Overall Purpose
The County Admin and Procurement Assistant will be responsible for effective management of the reception
area and branch common areas, planning of events, volunteer/ membership management (with knowledge
on VMMS), handling incoming calls and visitors, recognition and coordination building repairs and
coordinating office communications. The officer will prepare documentation for branch events, managing
mail distribution, and providing clerical support such as scheduling meetings, volunteer management,
taking minutes of assigned meetings, and preparing correspondence, record keeping, both physical and
digital, assisting with procurement processes, inventory management, and supporting various
administrative tasks at the branch Reporting to the County Coordinator.

Duties and Responsibilities

 Proper record keeping of physical and online administration department documentation and
generating required MCE reports.
 Assist in the process of developing purchase requisitions within the branch and undertaking the
necessary procurement processes according to set policies and procedures.
 Assist in ensuring timely delivery of office supplies, inventory, and issuance of supplies to staff
and volunteers.
 Manage the reception area including responding to enquiries, receiving visitors, volunteers and
members in a professional way.
 Receive and direct all incoming calls at the reception while taking messages where necessary and
relaying them to the appropriate staff according to office procedures.
 Prepare invitations, programs and other relevant documentation for branch events and
coordinating distribution of office parcels and mail ensuring proper sorting of both incoming and
outgoing deliveries within stipulated timelines.
 Assist in follow up calls/emails to staff or any third parties to the office.
 Provide administrative and clerical support, including coordinating meetings and appointment
requests for staff/faculty, boardroom bookings, preparation of correspondence, memoranda,
notices to students, taking minutes and distributing to relevant staff etc
 Follow up on raised purchase requisitions on behalf of the branch and generate weekly reports on
the Procurement status.
 Assist with duties linked to Human Resources, Repairs C Maintenance, Finance, Legal and any
other administrative tasks.
 Issue and manage office purchased stock and maintaining updated records of inventory.
 Ensure cleanliness is maintained at the branch area by the assigned department.
 Sharing of branch updates, policies and regulations to volunteers and members.
 Any other duties as may be assigned by management.

Minimum Qualifications
 Diploma in HR/ Business Administration or any related field with a procurement
background.
 2 years’ experience as an assistant in administration or procurement.
 Volunteerism experience within Kenya Red Cross Society.
 Very knowledgeable in the organisation’s policies and the VMM System.
 Knowledge of Navision will be an added advantage.
 A deep understanding and commitment to the organisation’s policies and procedures.
