Client Onboarding Workflow
To ensure every project aligns with the client’s vision and delivers exceptional results, we
follow a four-step onboarding and execution process. This workflow helps us maintain
transparency, improve communication, and deliver high-quality websites and applications
tailored to each client's unique requirements.
Step 1: Initial Google Meet with Client – Understanding the Imagination
Objective:
To get complete clarity on the client's vision, business goals, and expectations.
Details:
● We schedule a Google Meet with the client soon after the initial inquiry or lead is
qualified.
● During the meeting, we ask guided questions to explore:
○ What type of application or website they want
○ Their business niche, goals, and target audience
○ Any references they admire or want to replicate
○ Desired features, integrations, or platform preferences (e.g.,
Android/iOS/Web)
○ Branding and design expectations (colors, tone, imagery, etc.)
● We record the session (with permission) to ensure no detail is missed.
● All notes and insights are documented and saved in our CRM/project tool.
Outcome:
A clear understanding of the client’s imagination, expectations, and end goals. This
becomes the foundation for internal briefing and design.
Step 2: Internal Team Meeting – Client Vision to Project Blueprint
Objective:
To align the internal team (designers, developers, project manager) with the client’s
imagination and expectations.
Details:
● We conduct a second internal Google Meet, including:
○ UI/UX designers
○ Frontend and backend developers
○ Project manager or team lead
● The client’s vision and meeting notes are shared in detail.
● The team discusses feasibility, timeline estimates, and technical stack suggestions.
● A shared document is created, outlining:
○ Major modules and features
○ Responsibilities of each team member
○ Tentative deadlines for UI/UX, development, and testing
Outcome:
A fully aligned internal team with a well-defined action plan based on the client’s
requirements.
Step 3: Figma UI/UX Design – Bringing the Vision to Life
Objective:
To visually translate the client’s imagination into a user-centric, aesthetic, and functional
design.
Details:
● Our UI/UX designers begin creating wireframes and high-fidelity Figma designs.
● Designs are:
○ Mobile and desktop responsive
○ Aligned with current trends and the client’s branding
○ Optimized for user experience and ease of navigation
● We maintain ongoing communication with the client to ensure:
○ The designs meet their expectations
○ Any feedback is quickly implemented
● Once the complete Figma design is ready, it is shared with the client for approval.
Outcome:
A full UI/UX design ready for development with client approval, ensuring no surprises in the
final product.
Step 4: Final Frontend & Backend Development
Objective:
To convert the approved Figma designs into a live, fully functional product using best
development practices.
Details:
● The development team starts working on:
○ Frontend: HTML/CSS/React/Flutter (as per project need)
○ Backend: [Link]/Spring Boot/PHP (as required)
○ Database: MySQL, Firebase, MongoDB, etc.
● Regular progress updates are shared with the client every 3–5 working days.
● Any minor visual or functionality adjustments based on real-time feedback are
accommodated during the process.
● Upon completion, the project goes through:
○ Internal testing
○ UAT (User Acceptance Testing) with the client
○ Final deployment on production server/store
