VALIDATION AND SUBSTITUTION

VALIDATION:-
At time of accounting entry posting whatever inputs is required based
on the client requirement, it will be update manually based on the
validation configuration.
1. Define validation rule: T – GGB0.
2. Assign validation rule to company code: T – OB28.

Step: 1) Define Validation Rule: (T – GGB0).


In this step we have to define validation rule in GGB0.

❖ Click on Enter.
❖ Click On Financial Accounting.
❖ Click On document Header.

❖ Click On validation tab on the top of screen.


❖ Create New Validation.

❖ Click on save→ Data was saved.


❖ Click on step tab on the top of the screen.
❖ Create New Step 001 for Validation Conditions. There can be a
several steps in single validation.
❖ Prerequisite: defines the conditions that must be met for the
validation to be executed.
❖ Check: If the check evaluates to true, the condition is met, the
validation is successful.
❖ Message: notification generated based on the outcome of the
checks.
❖ Click on Prerequisite→ Select Accounting Document header→
Select BKPF Tables.

❖ As per our example, we require document type “KR” and


company Code “BN20”.
❖ Click on Check: Verify the Document header text is “Test field
– BN20” or Not.

❖ Click on message: Select Message Type like Warning (W),


Error (E), Cancel (A) or Information (I) and then select the
message number with pre-defined message, or click on pencil
icon to create a message as shown below.
❖ Enter message type and Save it.

Step: 2) Assign the Validation Rule In OB28


❖ In step we have to assign validation rule in ob28.
❖ Click on new entries.
❖ Enter company code, call up point, validation and Action level
as Active and save.
Check the above Validation rule in F-43 Screen.

❖ Observe the document header text field. We are not give any
text so system through the error message. Once the validation
rule meet the system. System allow to posting the transaction.
❖ Click on enter → system allows to next screen.

❖ Validation rule successfully executed.


SUBSTITUTIONS:
At the time of Accounting entry posting whatever inputs is required
based on the client requirement, it will be update automatically
based on the substitution configuration.
1. Define Substitution Rule GGB1.
2. Assign Substitution Rule To Company Code OBBH.
Step: 1) Define Substitution Rule In GGB1

❖ Click on Enter.
❖ Click on Financial Accounting.
❖ And Click on Document Header.

❖ Click On Substitution tab on top of the screen.


❖ Enter “ Substitution – Bn20” and save the data.

❖ Click on Step tab on the top of the screen.


❖ Select BKPF-XBLNR (Reference field).
❖ And enter new substitution→ save the data.
❖ Click on Prerequisite: defines the conditions that must be met
for the Substitution to be executed.
❖ Click on Prerequisite → accounting document header→select
BKPF tables (Document type and Company code.)

❖ As per our example we require document type “KR” and


company code “BN20”.
❖ Click on Substitution: Enter the constant text.

❖ Click on save → save and generation successfully completed.


Step: 2) Assign the Substitution Rule to Company code (OBBH)
❖ Click on new entry and provide required details.
❖ Company code, call up point, Substitution and activation level.
❖ Finally active and save.

Step: 3) Check the above Substitution in f-43 Screen


❖ In this step we are not giving any text to the reference field.

❖ Enter required details and Press enter.


❖ Observe the reference field.
❖ Text is automatically updated the reference field.

❖ Successfully executed the substitution rule.
