System allocation

1. Assess Employee Needs

 Determine what kind of system they need based on their role (e.g.,
Billing, coding, ).

 Check if they need any special hardware/software.

Example:

 Billing→ High-performance Desktop with 8+ GB RAM

 Coding → Basic desktop with standard software.

2. Prepare the System

 Unbox and inspect the system.

 Install OS (Windows).
 Install required software (MS Office, security software).

 Apply system updates.

 Create user profile and set company-standard settings.

3. Asset Tagging & Inventory

 Assign an asset ID/tag to the system.

 Record details: brand, model, serial number, date issued.

 Add to our IT asset management system (can be a simple Excel sheet )

4. Assign System to Employee

 Log who the system is being assigned to.

 Update inventory with employee’s name, department, date of


assignment.

 Provide mouse, keyboard, etc.

5. Sign-off and Handover

 Have the employee sign a handover form or digital acknowledgment.

 Brief them on usage policies, IT support, and data security.

6. Ongoing Support & Maintenance

 Provide them contact info for IT support.

 Schedule regular checkups or software updates.

 Have a process for system return or replacement if needed.
