters is broadly
explained and constructed from the practical basis carried out at Ministry
of Foreign Affairs of the Republic of Uganda. In the opening chapter
(Chapter one), I give details of the Ministry Profile, including its
background, Mission, Vision, Strategic objectives and the Core values. In
this chapter, I put emphasis on the historical background of the Ministry.
The Second Chapter is the most hunted chapter which explains my overall
internship familiarity in two months. This is the main Chapter where I
record the overall work I’ve been executing. It gives a highlight of what
I’ve been doing in the Ministry. After all those chapters explained above, I
go to the third chapter which explains the general analysis of the Ministry.
In this chapter, I used the S.W.O.T analysis to figure out some of the
findings regarding the performance of Ministry of Foreign Affairs of the
Republic of Uganda. This includes; the Strengths, Weakness, Opportunities
and Threats. The final and fourth chapter is Conclusion, Suggestions,
recommendations, the performance of the Ministry as well as the
Internship experience in general. Meanwhile I have included my
suggestions and recommendations in order to eradicate the weaknesses
of their department. Finally I have ended my report through including
references and sources that I have used to make this report.

skills without practical skills which is very important for them to do practices in order
to become familiar with the day to day working environment, where pressure,

Final internship or work related report

Abstract This report is based on the work related learning experience that I had
successfully completed with the Ministry of Small and Medium Enterprises and
Cooperative Development (MSMECD). The Ministry is a fully fledged Government
department which overseas micro, small and medium enterprises sector
development in Zimbabwe. During my attachment I performed several duties in
MSME development. The Ministry was a very good choice because I was able to see
how every function, process, development, assistance among other interventions
work in the field and how important are the SMEs for the country's community
livelihoods, peace building and economic development. One of the biggest
advantages of my internship was that I had the opportunity to experience different
working environments through the Ministry as I worked in every department. I was
expecting to use my knowledge that I gained during four semesters of study at the
university and I succeeded in my expectations because the work was very
multifunctional and besides using the knowledge I had, I also learned a lot about how
the Non-Governmental Organisation (NGOs) work in collaboration with the
Government in developmental issues. I learned several things during my attachment
and among them are livelihoods projects for social cohesion, peace building and
economic development, advanced computer skills, team work, working under
pressure, working with vulnerable communities, report writing, project proposal
writing and organizational communication skills. I also had an opportunity to interact
with other organization like UNDP, Silveira House, SNV, Techoserve, IRC, Help from
Germany, ILO, American Friends Committee among other notable developmental
partners which partnered with the Ministry in doing various developmental projects. I
also learnt that the involvement of stakeholders, planning process, implementation,
monitoring, and evaluation and maintenance of community projects, purpose of
NGOs in communities as basic service providers of local knowledge and livelihoods. I
also learnt the practical application of theoretical work learnt in class room mainly
with reflection and action. I recommend that, my host organization should keep
attaching college students with different educational backgrounds for work related
learning, to help build and improve the organization . Thus with the knowledge they
gained from their studies, as well give attachés room to be innovative and express
their skills in different ways and most importantly, strive to keep its integrity and
reputation in research and development. This will attract several developmental
partners and other key stakeholders thus keeping up in doing good work for the
development of the Zimbabwe, Africa and the world at large. Would aslo recommend
my University to include enterprenueral studies as a course in our studies since it is
of great importance in the changing world economies.

At the end of this internship, I would like to thank all those people who assisted me
along the way and made this internship enjoyable experience for me. Special thanks
to God almighty for wisdom, knowledge, and guidance during the entire training
period. I would like to thank Mr. Baguma Brian, the Managing Director of Spot
Surveyors and Engineering Consultants, for giving me chance and opportunity to
work in his organization in order to complete my six-week internship session.
Besides, I would like to extend my appreciation to my company supervisors, Simon,
Ambrose Okello, Isaac, Accleo , Mark. Under your guidance and advice, I am able to
apply theories learned in University to real life situations at the workplace and
complete this report on time. Furthermore, I would also like to express my sincere
gratitude to Jane Francis Matovu as the administrator for the coordination effort for
every industrial training student. Appreciation goes to the Government of the

This report is about a field attachment I (the student) undertook at Iowa State
University-Uganda program in Kamuli district in a period from 05/09/2022 to
28/09/2022. Chapter one is an introduction and presents the background and
relevance of the field attachment as a “field-based practical training experience that
prepares the students for the tasks they are expected to perform on completion of
their training. The chapter also gives brief details about ISU-UP including their
historical background, mission, vision, objectives and main activities. Chapter two
provides details of all experiences that were undertaken by the intern during the
training and these included activities, duties or responsibilities performed. I occupied
a position of a student learner and worked with all food-related sectors of the
organization namely; Nutrition education centers, postharvest handling, processing,
School feeding program and agriculture. Chapter three presents an evaluation of the
field attachment including new knowledge and skills gained, challenges faced, and
opportunities identified. I accomplished to a large extent the activities as anticipated
in the work plan and managed to achieve all objectives set for the program. The
main challenge faced was the limited time allocated to the field attachment. Chapter
four contains the conclusions and recommendations. The field attachment was an
opportunity for me (student) to acquire and apply a range of knowledge and skills
and I was exposed to the real-world experiences in the Food Industry. I recommend
that the internship period is extended to allow students have more time to interact
more effectively with the stakeholders of their respective fields

during my internship. During that period, I taught different Seven Ordinary Level

Classes, and Three Advanced Level classes in combination of MCB and BCG, namely
1 Combination of Senior Four Class, 1 Combination of Senior Five Class and 1
Combination of Senior Six Class. I taught English and Kiswahili in Senior One classes,
I taught French from Senior Two Classes to Senior Six Class. Thus, this report covers:
first, the description of the Petit Séminaire Saint Kizito de Zaza and its historical
background; second, my workload and all the activities, curricular, co-curricular, and
extracurricular; and third, conclusion and recommendations.

CHAPTER TWO:
INTERNSHIP EXPERIENCE
2.0 Introduction
This chapter captures the work done in the organization,
outcomes or the lessons learnt,
comparison of theory and practice, the personal impressions, as
well as the challenges met at the
organization. While at MoFA, I worked in different sections of
Registry Department. These
include;
 Open Registry
 Security Registry
 Records Centre

2.1 Work done during the Field Attachment


Orientation
Before the commencement of work activities, there was a
general meeting with the other interns
in which students took the oath of office and the oath of secrecy,
the students were also given rules
schedules; as per the Code of Conduct and Ethics for Uganda
Public Service (2005). I was placed
in the Registry Department. This orientation was done by Mrs.
Kinalwa Martha, the Senior
Human Resource Officer. While at MoFA, Mr. Ssemakula Bernard,
the Head of Registry
Department as well as my assigned host supervisor introduced
me to all the Registry and work
operations within the Department.
Receiving and sending documents/letters
Receiving
Throughout this work activity, documents reached the Registry in
a number of ways. Some came
through the mail, fax, or electronic mail (email) and most of
them by hand. The documents were
addressed in different ways; some were addressed to the
Ministry Department and some to
individuals by name and by title of office. On receiving a
document/mail, I opened and date-
stamped it and registered it in the incoming mail register. Some
of the details which were recorded
in the incoming mail register include;

 Reference number of the letter.
 Date of the letter.
 Date the letter was received.
 From whom the letter was received.
 Reference given by the writer of the letter.
 Subject of the letter

Sending
Once the letter was signed by an action officer, it was returned
to the registry for despatch. There
I recorded details such as the full address and reference number
as well as references of any other
correspondence of the letter. Then I made a copy of the letter;
one was to be retained by the
Registry for filing purposes and the other I recorded it in the
outgoing mail book, then dispatched.
File Classification
This involved the whole process of organizing documents and
records into an organized system
such that they were easy to track and retrieve. In this work
activity, I read the document carefully
and thoroughly so as to correctly determine the subject of the
document for correct classification.
This therefore led to easy locating and retrieval of documents
hence the smooth running of the
organization.

File Indexing
This work activity involved creating track cards (also known as...
card catalogues) for the file. I
filed records under uniform names and numbers chronologically.
This allowed easy access to the
Ministry record rather than digging through the boxes or filing
cabinets, since there was a central
location showing exactly where the file was located. This
expedited the process, thereby giving
back the precious commodity of time; in terms of information
retrieval and locating of files and
documents.

CHAPTER ONE:
INTRODUCTORY CHAPTER
1.0 Introduction
From 4th June 2019 to 31st July 2019, I had the privilege and
pleasure of joining the Ministry of
Foreign Affairs of the Republic of Uganda, in Registry Section for
my internship training.
The main purpose of this internship was to make me acquainted
with the necessary and required
skills and experience in the field of Library and Information
Science.
1.0.1 Reasons for carrying out internship at Ministry of Foreign
Affairs
The reasons for doing internship at Ministry of Foreign Affairs
were basically;
 To gain a more detailed understanding of the field of Library
and Information Science.
 To get acquainted with the necessary and required skills and
experience in the field of
Library and Information Science.
 To apply and relate the theory done in classroom into practical
work.
1.0.2 Background of Ministry of Foreign Affairs
Ministry of Foreign Affairs of the Republic of Uganda is a cabinet-
level government
ministry responsible for the implementation and management of
Uganda's foreign policy and
international activity.
MoFA has its headquarters located in Kampala-Uganda, with 33
Missions abroad and 1 consulate.
The Ministry has direct interaction with Foreign Missions
accredited to Uganda and International
Organizations in matters of bilateral and multilateral relations.
The Ministry also provides
information on Foreign Policy and advice to the Government,
Private Sector, Statutory bodies,
Parastatals and the general public.
The historical background of the Ministry dates to the
independence of Uganda on 9th October,
1962. Initially, it was administratively under the Office of the
Prime Minister. In 1971, it became
a fully-fledged ministry. In 1966, the position of State Minister for
International Affairs was
created, and in 1988 the position of State Minister for Regional
Affairs was added.
As of October 2016, Hon. Sam K. Kutesa is the Minister of Foreign
Affairs. He has held this
position since 2005. The State Minister for International Affairs
has been Hon. Henry Oryem

Okello since 2005. Since 1st March 2015, Hon. Philemon Mateke
has been the state Minister for
Regional Affairs.

Administration
As per the Public Service Act (2008), as specifically laid down in
the Objective Part III of the
Composition and Management of Public Service, No. 7, Section
(a), Subsection (2) of that Section;
empower the Minister to have the authority for the overall
management and administration of the
Public Service, including formulation and review of policies
relating to structures, management
systems, and the terms and conditions of the Ministry.
Departments within the ministry
Regional Peace and Security; The Department of Regional Peace
and Security handles issues
related to regional peace and security and other political issues
viz: immediate neighbours; Great
Lakes Region; IGAD; AU and related regional political
organizations; geo-political strategic
issues (i.e. oil, Nile, Lake Victoria etc.); terrorism; illegal small
arms and light weapons; drugs and
human trafficking.
