Rules and Regulations Policy

These guidelines are applicable to all employees, interns, and representatives of the
company. They are designed to ensure accurate accountability, efficient workflows, and
a professional work environment. The company reserves the right to revise these
policies as deemed necessary.

General Office Guidelines


Office Timings: 9:30 AM to 6:30 PM (Monday to Friday) 9:30 AM - 2:30 PM (Saturday)

Attendance

●​ Work from Office:


○​ Employees are required to be in the office by 9:30 AM.
○​ Anyone arriving after 10:00 AM will be marked half-day.
○​ Employees leaving before 6:30 PM will also be marked half-day,
regardless of arrival time.
○​ If an employee arrives after the punch-in time (10:00 AM) and leaves
before 6:30 PM, they will be marked as 1/4th day.
●​ Work from Home:
○​ Employees working remotely must punch in before 10:00 AM daily on
the ‘BTC Office’ WhatsApp group.
○​ Breaks longer than 20 minutes require prior approval from HR and the
reporting manager.
○​ Unapproved breaks or delays will result in being marked half-day or
full-day, depending on the situation.

Start and End of Day Reports​


All employees must share Start of Day (SOD) and End of Day (EOD) reports within the
same day, as per their respective functional requirements.

●​ Resources and Connectivity (For Remote Workers)


○​ A stable internet connection is mandatory during working hours.
○​ If there is a loss of connectivity for over 15 minutes, the employee will be
marked half-day.
○​ Employees must remain at their workstation; being found traveling
during work hours will result in a half-day mark.
Guidelines For The Creative Team

●​ Team members must join all meetings on time. Failure to join within 10 minutes
without prior approval will result in a half-day mark.
●​ The company follows a 10-minute response policy. Employees must respond
to internal and external communications within 10 minutes. Unapproved
delays may result in disciplinary action or being marked half-day.
●​ 10 minutes response rule for the clients as well as for the internal communication
each brand has an account manager and executive, so if the account manager is
busy, the executive needs to reply
●​ ⁠Last message on the client groups should be from our team BTC only
(acknowledgement/updating and informing about the next process)
●​ ⁠Check your allocated brands SM, PM and IM brands and track tasks and reply to
all of them.
●​ Responses on Saturday second half/Sundays - clients should be responded to
and informed that you will look into it on Monday, and the work should be taken
up on Monday on priority.
●​ ⁠If the AM on the brand is on leave or busy on another call, the AE must respond
and follow the above to make sure it’s on track
●​ ⁠Keep sharing references and content ideas with the brands on the group
proactively. Client groups need to be active!
●​ ⁠Keep following up with client proactively for approvals and getting other details
from them to avoid delays and show urgency
●​ Communication in the group shouldn’t be dry or left with gaps from more than a
day.
●​ ⁠The messages sent to the client should be in professional tone. One-word replies
like- Yeah, Sure, Okay must be avoided.
●​ ⁠Giving thumbs up to the client messages won’t be considered as a proper
response
●​ ⁠Minutes of the meeting should be shared with the brand within 1 hour of the
call/meeting.
●​ ⁠Schedule weekly meetings with every brand and there should be 2 weekly
catchups- one would be the scheduled weekly meetings and other would be a
normal 5-10 mins call) with them to maintain good relations with the brand
Dress Code Policy
All employees are expected to maintain a professional and presentable appearance.

Monday to Friday: Semi-Casual / Smart Casual Attire

●​ Acceptable: Collared shirts, blouses, modest dresses, dark jeans or chinos,


tailored skirts or pants, closed-toe shoes like loafers, flats, or clean sneakers.
●​ Not Permitted:
○​ Slides, slippers, flip-flops
○​ Sweatpants, track pants, or other leisurewear
○​ Athletic wear or overly casual attire

Monsoon Exception

During the monsoon season, rainy shoes or waterproof footwear are permitted for
practicality and safety, provided they are clean and presentable.

Casual Saturdays​
Casual attire is permitted, but must be clean, modest, and suitable for a professional
setting.
Leave, Absenteeism & Salary Policy
Response During Leave​
Employees on leave must respond to any urgent communication within 6 hours to
support business continuity.

Leave Application and Penalties

●​ Advance application is mandatory for all types of leave.


●​ In case of medical emergencies, leave may be approved retroactively upon
submission of valid medical documentation.
●​ If last-minute leave is taken without a genuine reason, the employee will forfeit
the paid Sunday leave for that week.

Probation Leave​
Employees under probation may take only one leave at a time, unless otherwise
approved by the reporting manager.

Sandwich Leave Policy​


If an employee takes leave on both Saturday and the following Monday, it will be
treated as a sandwich leave(Saturday, Sunday, and Monday marked as leave).

Work from Home Policy​


Employees based in Mumbai are not eligible for work-from-home between Monday and
Friday unless special approval is granted. Such cases will still be counted as half-day.

Salary Processing Conditions

●​ Salaries will not be processed if the employee is absent or not physically


present in the office during salary release periods.
●​ If an employee is on leave for more than 3 days during salary release, they will
receive 50% of the salary on the regular date and the remaining 50% three
days after returning to work.
Exit, Termination & Severance Policy
Notice Period & Resignation

●​ Employees must submit a formal resignation and serve a mandatory 60-day


notice period.
●​ Full & Final Settlement (salary, notice pay, incentives, etc.) will be processed 60
days after the last working day.

Termination

●​ In case of termination, all dues will be settled within 30 days, in accordance with
legal and company policies.

Handover & Transition

●​ Employees must ensure a smooth transition during the notice period or upon
termination.
○​ Failure to do so will result in forfeiture of pending payments.

Absconding

●​ Employees who abscond will forfeit all salary, documentation, and pending
dues.

Confidentiality & Post-Exit Conduct


●​ Employees are strictly prohibited from:
○​ Contacting existing or former clients of the company for a period of
one year after exit.
○​ Disclosing compensation, financial, or internal policies to outsiders.
○​ Defaming the company in any manner after their employment ends.
●​ Violation of these terms may result in legal action or arbitration, as deemed
appropriate
