CRM Sales Invoice and Delivery Employee Assignment

1. Introduction
This guide explains how to assign employees to CRM sales invoices and delivery orders.
While the "Salesperson" field is fixed as "Administrator" for system-level tracking, the
"Employee" field identifies the individual responsible for order fulfillment, invoicing, and
delivery. This enables performance analysis per employee.

2. Key Concepts
• Salesperson (Administrator): Global account for overarching sales tracking.

• Employee: Field specifying the task owner (e.g., Vivek, Durga, Vwok) for granular
accountability.

• Workflow: Quotation → Sales Order → Invoice → Delivery

3. Assigning Employees

A. Sales Order Creation


1. Navigate to Sales > Orders > New.

2. In the Employee field, assign a responsible employee (e.g., Vivek).

Example:
Order #500001
Employee: Vivek
Product: Laptop (Qty: 1)
Order Date: 06/10/2025

B. Invoice Generation
1. Navigate to Invoicing > New.

2. The Employee field auto-populates from the Sales Order (e.g., Vivek).
Example:
Invoice #INV/2025/00001
Employee: Vivek
Product: Laptop (Qty: 1)

C. Delivery Order
1. Navigate to Delivery > New.

2. Manually assign an employee in the Employee field (e.g., Vwok).

Scheduled Date: 06/10/2025

Group By: Use Employee in CRM views (Sales Orders, Invoices).

B. Pipeline Analysis
Track Expected Revenue and Stage per employee.
Example:
Pipeline > Employee: Durga
- Stage: New → Won
- Expected Revenue: $0.00 → $145
C. Audit Logs
Monitor actions per employee (e.g., invoice status changes).
Example:
Invoice #INV/2025/00001 Audit Log:
- Vivek: Changed status (Draft → Paid)

6. Best Practices
1. Assign Early:
Set the Employee field at the Sales Order stage to auto-populate downstream steps.

2. Audit Regularly:
Review Audit Logs to verify employee actions (e.g., invoice/delivery updates).

3. Report by Employee:
Export data Grouped By: Employee to analyze:
- Orders handled
- Revenue generated
- Delivery efficiency.

Summary: The "Employee" field drives accountability for sales, invoicing, and delivery
tasks. Use CRM views grouped by Employee to review individual performance.

Previously, the CRM system used only the Salesperson field—fixed as Administrator—for
sales orders, invoices, and deliveries, limiting the ability to track individual employee
responsibility. To improve accountability without affecting system ownership, we
introduced a separate Employee field that allows assigning specific team members to each
transaction while keeping the Salesperson unchanged. This ensures that administrative
reporting stays consistent, while individual employee performance can be tracked clearly
through CRM views and reports. The system now supports assigning different employees
for tasks like order processing, invoicing, and delivery, providing better visibility,
accountability, and productivity analysis across the team
