POSITION DESCRIPTION
Undertake various administrative and clerical tasks to support the office like filing and answering
the phone to basic book-keeping and familiarity with office equipment and procedures.
REQUIRED JOB SPECIFICATIONS
Required Qualification Bachelor’s degree
Required Experience Some relevant experience
REQUIRED JOB COMPETENCIES (Technical and Soft Skills)
Working knowledge of office devices and processes
A fast typist with knowledge in stenography and taking dictations
Very good knowledge of MS Office
Excellent communication skills
Very good organizational and multi-tasking abilities
DUTIES AND RESPONSIBILITIES % Effort
General Office Administration 60%
Monitor level of supplies and handle shortages
Resolve office-related malfunctions and respond to requests or issues
Maintain files and records so they remain updated and easily accessible
Utilize office appliances such as photocopier, printers etc. and computers for word processing,
spreadsheet creation etc.
Perform receptionist duties when needed
Maintain an updated contact lists including address and cell numbers of all relevant offices and
individuals.
Scheduling & Coordination 30%
Scheduling HOD’s meetings and appointments, creating agendas and ensuring the minutes are
recorded and circulated according to established protocols
Assisting in organizing Board of studies meeting and ensuring documentation and
recordkeeping of all information
Liaising and coordinating across different departments to complete tasks.
Organize office and assist associates in ways that optimize procedures
Sort and distribute communications in a timely manner
Maintain trusting relationships with students, colleagues and guests.
Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
Assist in making travel arrangements and booking venues for conferences and events
