Photo/Video Posting Policy

Purpose
This policy establishes guidelines regarding the taking, sharing, and posting of photos within the company premises
to protect confidential information, employee privacy, and company reputation.

Scope
This policy applies to all employees, contractors, vendors, and visitors who enter company premises or attend
company-related events.

Guidelines
A. Prohibited Content
Employees and visitors must not take, share, or post photos that contain:
1. Confidential Information – Internal documents, financial records, product prototypes, client data,
business strategies, or any sensitive company information.
2. Restricted Areas – Images from production areas, research and development labs, or any space marked as
confidential.
3. Employee Privacy Violations – Photos of coworkers without their consent, especially in personal or
private settings.
4. Unauthorized Use of Company Branding – Logos, marketing materials, or proprietary designs without
prior approval from the company.
5. Inappropriate Content – Any images that may be offensive, misleading, or harmful to the company’s
reputation.

B. Authorized Posting
Employees may share workplace photos only under the following conditions:
1. Company-Approved Events – Photos from company events, team-building activities, or public company
announcements may be shared if authorized by management.
2. Managerial Approval – Before posting any work-related images, employees must seek written approval
from their manager or the HR department.
3. Compliance with Branding Guidelines – Any use of the company’s logo or branding elements must
adhere to corporate identity guidelines.

C. Social Media and Online Sharing


1. Employees should refrain from posting workplace images on personal social media unless explicitly
permitted.
2. If an employee is authorized to share company-related content, they should include a disclaimer stating that
their views do not represent the company.
3. Employees must not use their work email to register social media accounts that share company-related
content.
4. Employees must not use/share company related content such as vehicle plates, warehouse items, office set
up, customer’s info or details including photo/video, owner’s info or details including photo/video
5. When in Doubt, Don’t Post
 If you’re unsure whether a photo is appropriate, consult HR or your manager.
 Err on the side of caution to protect both yourself and the company.

D. Consequences of Non-Compliance
Violating this policy may result in:
1. Disciplinary Action – Including verbal warnings, written warnings, suspension, or termination of
employment.
2. Legal Consequences – If the shared content leads to a breach of confidentiality, copyright infringement, or
data protection laws.
3. Revocation of Access – Employees or visitors who violate this policy may lose access to certain areas of
the workplace.

E. Disciplinary Actions for Violations


Violating this policy may lead to disciplinary action based on the severity of the incident. Actions may include:

Category 1 – Minor Violations


(Examples: Posting harmless workplace photos without permission, minor branding misuse)
 First offense: Verbal warning and required removal of the post.
 Second offense: Written warning and a social media training session.
 Third offense: Final written warning with a potential suspension.

Category 2 – Moderate Violations


(Examples: Sharing photos of restricted areas, posting colleagues’ images without consent, minor confidential
data exposure)
 First offense: Written warning and required post removal.
 Second offense: Suspension for up to 3 days.
 Third offense: Probation or potential termination.

Category 3 – Grave Violations


(Examples: Posting highly confidential company data, leaking product prototypes, sharing damaging or
offensive content)
 Immediate suspension pending investigation.
 Possible termination of employment.
 Legal action if the post causes financial loss, data breaches, or brand damage.

F. Reporting Unauthorized Posts


Employees who notice unauthorized photos posted online or shared externally must report them to the HR
department or IT security team for further investigation.

G. Review and Amendments


This policy is subject to periodic review and updates. Employees will be informed of any changes as necessary.
