LEAVE POLICY –Jan,2024


Purpose: Every team member of AEL will be encouraged to avail leaves & privilege
leave once in a financial year, for a period earned leaves. This leaves shall be
granted for the purpose of rest and relaxation.
Responsibilities: HR & Admin IR / Finance & HOD
Applies to: Only for permanent employees of AEL effective from Jan,2024

LEAVE POLICY

Excellent attendance is an expectation of all employees of AEL. An employee is provided the


facility to avail following types of leaves;

 Casual Leave
 Sick Leave
 Earned/Annual Leave
 Leave without pay
 Public Emergency
 Compensatory Leave

Leaves taken may be divided as follows:

I.D. Description Fraction of Leave


 Full 1 day
 Half 0.5 day
 Short 0.25 day

Casual Leave

 Casual leave is granted upon contingent situations such as sudden illness or carrying out
important personal activities/ emergency.
 A written notice of one (1) day with the approval of Departmental Head is required to be
submitted to the HRD before an employee can proceed on normal casual leave. In case of
failure to provide due notice, the HRD may charge it to time off without pay.
 No prior notice is required to avail emergency casual leave.
 An employee may not normally take more than 2 consecutive casual leaves in a month.
 A confirmed employee can avail casual leaves per annum as per the given below detail:

 Junior Executive 5 days


 Officer 10 days
 Senior Staff 10 days
 Junior Staff 10 days
 Worker 10 days

 For Junior Executives, Casual leave cannot be en-cashed or carried forward.

 For Officer to Workers cadre employees, Casual leave can be en-cashed at the end of every
financial year.

Sick Leave

 Sick leave is considered time off with full pay for an employee's illness or injury and must be
supported by a medical certificate in case two (2) or more consecutive days are taken off.
 A confirmed employee can avail sick leaves per annum as per the given below detail:

 Junior Executive 10 days


 Officer 10 days
 Senior Staff 16 days
 Junior Staff 16 days
 Worker 16 days

 For Junior Executives, Sick leave cannot be en-cashed but can be carried forward.

 For Officer to Workers cadre employees, Sick leaves can be en-cashed at the end of every
financial year.

Earned/Annual Leave

 All confirmed employees are entitled for Earned/Annual leave per annum as per the given
below detail:

 Junior Executive 25 days


 Officer 21 days
 Senior Staff 16/17 days
 Junior Staff 16 /17days
 Worker 16/17 days

 For Senior/Junior Staff and workers, Earned/Annual leaves are seventeen (17) instead of
sixteen (16), this increase due to the service of more than 10 years.
 Earned/Annual leave can be carried forward up to the equivalent to 2.5 years’ balance and
access leaves can be en-cashable at the end of every financial year.
 Fifteen (15) days’ notice must be provided or the Company will reserve the right to disallow
the leave.
 Annual leave period may not be extended by adding casual leave or sick leave to it.

Leave without Pay

Employees may be granted leave without pay for reasons such as extended illness of the
employee, need to care for a family member or death of a family member. For purposes of this
policy, family members are defined as spouse, parents, children, brothers, sisters, grandparents,
and grandchildren, including in-laws in these relationships, regardless of place of residence, and
other persons living in the employee's household for whom there is a personal obligation.

Public Emergency Leave

Employees may be granted time off with pay during a public emergency that effectively prevents
attendance at work or the continuance of work in a normal and orderly manner. A public
emergency includes either a natural disaster, such as fire, flood, or earthquake, or a man-made
disorder, such as a demonstration, riot, or act of sabotage. Approval for time off with pay for
such emergencies is granted by the COO/MD.

Compensatory Leave

Compensatory leave is paid time off for an eligible employee having worked additional hours in
a workweek, having worked on an official office closing day, a holiday, or a scheduled day off;
or when a holiday falls on an employee's scheduled day off. Employee cannot compensate less
than 4 hour and can claim his compensatory leave after sixty (60) days. Compensatory leaves are
non-cashable.

HAJJ/UMMRAH LEAVES: refer to the Hajj/Ummrah policy lucky draw and Ummrah nomination all
leaves will be granted other than prescribe Annual Leaves /S-L/C-L as per management discretions’ for
Hajj 40-day and for Ummrah 20-days

OFFICAL LEAVES: as per official visit inland or foreign country marked as official leaves.

Note:

i) The duly filled and approved leave application form shall be submitted, well before time to
avail or apply above mentioned leaves except in case of emergency or sickness.

Note:
i) ‘Gazetted holiday’ stands for public holiday, as declared by the Federal Government
ii) ’Year of service’ stands for completion of 365/366 continuous days of paid service
iii) ‘Approved’ stands for official approval in writing
