RECRUITMENT

2.1 Policy Guidelines:

2.1.1 General Conditions for Recruitment

Any person employed by The company should meet the following general criteria:
 Having the educational qualification and practical experience needed for the job as
specified by The company approved job descriptions.
 Passing successfully at least two stages interviews and any other tests and evaluations
determined by The company.
 To undergo successfully the medical check up as specified by The company.

2.1.2 Employment Documents for National Staff

Selected Candidate should provide the following documents to be kept in his employee's file:
a) Completed application form.
b) Birth Certificate.
c) Scientific qualification and recommendation letters.
d) 2 copies of the I.D. card.
e) Labor office registration receipt
f) Form No. 6 (Social Insurance) from the last employer.
g) Military Status Certificate or General Service Certificate for those exempted from the
military service.
h) Marital Status and address.
i) 6 personal photos (size 4 × 6)
j) Finger Prints.
k) An applicant shall complete the application form in her/ his handwriting at the HR
Department. Application forms cannot be taken outside this department.

 The employee shall not get any of these documents back until the end of his services, and
The company has the right to keep the originals of these documents.
 The employee may ask to get a certain original of any document for personal valid reason,
and should sign for that and return it back when it is no longer needed.

2.1.3 Employment Documents for Foreign Staff (Expatriates):

Expatriate staff whether hired locally or from abroad should posses the following documents:

a. A valid Passport.
b. A C.V. authenticated by concerned Embassy.
c. A recent Certificate obtained from Ministry of Health and Population with results of the
HIV test (AIDS).
d. All foreign staff whether local hires or from abroad should be holding a work permit in the
name of The company to satisfy the requirements of the labor law No. 12/2003, in the
meantime the number of foreign staff should not exceed 10% of the total number of Egyptian
staff, unless otherwise an exemption is obtained from Ministry of Manpower and Immigration.

2.1.4 Employment According to False Information:


 If it is proved to The company while checking the references and scientific qualification at
any time that the recruitment of any candidate has been made as a result of impersonation,
submission of false information or forged documents, the employment contract of that
person will be automatically cancelled without prior notice, indemnity or compensation.
This not withstanding The company other rights.

2.1.5 Employment Contract


 Recruitment of employee is finalized in accordance with employment contract signed in three
originals, one copy is handed over to the employee, the second copy will be kept in his personal
file and the third copy shall be submitted to the concerned social insurance office. The contract
outlines the employee's position, salary & benefits and any other necessary statements.
 Concerning the foreign employees, they are not subject to social insurance in Egypt
whether local hires or from abroad.
 The validity of the contract of employment starts from the first working day.
 As for expatriate staff they should be holding either a Recital Of International Employment
Conditions or an employment contract.

2.1.6 Probation Period


 The duration of the probation period shall be 3 months in compliance with labor No.
12/2003, and shall start from the commencement of the employment contract.
 The company has the right to terminate the employment contract at any time during the
probation period –without any notice or indemnity- if the employee’s performance does
not meet the job requirements.

2.1.7 Assigning the Employee to Different Jobs:


 The company shall not assign the employee to a job which substantially differs from the job
mentioned in his contract of employment, except in cases of necessity as determined by the
nature of work and on temporary basis, but The company may assign the employee to a job
which does not differ substantially from the job mentioned in his contract of employment.

2.1.8 Employees Records


The company shall keep a file for every employee whether Egyptian or Foreigner, this file
includes all the data of the employee.
a) All the employment documents provided by the employee.
b) The employee full name, nationality, date of birth, address, marital
status and six photos.
c) The date of commencement of service, the job title, basic salary,
allowances and any changes made to these items
d) The employee performance review before the elapse of the probation
period, because the Company has the right to terminate the employee’s contract during the
probation period without any notice or compensation if his performance does not meet job
requirements.
e) The annual performance appraisal, promotions and increments.
f) The employee performance review in case of change of supervision,
if there is any.
g) Leave authorization
h) The results of checking the references and scientific qualification (if
any).
i) The disciplinary penalties and awards.
j) The medical check-up report on the start of service of the employee
and occupational, accidents diseases and work causalities if there are any, and sick
leave taken during the month and up to date.

2.1.9 Relatives Policy


 The company will not hire staff that is related to each other from the first degree relatives
(Married couples, Brother and Sister, Parents) and second degree relatives (Cousins, In-laws).
This is to avoid conflict of interest and separate private life relationships from professional life.
 In case of intermarriage after employment, the company will provide another job opening
for either the bride or the groom.
 N.B. The Chief Executive Officer only has the privilege to overtake such policy.

2.2 Recruitment Procedures

1 Directors & Department Once a year, every manager should develop for his Department
Managers the annual manpower plan and budget for the next year, using
the Manpower Forecast Form (HR - 01) and submits the form
to the Directors for approval.
2 Directors Reviews, amends, approves and consolidates all the forms
from different Departments and submit them to the HR
Department
3 HR Department Collects the manpower forecasts of each department, reviews
checks, consolidates and submits to the Human Resources
Director to get it approved by the CEO (Chief Executive
Officer).
4 Department Managers Advise HR Department in writing the necessary job profile
about the required personnel for the department using the form
(HR - 02).
The Human Resources Requisition form (HR - 02) will be
signed by the concerned Department Manager, the Human
Resources Director and the CEO
5 HR Department The recruitment will go through either one or more of the
following phases:
Phase I: Internal Recruitment:
Available vacant position will be posted.
Phase II: External Recruitment:
The HR Department prepares the employment advertising log
(HR - 03).
(Newspapers, Universities, Employment agencies, Concerned
Labor Office), employment fares ….. etc.

6 HR Department  Receives all candidates.


 An application form for employment (HR - 04) should
be completed by every candidate.

(First Interview) A candidate assessment form (HR - 05) should be completed
by every interviewer for each candidate.

8 Interviewers Interview the short listed candidates, select the most suitable
(Department managers & candidate, write their reports and recommendations and submit
Department heads… etc.) them to the concerned Director.
(Second Interview)

9 Director  Collect the Interview Reports results and recommendations


 Make the final recommendation report on selected
candidates.

10 CEO (Chief Operations Makes the final recruitment decision.

11 HR Department  Contacts the selected candidate.
 Checks references with the applicant’s previous employers
to obtain general information concerning the applicants
past performance, reliability and technical skills.
 Completes the medical check-up form (HR - 06) and sends
it to the concerned physician.

12 New Recruit Completes all required Employment documents and submits


them to the HR Department.

13 Concerned physician Makes the necessary medical check-up for the candidate’s fitness
for the job and medical forms shall be sent to the HR Manager
for continuing the employment procedures.

14 Reviews the medical check up and other employment documents.


Completes the individual Employment contract (HR - 07) for
limited or unlimited period of time. The newly hired employee
HR Department signs the contract.
15 Inserts all employment documents, prepares the employee file
with all documents (HR - 08), and submits to the concerned
department Head.

16 CEO (Chief Operations Signs the employee’s employment contract delegates this

Article 2 ‫المادة الثانية‬

Article 3 ‫المادة الثالثة‬

Article 5 ‫المادة الخامسة‬

The Employee undertakes to obey all lawful ‫يتعهـــد العامـــل بإطاعـــة كافـــة األوامـــر‬
orders given by the Employer or by any other ‫المشــروعة الصــادرة من صــاحب العمــل أو‬
person duly authorized by the Employer. ‫من أي أشــخاص آخــرين مفوضــين من قبــل‬

Article 6 ‫المادة السادسة‬


The Employee undertakes to keep secret, at all time ‫يتعهــد العامــل بــأن يحافــظ في كــل وقت‬

of the Employer which was revealed to him during his

undertakes not to disclose, or use directly or indirectly,

entity. Otherwise, he shall be responsible for all

Article 7 ‫المادة السابعة‬
The Employee undertakes to finish his work and ‫يتعهد العامل بإنهــاء عملــه وبــأن يســلم إلى‬
