01. Introduction
This document describes information technology standards reflecting the Radisson Hospitality AB IT generic standard for our hotel Brands.
Brand specific standards are listed in appendix 1 at the end of this document.
Purpose
The purpose of this document is to define the standard requirements for hardware, software and related infrastructure to be used for new
hotel constructions, refurbishments or changes to IT systems in existing hotel operations.
It is not an expression of specific quantities required as each hotel has its own peculiarities and need tailor made configurations based on
the specific project. Factors like number of guest rooms, number of Food & Beverage outlets, location (cost of labor), service level (full service
or limited service hotel), manning chart etc. all influence the number of systems and the quantity of equipment required.
It is therefore important for new hotel constructions and refurbishments that no budgets are derived from this document alone without
the consultation of the Radisson Hospitality AB Corporate IT team.
Scope
This document defines the standards of all generally known and deployed administrative and guest Information Technology systems in a
hotel.
The exceptions are Alarm Systems, Access Control Systems and Building Management Systems.
Under each standard there will be definitions describing one or more of the following items:
• Manufacturer
• Model
• Quantities
• Capacity
• Size
• Level of requirement
• Approved supplier
• Short introduction
• List of required functions (if applicable)
• Table of standards
• Illustration (if applicable)

Physical security is also of great importance to secure the data and the optimal operation of the systems installed.
As a consequence of that, Radisson Hospitality AB require a separate location for all critical equipment installed in a hotel.
Physical requirements
Security requirements
• Access control system is required to monitor physical access to the server room with logging capabilities is required.
• Video camera (CCTV) inside the server room facing the door and provide an overview of the room whenever there is activity within
it. The camera must not have zoom or scanning functionality and must not be positioned in such a manner as to allow observation
of keystroke entry or the monitoring of the screen.
• The CCTV systems must be able to store records for at least three months, unless otherwise restricted by law.
• Each monitor, camera, and digital recorder must function properly and produce clear images on the monitors without being out-
of-focus, blurred, washed out, or excessively darkened. The equipment must record at a minimum of four frames per second.
• CCTV cameras must record all activity, including recording events during dark periods through the use of infrared CCTV cameras or
automatic activation of floodlights in case of any detected activity.
• Recording may be via motion activation. The recording must capture any motion at least 10 seconds before and after the detected
motion.
• Server brand/model specific 19” racks for servers must be provided to ensure proper mounting of the equipment.
• All computer and telephone distribution cabling will terminate in the 19” racks indicated in the Network Room (using UTP Cat-6 A
cabling, see separate IT-Standards on Cabling).
• Cabling conduits for RJ-45 UTP outlets leading below the raised floor, to be placed around the rooms as indicated on the drawings.
• The IT room should be furnished with a fixed desk along two of the walls, offering a desk depth of 700-800 mm and a free space
below the desk of 700-750 mm. In addition to that a shelf mounted 700-800 mm above the desk surface of 650-700 mm depth is
required. Both the desk and shelve must be mounted 50 mm away from the wall or alternatively offer 80 mm wide holes along the
wall to pull cables through.
• A loose desk (1200 * 700 mm) should be supplied for the room. Minimum two chairs to be supplied.

Typically, the system will consist of a Main Distribution Frame (MDF) placed in the server room or close to that. From there, a backbone
cabling system will connect Local Distribution Frames (LDF) placed on each floor. The vertical backbone cabling consist of different types of
cables, including optical cables for data communications, copper cables for data communications and multi-core copper for telephony.
All horizontal cabling must be installed as ‘home run’ cabling, i.e. unbroken from outlet to the nearest patch panel where it will be
terminated.

The vendor must test every cable after installation and provide printed test results as part of the documentation. European Standard EN
50346 provides details on the testing of a
generic cabling system and should be consulted.
The test results must indicate values equal to or better than the minimum characteristics of the cable type used.
The installer must provide a certification document, authorized by the manufacturer of the cabling system. All parts of the system required
as data carriers, must be covered by the certification.
The entire cabling system must be documented and the documentation (drawings, cable test reports, outlet index etc.) must be delivered
along with the hand over to the hotel.
• Network for the administrative use of the hotel, i.e. connecting various hotel servers, PC workstations etc.
• Network for guest internet both wired and wireless.
• Network for IPTV.
• Network for CCTV.
• Network for VOIP.
• Network for Other services.
Converged network (Shared network infrastructure) can be used for guest services if two or more service providers agree to this. One
service provider must be selected as the owner of the network and will be responsible for the configuration of all the network equipment
based on requirements from the other service providers who will be using the converged network.
The hotel administration network must be setup on separate equipment (Hardware) for security reasons. There can only be one way in and
out for the hotel administration network which is via the Radisson Hospitality AB standard Router/Firewall, which is controlled by Radisson
Hospitality AB corporate IT, all links in to the hotel administration network must be connected via the firewall.

The schematics are merely illustrations of the principles applied and need to be revised according to the specific building and needs.
The hotel Administration network/LAN must be physically separated from all other networks within the building.
If systems like BMS, IPTV, etc. needs to interface via TCP/IP to the Opera interface server on the hotel administration network a DMZ must
be setup for this by Radisson Hospitality AB Corporate IT on the Radisson Hospitality AB controlled firewall – The same is valid for any devices
connected wirelessly accessing services/applications on the hotel administration LAN.
All hardware will need to be installed and configured according to the Radisson Hospitality AB guidelines to allow multiple applications to
coexist on the infrastructure.

In today’s world the requirements include not only traditional wired telephone sets, but also wireless handsets for members of the service
staff as well as good mobile phone coverage in all areas of the hotel.
The main business function of the communications system is the efficient switching of calls to both guests and service departments like
reservations, accounting, management etc. as well as functioning as an effective house telephony system within the building (PABX).
The PABX plays an important role in the safety and security routines of a hotel.
Any guest room set must have a clearly marked emergency key for one touch dialing to an internal emergency number (112). Telephone sets
may also be required in certain back of the house areas and special hazardous rooms for safety purposes.
A modern digital telecommunications switch supports a myriad of call processing functions of which most are irrelevant in a hospitality
environment.
• Basic ACD functionality with queue announcement and music on hold. Larger hotels may require more extensive ACD with queue
management, overflow to alternative queues, wall displays etc.
• Battery backup (minimum 4 hours).
• Digital Trunk Support (ISDN PRI and IP Trunks).
• Analogue Trunk Support (today mostly used as back-up to the digital trunks and power fail fallback).
• Full call Forwarding (Night service).
• Call Park (system and local).
• Call Traffic Analysis on ACD and consoles.
• Calling Party Name Display on all digital sets and operator consoles. Automatic name update via PMS interface.
• Centralized Attendant (across network) where required.
• Conference Call facility both internal and external lines connected.
• Controlled Class of Service with flexible code restrictions.
• Direct In-dial (with digit translation) for both guest extensions and administrative extensions.
• Duplicated CPU.
• Emergency facilities for recording of console calls and other identified sets.
• Flexible Numbering Scheme (4-6 digits’ extensions).
• Hotline from specific extensions to internal/external DN's, for instance lobby phones to the operator.
• Hunt on busy/no answer – forwarding of unanswered calls to message centre or voice mail for both administrative lines and guest
lines.
• Last number re-dial on digital extensions. Not allowed on guest room extensions.
• Least Cost Routing – supporting multiple network operators. The system must supply local dial tone followed by a fake central
office tone and route the call based on dialed digits.
• Message Waiting integrated with Voice Mail for automatic on/off of message
• Multi-appearance on grouped sets.
• Music on Hold.
• Standard Radisson Hospitality AB numbering plan.
• Multi-channel recorded announcement Digital recorders for ACD and Wake-up call messages must be provided.
• Ringing group pick-up facility allowing set’s to be grouped in local call pick-up groups and through this pick-up incoming calls in the
group from own set.
• Speed Call (private and system).
• Voice Mail system integrated with mailbox opening/closing via PMS interface. The system must be able to differentiate between
guest room extensions and admin extensions and offer different service levels. Login to voicemail from a guest room must happen
without the manual entry of a mailbox number, extension number and password. The guest must gain direct access by touching
the preset key for the voice mail system whereas admin access may require the use of passwords. It is assumed that a guest has
the right to access the mailbox when calling from his/her own room. The voice mail system must be prompting the user with easy
to use menu’s and instructions. Various language versions are required. Male voice for the Middle East must be supported.
• Analogue Guest Room sets with message waiting light. Branded faceplate is available from Brand Artwork Tool
• Automatic Wake-up in different languages with built in digitized voice messages.
• Barring/debarring of telephone sets controlled by PMS interface (Check-in/Check-out).
• Call Accounting based on PPM emulation and/or call cost tables.
• Call Cost Message processing on ISDN trunks where available and applicable.
• CDR (Call Detail Recording) print out option and interfaced to PMS for all extensions.
• Fully integrated DECT support.
• DECT radio coverage in all areas (including outdoor if applicable).
• PMS Interface for receipt of room status messages, barring/de-barring of lines, guest name, updates etc.
• Room cleaning status entry via guest room telephone.
• Single Digit Access to hotel services.
• VoWLAN – If Voice over WLAN service is used instead of DECT to provide cordless phone capabilities in the hotel WLAN coverage
is required in all areas of the property. The infrastructure will be shared with the HSIA/WLAN provider, and the integration to this
system must be taken into consideration.

System requirements
We require the system to be operated by a Radisson Hospitality AB approved 3rd party, specializing in HSIA for the hospitality trade. The
operator must make sure that the following is carried out:
The operator must supply services and facilities in accordance with the below tables:
General requirements
• 24-hour help desk for end-users and staff, minimum support of English and local language.
• 24-hour network monitoring including alerts to the property when faults occur and immediate response to security threats.
• Relevant firewall and other security features to protect each user’s privacy and equipment.
• A branded authentication portal page which Radisson Hospitality AB and the property can use for marketing messages.
• Direct interface to the Opera PMS system for billing and authentication.
User Security
• User separation: Virtual LAN (VLAN) and Publicly Secure Packet Forwarding (PSPF) to prevent user-to-excellent signal user
connections.
• Private Internet addressing: Network and Port address translation to keep user's PC invisible from the Internet.
• Abuse management system: Mail rate limitation and connection rate limitation to prevent spamming and to identify and deny virus
infected.
• Forced user authentication only where required by local legislation: Control of who can use the service, preventing unauthorized
usage from within or even outside the hotel in accordance to local country legislations.
Compliance:
• The system must comply with the EC Directive on Logging and Retention and any local implementation of such a directive.
• System allows user's computer to work either with DHCP or Static IP and DNS settings.
• System recognizes user's proxy-settings and can redirect the traffic automatically to enable instant Internet browsing.
• System allows users to send mail without changing the outgoing mail server.
• System recognizes user's device after the first log-on and lets the user in without a need for re-authentication throughout the
property.
• Support for the most common VPN protocols, including IPSEC, PPTP and L2TP.
• Supports a minimum of four devices (MAC addresses) to be connected simultaneous with the same user-id.
Printing facility:
• The system must facilitate printing from a guest own device (Bluetooth & cable) at the Casual work space.
• See Brand standard in appendix 1 for Brand specific requirements on Email to lobby print solution (print@xyz) – chargeable for a
reasonable fee.
The infrastructure and the ISP connection are the responsibility of the hotel, i.e. local cabling, wireless base stations, active network
components will be part of the hotel project. The HSIA service provider will add the network servers, install and operate the system.
The WLAN infrastructure may be shared with other providers, such as the PABX provider, for VoWLAN services. Adequate co-ordination with
the concerned parties is to be planned for.

Digiwall
Some Brands have an activated and interactive digital wall within or near the lobby area of the property. Digital walls must possess the ability
for a guest to interact, thus touch screen functionality, and must display a 24-hour stream of social digital, multi media and entertainment
content. Digital walls are NOT signage walls and cannot and must not be used for the delivery of localized sales or event notifications. The
digital wall must be viewed as the delivery of social entertainment to the social area of the lobby, and guests should be encouraged to use
and interact with this experience.
The Digiwall comes in three sizes designed to look great in lobbies of all sizes. All three options (tiers) contain interactive “touch screens” to
engage guests.
Tier 1
This is a three screen Digiwall that displays exciting content in a fun and engaging way.
This sign is appropriate for smaller lobby spaces.
Tier 2
This option is a six screen Digiwall containing all of the content in Tier 1 and more!
This sign is designed to fit in medium sized lobbies.
Tier 3
This is a nine screen Digiwall.
This is a spectacular display that will surely impress your guests.
The Digiwall have special mounting requirements, a recessed cable management and power storage accessory box needs to be mounted
behind each screen with 2 x power and 2 x data sockets. The brackets/mounts for the screens are quite heavy so the wall may require
reinforcement to carry the weight of the Digiwall. Contact the supplier to get mounting instructions and advice. A separate power circuit is
preferred for the Digiwall.
The Digiwall is supplied from the vendor as a turnkey solution where they deliver all components needed, installation and commissioning
onsite, optionally the screens can be sourced locally if model and make is agreed with the vendor prior to purchase.

For Pay@Table integrations the traffic must be terminated on a separate segment on the Radisson Hospitality AB controlled firewall and a
change control needs to be logged with the Radisson Hospitality AB IT Helpdesk requesting firewall changes to allow this to work.
The following sections describe a number of specific business functions involved in the operation of a hotel.
The system is core as it essentially holds inventory of the hotels prime resource: the bedroom. Based on the rates and inventory stored, it
will enable reservations to be created and stored for any future date.
Radisson Hospitality AB has standard settings required for Opera defined in the so called Radisson Hospitality AB Shell and must be used for
all Opera installations and when upgrading Opera changes to the standard settings must be applied to keep Opera in line with the Radisson
Hospitality AB standard.
Radisson Hospitality AB has standardized on Opera PMS supplied by Oracle. The components required are listed in the below table.
The Sales & Catering system holds inventory of meeting rooms equal to the way the PMS system hold inventory of bedrooms. The system is
tightly integrated to the Property Management System to obtain bedroom inventory from PMS and share company profiles etc.
The system automates the sales of Meetings & Events where the client require more complex products, such as a meeting room, food &
beverage services along with bedrooms.

Accounting system
The accounting system in hotel terms cover all commonly known accounting functions, like
• General Ledger
• Accounts Payable
• Accounts Receivable
• Financial Statements.
• Daily Report/Income audit function
• Cash Management
• Fixed Assets
• Register
Which modules a hotel requires depend on the market it is in, the type of operation and the ownership. In most hotels, we will recommend
to use the Invoicing and Accounts Receivable part of the Front Office System and not handle that in the back-office system. However in
operations with multiple hotels serviced by the same Accounting Office, it will be required to use the more advanced invoicing functions of
the back-office system to merge invoices and maintain a common ledger system.
To avoid duplicate data entry, it is required to have an interface from Front Office to Back Office. This interface transfers guest ledger revenue,
invoicing details and payment totals by department to the general ledger and to the invoicing subsystem in back-office through

In several of Radisson Hospitality’s areas, an area-wide solution for accounting has been implemented. All hotels must follow their area
recommendation if one exists. For all other locations, the standard requirement is:

Payroll System
The payroll system is used to calculate and administrate employee salaries and taxes. It is
traditionally not included in a standard back-office package; as it is very country specific due
to special tax regulations, labor agreements etc.
For most properties it makes more sense to process payroll outside the hotel, i.e. by the use of
a service bureau, an accounting firm or as a hosted solution. This should be investigated on site by hearing what others are doing and what
options there are available. Obviously Operational Management and especially the Regional Financial Controller should be involved in the
decision.
1 System may be installed locally, hosted with external provider, or outsourced to service bureau.
The F&B Cost Control System is used to manage stock values, recipes and costs of Food &
Beverage menu items.
The system should be interfaced with both the Point of Sales System for the import of the actual number of menu items sold.
The Cost Control System is also used to build menu items and download the file into the POS system.
The system should also be interfaced to General Ledger for cost and stock value postings.
The primary purpose of a Revenue Management System is to automate the optimization of limited resources like hotel guest rooms. In other
words help the management of the hotel sell the rooms at the highest possible rate. To do that, the system will assist in forecasting future
demands for hotel rooms and through that suggest rates and controls to optimize the business mix for each day in the future.
The only approved integrated Revenue Management software for all Radisson Hospitality AB hotels are IDeaS G3, which is a forecasting and
revenue management tool integrated with our CRS system.

Radisson Hospitality AB offers each hotel to participate in a central commission payment system that in essence is outsourced to WPS
(Worldwide Payment Systems) located in Spain.
Whether a hotel participates in the central system is optional, but strongly recommended, as it is surely cost beneficial for the hotel and an
important branding tool towards the travel agencies and consortia.
