EXCEL FILE MENU NOTES
The File Menu (also called the Backstage View) in Excel 2021 provides options for managing files, setting
application preferences, and accessing document-related information.
1. Info
Usage: Displays details about the workbook and provides options to manage permissions,
inspect the document, and protect the file.
Key Options:
o Protect Workbook: Restrict editing or encrypt with a password.
o Inspect Workbook: Checks for metadata or hidden information.
o Version History: View and restore previous versions.
2. New
Usage: Creates a new workbook.
Steps:
1. Go to File > New.
2. Choose Blank Workbook or select a template.
Shortcut Key: Ctrl + N
3. Open
Usage: Opens existing workbooks.
Steps:
1. Go to File > Open.
2. Select a recent file, browse for a file, or access files from OneDrive or SharePoint.
Shortcut Key: Ctrl + O
4. Save
Usage: Saves the current workbook.
Steps:
1. Go to File > Save.
2. Choose a location if saving for the first time.
Shortcut Key: Ctrl + S
5. Save As
Usage: Saves the workbook with a different name, format, or location.
Steps:
1. Go to File > Save As.
2. Choose a location and specify a name or format.
6. Print
Usage: Prepares the workbook for printing.
Key Options:
o Printer Settings: Select the printer.
o Print Area: Define the content to print.
o Page Setup: Adjust margins, scaling, and orientation.
Shortcut Key: Ctrl + P
7. Share
Usage: Shares the workbook with others via email, link, or cloud.
Steps:
1. Go to File > Share.
2. Choose an option like Send as Attachment or Share via Link.
8. Export
Usage: Exports the workbook to other formats or creates PDF/XPS documents.
Key Options:
o Create PDF/XPS Document: Saves the workbook as a PDF or XPS file.
o Change File Type: Saves the workbook in formats like CSV, TXT, or older Excel versions.
9. Publish
Usage: Publishes the workbook to Power BI or other online services.
Steps:
1. Go to File > Publish.
2. Choose Upload or connect to Power BI.
10. Close
Usage: Closes the current workbook.
Shortcut Key: Ctrl + W
11. Account
Usage: Manages account settings, licenses, and connected services.
Key Options:
o Switch Account: Change user account.
o Office Updates: Check for updates.
12. Feedback
Usage: Sends feedback to Microsoft about the product.
13. Options
Usage: Customizes Excel settings (e.g., default file location, calculation modes).
Steps:
1. Go to File > Options.
2. Modify settings in categories like General, Formulas, or Advanced.
14. Exit
Usage: Closes Excel entirely.
