You’re engaged!
NOW WHAT?
You’ve got the ring, but most importantly, you’ve found someone to
spend your life with. Getting engaged is a huge step in any relationship
and that alone is worth celebrating! Take some time following your
proposal to relish in the good news with your future spouse. You’ll
be with family, friends and wedding vendors a lot leading up to your
wedding, but be sure to set aside time to spend together for just
the two of you. Go on dates, talk about your life outside of wedding
planning and relax!

Most couples take about a year to plan a wedding, but every

engagement length and preference is different. Depending on how long
or short your engagement is, you can adjust your wedding planning
timeline and checklist to fit your needs. Remember: When it comes to
wedding planning, there are no steadfast rules that you must follow,
or even a strict order you necessarily need to abide by. That said, a
guideline (like this one!) can help you get a better sense of what to be
focusing on in accordance with typical vendor timelines.

Before you start planning your wedding day, sit down with your partner
and talk about your wedding vision. Now is the time to set expectations
about what your dream wedding looks like. What type of wedding do
you want? How big or small is your wedding? Do you want to go all-out
on an extravagant wedding or do something more simple?

Need talking points? Consider making a list of “must-haves,” “nice-to-

haves” and “don’t needs.” Compare lists to see where each of you fall
and decide how you can compromise. Having this conversation will help
you both feel like you have ownership over your big day. Although the
bride is often designated as the primary wedding planner, keep in mind
that this day is for the two of you! These are some of the many decisions
you will share in your lifetime.

INSIDER BUDGETING TIPS:

• Consider opening a credit card with great travel rewards for all wedding expenses. Use the perks to up the
ante on a great honeymoon! Piña Coladas at the beach, anyone?

• Avoid promising anyone a wedding invite (or plus one) until your wedding list is finalized. Above all, it’s
most important to invite the people that matter most in you and your partner’s lives now and in the future.

• Off-season and Friday/Sunday wedding rates are definitely the best deals, but you can often get perks and
discounts year-round for booking a vendor before a set time.

• Roughly 50% of couples spend more on their wedding than they initially planned to. No matter how well you
plan, unexpected and unavoidable costs will arise. Set aside a slush fund (2–3% of your budget) so that
you’re prepared when they do.

7
How do we choose
A VENUE?
Finding your ceremony and reception venues are the #1 most important thing to check off your
list. It’s a major decision, and we’re here to help you make a choice you’re happy with through
some helpful tips! ●

START EARLY: Depending on your location, you might need to move fast to ensure that you
snatch up the right venue for your wedding date. In bigger cities with more weddings, venues can
start to book a year or more in advance.

PRIORITIZE: Make a list of what is most important to you, what’s nice to have, and what you
can live without. For example, if you’ve gotta have a venue with indoor and outdoor space, don’t
waste your time looking at other types of locations.

GOOD VIBES ONLY: Consider what style of wedding you want to have. Is it boho, rustic,
timeless or glam? Do you want it in a barn or a banquet hall? Knowing your vibe and type of venue
can help you home in on your dream spot.

ASK AROUND: Your engaged and newly married friends are your greatest resource. Ask them
what venues they liked or didn’t like and why! Reading reviews online also helps.

LOCATION, LOCATION, LOCATION: Consider proximity to ceremony space (if its

different), nearby hotels, where to take photos and time of year. All can influence what venue you
ultimately choose. If you pick locations that are far from each other, you’ll likely have to prepare
and budget for transportation between each space. If budget is a concern, think about a more
inclusive space (like a hotel).●

GET CREATIVE: Don’t be afraid to think outside the box, especially if you’re having a hard
time finding an available venue. Unconventional venues like restaurants, museums, warehouses,
wineries/breweries and even private parks can be stunning with the right decor, and sometimes a
better deal! Plus, you usually aren’t tied to a strict list of vendors●

BE OPEN: Communicate your budget with potential venue partners right away. They can help
you find affordable packages and even work with you to modify a package to help get costs down.

Come prepared to your venue tour with a written list of questions. Be sure to read line by line through the proposal
and note any added fees. This is really the best time to negotiate costs. It’s critical to know your venue’s vendor
policies: If you can source your own vendors, you can usually find good savings. Some venues even let you purchase
your own alcohol (with a corking fee), so you don’t have to pay a premium charge. Same goes for florists, bakery, DJs,
etc. If you’re working off a tight budget, a venue with flexible vendor policies is a good way to go. Still, even with a
strict vendor list, there are plenty of ways to save money. Find 10 savvy tips here!

Booking a venue means setting your date — aka your FUTURE WEDDING ANNIVERSARY, which is
super exciting! Once you set your date, take a moment to celebrate this major win.

8
How do we choose
A CATERER?
Finally, we’re talking about food! A lot of venues will refer or provide their own catering,
which can make the booking process a lot easier. However, getting to pickl your own
catering company comes with its own perks too because you actually have the freedom
to choose one that best aligns to your values, food preferences and budget. With
any catering option, try to research the company online to see what other couples or
guests have said about the quality of their food. Plus, if your catering company runs a
restaurant or a bar nearby, grab a bite to eat there to see what the food and service is
like. Although the catering menu is certainly different, it can be nice to know more about
their food style before you do a formal tasting. Some venues with a full restaurant inside
may even provide you a meal on the house to help you make a booking decision.

As always, come prepared with questions. Looking for other ways to cut the cost

11
How do we choose
A PLANNER?
A wedding planner or month-of coordinator can be a huge help for planning a wedding, especially if
you’re on a short timeline. Wedding planners specialize in helping your vision come to life, and they know
all the right people to help you do it. Although it is an added cost, they’re particularly good at finding
great deals, as well as negotiating better fees with vendors. This can ultimately help recover the price of
hire. Coordinators also take a lot off your plate leading up to and on the big day. It’s a big relief to know a
professional is there to support you!

Depending on your specific need, a wedding planner, coordinator or designer can really provide some much-
needed guidance. What’s the difference? We’ll break it down for you:

WEDDING PLANNER
From the point of hire until the big day, your wedding
planner will handle the logistics. They’ll recommend
vendors, schedule and attend all vendor meetings,
negotiate contracts, keep you on budget, etc. A wedding
planner is great for couples who don’t have any extra time
to plan.

WEDDING COORDINATOR
Coordinators can be hired to help you a few months prior
to the wedding all the way up to the day of. Coordinators
well help you identify and stick to a day-of timeline, tying
up any loose ends as you’ll be super busy celebrating, of
course! Coordinators are helpful for any couple wanting
some support.

WEDDING DESIGNER
Designers will facilitate all visuals to create a cohesive
look from beginning to end. From floral design to lighting,
stationery and table settings, they’ll put it all together!
Hire a designer if you have extra budget and want a
picturesque setting.

Book a planner early to ensure they have the date available and (depending on service level) so they can help
with big wedding planning tasks like finding a venue.

HIRING TIPS:
1. Ask your venue manager if they can recommend someone. A planner with experience at your location is a
huge plus because they know all the challenges and opportunities.

2. Experience is crucial. Ask how long they’ve been in the business the type of weddings they’ve worked on.
Are they credentialed? How many weddings do they do a year?

3. As always, read reviews! Check online to see what other brides have said about working with your planner.
You can often find these on Yelp, Google, Wedding Wire or The Knot.

4. Look at the rates. They can have hourly, fixed or flat fees, and even referral charges for booking certain
vendors. It’s good to know for budgeting purposes!

5. Listen to your heart. It’s important to feel like you can have a good working relationship with this person.
If it doesn’t feel right, listen to your instincts. Wedding planners are doing the same thing on their end.

How do we choose
ENTERTAINMENT?
Put on your dancing shoes; it’s time to talk music! The age-old debate: Band or DJ? There are
definitely pros and cons to each of them. Here’s what you need to know before you book.

HIRING A WEDDING BAND

Live music is fun, energetic and emotional.
It’s a great option for anyone that has a personal
connection to a band or loves a certain style
of music. A band is also fun to watch, which
makes it a nice (and more inclusive) experience
for anyone who doesn’t want to dance. Good
bands know how to improvise to keep the energy
of the room high. Your music will always be
one-of-a-kind with a band! That said, a band is
often significantly more costly than a DJ (you’re
hiring a group of people vs. one). The sound
level is harder to control, and they’re limited in
the songs and genres they can play. Bands also
need more space to perform — not all venues
can accommodate. Before you book a band,
you’ll want to know how long the band has
been together and the number of weddings
they’ve done (plus how many events they do in
a weekend). Who will emcee the night? Which
band mates will be there day of? Will they play
music during breaks? Find out if they’ve played
at your venue before and whether or not they who’d rather sit on the sidelines. Before you book,
