Title of Project: RFID - Enabled Smart Attendance Management System
Introduction:
There is a growing need for automation and efficiency with routine
challenges in educational and organizational settings. The utilization of
smart technologies has emerged as an increasingly popular measure,
especially the Smart Attendance System with RFID, a form of wireless
technology that uses radio waves to identify objects, people, and animals. It
will use RFID technology to make attendance tracking automatic and,
therefore, accurate, with minimal human intervention, and avoid the
common pitfalls of buddy punching or manual mistakes. Recent
advancements in ICT have facilitated the development of smartphone
applications in all fields of life. The paper tackles the problems of
attendance in institutions of learning, specifically the case of King
Abdul-Aziz University (KAU) in Saudi Arabia, where the traditional
attendance methods are inefficient, prone to error, and devoid of parent
involvement. The proposed RFID-based attendance system is designed to
streamline the process of attendance using RFID cards for detection
purposes, ensuring accurate and efficient tracking, which involves minimal
manual intervention. This paper does not include web or mobile interfaces,
daily absence reports, or customizable reporting tools, but focuses on the
core functionality of automating the marking of attendance through the use
of RFID technology. The system is tested at KAU and is expected to make
attendance tracking easier, administrative burdens lighter, and decisions by
teachers and students much better (Qureshi, 2020).
In a normal configuration, person-to-person RFID tags can
wirelessly transmit their presence to RFID readers in their proximity. The
marking of attendance can be enabled to become faster and also more
trustworthy in this aspect. They are particularly beneficial for the schools as
saving time, track made in real-time, and have practical administrative
efficiency. Furthermore, with RFID technology amalgamated with database
systems, it will be easy to store and retrieve records of attendance, data
integrity, and easy analysis during decision-making processes. In today's
fast-paced life, students require efficient and convenient learning solutions
that cater to all common challenges. Manual recording of attendance is
time-consuming for the teacher and this, therefore, requires alternatives to
be smarter. An article discusses a smart monitoring attendance system
based on radio-frequency identification techniques to make attendance
recording smarter for classrooms. It also provides absent students with
missed lesson materials, which helps in efficiency and reduces dropout
rates (El Mrabet & Ait Moussa, 2020)
The traditional attendance systems, through manual signing on
attendance sheets, create a waste of time, are error-prone, and allow
opportunities for cheating. This problem is addressed through the
RFID-enabled Smart Attendance Management System (RFID-SAMS),
which would significantly simplify the process by allowing an RFID tag
placed on ID cards to uniquely identify a person for quicker, more secure,
and more accurate tracking of attendance. It also removes duplicate or
incorrect readings and integrates well with modern devices such as
Windows Phones and Surface RT. RFID-SAMS has an efficient and
portable solution to real-world university attendance management (Zhi &
Singh, 2015)
It allows for the opportunity of having real-time notification, data
visualization, and even integration with other management tools, so this is a
scalable solution for most applications.
Purpose of the study: This research aims to design and develop a Smart Attendance System
using RFID technology that will improve the inefficiencies and challenges
of the traditional attendance method. This study aims to explore the
improvement of attendance management processes at educational and
organizational levels in terms of automation and enhancing functionality.

The system ultimately aims for scalability and efficiency in
multiple applications while improving educational outcomes.
Scope and limitation: Scope

Limitation
1. The system will not have mobile or web interfaces.

3. It only enables attendance tracking and does not support lesson
material sharing.
4. Security risks to personal information in the RFID system.

Fabrication of the
project:
STEP 1: We need to secure first the arduino uno and the case so that it is
fixed on its position and will not move.
STEP 2: we also need to place the lcd display and the rfid scanner and put
the necessary cables so that it won’t be a problem later.
STEP 3: We also need to connect the buzzer to the ground terminal cable of
the rfid because the ground outlet on the arduino is lacking and can only
put 3.
STEP 4: Next is to assemble the led and their resistor and secure it so that it
won’t separate on each other.
STEP 5: Next is we need to put the arduino and case on the box to prepare
and pit the necessary cables.
STEP 6: Connect each jumper wires from the lcd and rfid scanner to rhe
arduino uno — to their respective outlets.
STEP 7: Connect the remaining parts such as the led to finish the project.
STEP 8: Connect it to the computer to operate the smart attendance system.

Question 1: How easy is it to use the RFID attendance system for logging
your attendance?
The responses show that the majority of participants find the topic simple
to use. Specifically, 55% of respondents voted for very easy, 35% for easy,
and 10% for neutral, with no respondents voting for difficult or very
difficult.

card not being detected)?
According to the responses to question 2, 42.5% of respondents had some
issues with RFID, while 57.5% had none.

Two respondents, 10%, voted on the reliability of the RFID attendance
system on a scale of 3; 12 respondents, 60%, voted on the reliability of the
RFID attendance system on a scale of 4; and 6 respondents, 30%, voted on
a scale of 5.
Question 6: How would you rate the overall user-friendliness of the RFID
attendance system?
According to the responses, 45% of participants chose very user-friendly
and user-friendly, with 10% selecting neutral. There was no vote for "not
user-friendly and difficult to use.
Question 7: How often does the RFID system accurately register your
attendance without any issues?
55% of respondents voted for sometimes, which means that the RFID
system registers correctly without errors, 35% voted for always, and 10%
voted for most of the time.
Question 8: Do you think the RFID system saves time compared to manual
attendance methods?
95% of survey participants believe that the RFID system saves time when
compared to manual attendance procedures. whereas 5% of respondents
said no.
Question 9: Do you think the RFID system helps reduce attendance fraud
(e.g., buddy punching)?
100% of respondents to the survey believe that the RFID system lowers
attendance fraud.
Question 10: How would you rate the overall user-friendliness of the rfid
attendance system?
According to a survey, 10% of participants voted neutral, while 45% of
participants said it was very user-friendly and user-friendly.
Conclusion: RFID-Enabled Smart Attendance Management System or RFID-SAMS for
abbreviation is actually a very innovative solution to many critical issues
associated with methods of recording attendance in education and business
organizations. A system with RFID technology, it does ensure results of
high precision and reliability without human mistakes, fraudulency due to
attendance records, or inefficiencies brought about by manual recording.
The results of the survey are valid proof of the effectiveness and
friendliness of the RFID-SAMS. A high proportion of the respondents
found it user-friendly and reliable. For that reason, 95% agreed that it saves
time compared to the old method, and 100% agreed that it eliminates
attendance fraud. With that said, there are several weaknesses as indicated
by the responses. These range from sometimes detecting issues and
problems with personal data security to the extent that 90% of the
respondents concurred that data protection was a problem.
Apart from ensuring attendance is taken more accurately, there are various
other benefits to the system. Saving time and less paperwork means the
RFID-SAMS saves more precious time for teachers and administrators to
perform other, more important things. Additionally, it offers real-time data
storage to help inform decision-making. In total, the efficiency of any
administration of the institution improves. Some of the weaknesses include
lack of mobile and web interfaces, customizable reporting tools, and
real-time notifications to parents or guardians. None of this detracts from
the general purpose of the system or its achievement in automaticising the
processes that touch attendance.
This work speaks of potential change as possibly what would befall schools
and universities, workplaces included through the RFID technology.
Current disadvantages might therefore be set straight with future
improvements being counterproductive to the now prevalent shortcomings:
secure encryption for data and integration within mobile apps and
customizable reportage options would strengthen the analytics.
Finally, the RFID-SAMS concludes with the demonstration that automated
attendance systems not only reduce inefficiencies but also improve
experiences on both sides of the campus. It has the scope for wider
applications and if further developed can become one of the comprehensive
and unavoidable tools in modern attendance management.
