Transition Planning Guide for Enterprises

Introduction
Microsoft Dynamics CRM Online is a cloud-based customer relationship management (CRM)
offering from Microsoft. As one of the first business-to-business online services available from
Microsoft, it had to develop certain back-office and service capabilities specific to the cloud. Since
the initial launch of Microsoft Dynamics CRM Online in 2007, Microsoft has expanded its cloud-
based service portfolio most notably with the introduction of Office 365, a suite of productivity
applications. The company’s increased focus on the cloud has resulted in the development of
new infrastructure that Microsoft Dynamics CRM Online can now take advantage of for the
benefit of its customers.
On July 19th, 2012 Microsoft Dynamics CRM Online on-boarded to a new administration portal
and billing platform. Together the portal and billing platform are referred to as the Microsoft
online services environment. This environment is designed to streamline and improve the
customer experience across all Microsoft online services. It enables customers to manage their
Microsoft Dynamics CRM Online and Office 365 subscriptions from one location and also delivers
enhanced regulatory and industry compliance.
Prior to the introduction of this environment, customers who created a subscription using
Microsoft Dynamics CRM Online used a different administration portal and billing platform. For
the purposes of this document, this legacy platform will be referred to as CTP (Commerce
Transaction Platform).
This original platform for the service will be decommissioned in the Q1 of calendar year 2014
timeframe, and customers will be moved to Microsoft’s standard administration, billing and
provisioning environment for Microsoft cloud services (the Microsoft online services environment).
Every attempt will be made to minimize the burden on customers throughout this transition. It is
also important to note that the move of Microsoft Dynamics CRM Online to a new administration
environment is unprecedented and highly unlikely to re-occur. The transition is being driven by a
broader alignment of Microsoft to the cloud. Microsoft sincerely appreciates your understanding
as we work with you to make the necessary changes to better serve our customers across all of
your services and devices needs.
The transition process is not something we expect you to manage on your own. As part of our
commitment to minimize the impact to your enterprise, Microsoft will appoint a Transition
Manager to work closely with you. The Transition Manager will be your primary contact in
Microsoft for all matters relating to your transition. This guide explains the role of the Transition
Manager and the tasks and responsibilities they are assigned as part of the process.

4
Benefits of transitioning to the new environment
The new environment represents a significant investment from Microsoft designed to streamline
and improve the customer experience across all Microsoft online services. It is in direct response
to the increasing importance that our customers are placing on cloud-based services. In addition
to merging the administration environment for both Microsoft Dynamics CRM Online and Office
365 subscriptions, a number of other benefits are obtained by transitioning to the new
environment.

Benefits for an enterprise after transition

 Enterprises can control purchases and account management of Microsoft Dynamics CRM
Online and Office 365 service subscriptions from one location.
 The new platform delivers compliance with the following privacy and data security industry
standards: SAS 70 (SSAE 16) Type II, HIPAA, and EU Safe Harbor.
 Enterprises will change from using Live ID user authentication credentials (e.g.
[email protected]) to using cloud-managed credentials based on the Microsoft Dynamics
CRM Online Organization ID, or their own IDs federated from an enterprise Active Directory.
 Enterprises using federated IDs will benefit from having single sign-on access to Microsoft
Dynamics CRM Online.
 Enterprises will receive a single bill when Microsoft online services are purchased together
 New commercial offers related to Microsoft online services environment are available on the
new platform only.
 Microsoft Dynamics CRM Online Trust Center coverage will be provided via web access and
provides in-depth information about the privacy and security practices for Microsoft Dynamics
CRM Online services.

Benefits for administrators after transition

 The new portal makes it easier to manage all Microsoft online service subscriptions from one
location, and gain access to new cloud capabilities by providing a unified and simplified
experience
 Ability to provision Microsoft Dynamics CRM Online and Office 365 from a single portal
 Ability to combine multiple Microsoft Dynamics CRM organizations in a single subscription
 Access to billing for all Microsoft online services from a single portal
 Access to the Service Health Dashboard

Benefits for users after transition

 Users can sign on to Microsoft Dynamics CRM seamlessly using their corporate credentials
(or identity).

Next steps after reading this guide

Once you are familiar with this guide, the next step is to reply to your assigned Transition
Manager. If you have not already been contacted by a Transition Manager, then you may not be
transitioning at this time, but you will be notified about your transition in the coming months.
If after reading this guide you believe you require further support for the transition then you should
first discuss your concerns with your Transition Manager. Your Transition Manager will help you
determine the options available which include using Microsoft Consulting Services (MCS) or a
Microsoft Partner to help you with the transition process. A list of suitable Partners can be
obtained from your Transition Manager.

Outside the scope of this guide

This guide specifically focuses on the transition of Microsoft Dynamics CRM organizations from
CTP to the new Microsoft online services environment. It does not address the following items:
 Migration of an on-premises Microsoft Dynamics CRM solution to a Microsoft
Dynamics CRM Online service
This document is not a guide for enterprises wishing to migrate from an on-premises to an
online installation. Enterprises considering migrating to Microsoft Dynamics CRM Online
should contact their Microsoft representative.
 Enabling single sign-on (“AD FS”) functionality for the Microsoft Dynamics CRM
Online service
While this is not part of a transition, this guide does provide some pointers and guidance for
administrators on the steps necessary to set up identity federation using AD FS either as a
pre or post-transition task (see section Authentication and AD FS).

Tip
Your partner or TAM (if you are a Premier Customer) can be a great resource in
performing this extra work.
 Upgrading Microsoft Dynamics CRM Online releases
This guide does not cover aspects relating to the upgrade of new releases in the online
environment. More information on upgrading Microsoft Dynamics CRM 2011 versions can be
found at: http://support.microsoft.com/kb/2555051.
 Transition of Microsoft Dynamics CRM Online trials and demo organizations
To successfully transition your organization you will need to have a current, paid subscription.
Microsoft Dynamics CRM Online trial or demo organizations will not be transitioned to the
new environment.
Microsoft recommends that customers review and document their subscriptions and ensure
that organizations they want to maintain, such as test environments, are eligible to be
transitioned to the new service. If you are uncertain about the status of an organization
7
subscription refer to Microsoft Dynamics CRM Online Support. In addition, a list of frequently
asked Microsoft Dynamics CRM Online billing questions is available
at: http://rc.crm.dynamics.com/rc/2011/en-us/online/5.1_CTP/billingfaq.aspx.

Transition guide versions and feedback

This guide is subject to change as Microsoft makes improvements and enhancements to the
transition process based on a review of each transition that occurs. Before starting work based on
the advice in this document, it’s important that you check for updated versions of this guide on the
Transition Center at http://go.microsoft.com/fwlink/?LinkID=275038.
Your feedback is important to us so readers are encouraged to submit feedback about this guide
and the transition process to [email protected].

Transition Overview
This guide specifically describes the Microsoft Assisted Transition, which means you will have a
Transition Manager from Microsoft assigned to you. The Transition Manager’s role is to ensure
your transition is managed and handled according to your specific requirements. The assisted
transition is tailored to each customer in order to make the transition as smooth as possible. The
assisted transition is also available by request for customers who for operational reasons need to
transition before the November 2013 timeframe. A request for an assisted transition can be made
through your Premier Field Service Representative or by sending an email to
[email protected]
Important notes regarding your Microsoft Dynamics CRM organization being transitioned:
 There is no change to service availability or application functions. This transition is not
an upgrade to the application functionality of your Microsoft Dynamics CRM Online
application or to the physical infrastructure that your organization runs on. Therefore you can
expect the same levels of service availability and functionality in the pre and post transition
states.
 Your Organization URL name remains the same before and after transition. During the
pre-transition phase, the trial organization will have a different URL than your CRM
organization on the legacy platform. During the transition phase, the URL will be changed to
your existing Organization (legacy) URL. The URL, for example,
“https://contoso.crm.dynamics.com” that you use to access the Microsoft Dynamics CRM
Online organization today, will be the same after the transition.

Transition responsibilities

Customer
Read the relevant sections in this guide and consider the following points to ensure a smooth
transition and to reduce IT and business-related issues after transition:

Tip

8
Your partner or TAM may be a valuable resource in completing these steps.
 You should review and comply with the customer pre-requisites listed in section – Pre-
requisites for Transition.
 You should review and compile the information in the profiling checklist documented in the
section – Transition Manager conducts Profiling session.
 You should review and work through the pre-transition checklist documented in section – Pre-
Transition Action Items Checklist.
 You should inform your Transition Manager of any existing technical support issues with your
Dynamics CRM Online solution.
 You should develop a communication plan for your users in order to help your user
community to prepare for the changes in functionality and the disruptions during the change
period.
 There is no ability to roll back once the transition has completed successfully, therefore
sufficient time must be allowed to execute a test strategy in the Pre-Transition phase if one is
defined for your transition.
 No upgrades or changes should be introduced to the Microsoft Dynamics CRM organization
or to the supporting solutions such as Microsoft Outlook in the 14 days prior to the transition
date.
 You must be prepared and staffed to address any post-transition issues within the context of
the Microsoft Dynamics CRM Online service.
 If you have a help desk it should be considered part of the wider support team, primarily as a
first response group for user concerns immediately after transition has completed, and also
as awareness for the impacted changes on internal procedures such as user account
maintenance.

Microsoft
The transition process is not something we expect you to manage on your own. As part of our
commitment to minimize the impact to your enterprise, Microsoft will:
 Appoint a Transition Manager to work closely with you. The Transition Manager will be your
primary contact in Microsoft for all matters relating to your transition. The responsibilities of
the Transition Manager are described in the section below.
 Microsoft will provide support as you work through your Post-Transition Action Items
Checklist in the period immediately following the transition of your organization.

Transition Manager
The Transition Manager’s role is to ensure your transition case is managed and handled
according to your specific requirements, this entails:
 Helping you plan and coordinate the transition activity.

 Ensuring your transition has completed successfully and validating the outcome of post-
transition tasks.
 If the transition has not been successful, the Transition Manager will work with you on
resolving any issues.

Partner of Record
If you have a Partner of Record, then your partner may be a valuable resource throughout your
transition. Your partner’s familiarity with the transition and their understanding of your solution can
help make your transition as effortless as possible. Microsoft recommends that you contact your
partner if you would like their assistance in your transition.

TAM (Technical Account Manager)

If you are a Premier customer, then your TAM may be a valuable resource throughout your
transition. Your TAM’s understanding of your solution can be a great asset throughout your
transition. Microsoft recommends that you contact your TAM if you would like their assistance in
your transition.

Pre-requisites for transition

Microsoft recommends that this transition should be treated as an IT project.
Microsoft recommends you form a core project team consisting of the following project team
members:
 Project Manager: Responsible for the coordination of your resources and to interface into
Microsoft
 Administrator: Responsible for the general transition duties and operation of the solution
 Developer: Responsible for validating the possible impact the transition has on the
configuration and customization of your Microsoft Dynamics CRM organization
For the technical areas of the transition it is assumed that the project team has technical
knowledge of the topics outlined below:
 Knowledge and proficiency in the following Microsoft client technologies:
 Microsoft Outlook client add-in for Microsoft Dynamics CRM

13
Key phases in a transition
This section describes the key phases of the transition.

Start Phase
The current situation where administration and billing of your organization is managed through
the CTP platform and where we ask you to perform certain preparation activities.

Pre-Transition Phase
Microsoft advises that Pre-Transition activities be started weeks in advance of the scheduled
transition date. The transition of service will have an impact on users, developers and
administrators of Microsoft Dynamics CRM; therefore it requires a level of planning equivalent to
any major technology infrastructure change.
During the Pre-Transition Phase, your Transition Manager will set up a Microsoft Dynamics CRM
Online trial account on the Microsoft online services environment for your organization. Once this
account is created, you will have access to your CRM Online solution on the Microsoft online
services environment through this trial account.
Once your trial account has been established on the Microsoft online services environment, you
will need to activate your licensing and billing before you can transition.
You should not add new users during the Pre-Transition phase.

Transition Phase
The transition will be performed. During this time your organization is inaccessible until the
transition is complete (approximately 30 minutes).
The Transition phase is a Microsoft responsibility.
The Transition phase is a series of tasks executed by Microsoft online services under direction of
your Transition Manager. These tasks are planned in the background in the weeks prior to the

14
actual transition, and then executed at the agreed time. The actual transition of user accounts
and set up of the new administration environment usually occurs over a weekend but can be
scheduled for a specific date and time to fit with your operational constraints.

Post-Transition Phase
After the transition, your subscription, new user credentials and licenses will have been
transitioned to your trial account, and your users will have to access their Microsoft Dynamics
CRM Online accounts using their new credentials.
The Post-Transition phase is a customer responsibility.
All organizations are encouraged to perform Post-Transition tasks including any validation tests
contained in the Post-Transition Action Items Table. This key step ensures the transitioned
environment performs correctly based on the plan prepared in the Pre-Transition phase and
where you issue a Post-Transition communication to affected users.

Transition flowchart
The transition flowchart below outlines the steps that you need to execute for a smooth transition
and an indication of the corresponding transition phase. Each step links to a corresponding
section in the guide that describes the activities that need to be completed before proceeding to
the next step.

15
Subscription and licensing implications
As part of the transition, your licensing subscription will be converted and become active on the
Microsoft online services environment. In certain cases, based on the type of subscription you
have, some subscription details will be changed as part of the conversion.
For further details on the exact changes and how to validate them for your company depending
on your subscription type, refer to the Volume Licensing Customers or Direct Subscription
Customers sections below.
Should you have further questions, you should talk to your Transition Manager.
In addition, a list of frequently asked Microsoft Dynamics CRM Online billing questions is
available at: http://rc.crm.dynamics.com/rc/2011/en-us/online/5.1_CTP/billingfaq.aspx

Volume Licensing Customers

If you are a Volume Licensing customer the following applies to you:
1. You need to check who the designated contact is for Microsoft online services or general.
The email with the transition offer will be sent to the Microsoft online services Advisor
identified on your Enterprise Agreement, or the Notices Contact if the Microsoft online
services Advisor is blank.
Refer to section Review Offer for more details about the Transition Offer.
2. Microsoft will automatically modify the Stock Keeping Units (SKUS) on your Enterprise
Agreement.
Microsoft recommends you check your Enterprise Agreement after setting up the
temporary organization.
Refer to section Prepare temporary Microsoft Dynamics CRM organization on how to set
up a temporary organization.
3. Microsoft will automatically convert your subscription to the associated Volume Licensing
subscription on the Microsoft online services environment.
Microsoft recommends you check the Microsoft online services environment after
setting up the temporary organization
Refer to section You want to use an existing Microsoft online services account on how
to login to the Microsoft online services environment.
4. Microsoft will automatically set the remaining term on your Microsoft online service
environment subscription to the same as the remaining term on your current subscription on
the CTP platform.
Microsoft recommends you check the Microsoft online services environment after
setting up the temporary organization
Refer to section You want to use an existing Microsoft online services account on how
to login to the Microsoft online services environment.

16
5. Microsoft will automatically set the pricing on your Enterprise Agreement to the same as your
current arrangement for the remaining term of your subscription.
Microsoft recommends you check your Enterprise Agreement after setting up the
temporary organization
Refer to section Prepare temporary Microsoft Dynamics CRM organization on how to set
up a temporary organization.

Direct Subscription Customers

If you are a Direct Subscription customer that uses a credit card for payment, or are being
invoiced by Microsoft, the following applies to you:
1. You will need to convert your trial account to a paid offer on the Microsoft online services
environment after the actual transition takes place. At the same time, your Transition
Manager will cancel your CTP organization so you will only have one active paying
subscription at all times.
You will need to follow the steps to set up your temporary organization and after
transition Microsoft recommends you check the subscription on the Microsoft online
services environment to ensure the correct terms have been applied to your account.
Refer to section Prepare temporary Microsoft Dynamics CRM organization on how to set
up a temporary organization.
2. Microsoft will reset the end date of your annual subscription to 12 months from the date of the
transition.
You should that note that the term on your current subscription will be set to expire 12
months from the transition date. Microsoft recommends you check the subscription on
the Microsoft online services environment to ensure the correct terms have been
applied to your account.
Refer to section You want to use an existing Microsoft online services account on how
to login to the Microsoft online services environment.
3. Microsoft will automatically set the pricing terms on your new subscription term to be the
same as your current subscription.
4. Your billing history will not be carried over to the Microsoft online services environment.
You should continue to use BAM to access your billing history for the period prior to
the transition using the link https://commerce.microsoft.com.
5. The timing of your billing cycle may be different once transitioned to the Microsoft online
services environment.
After transition Microsoft recommends you check the Microsoft online services
environment to determine the new billing cycle for your subscription.
17
Transition Steps
Prepare for transition

Review Transition Guide

Before you make contact with the Transition Manager, Microsoft recommends you familiarize
yourself with the contents of this guide and prepare any items you want to discuss with the
Transition Manager.

Note
If you are merging your Microsoft Dynamics CRM Online subscription with an existing
Office 365 subscription, refer to Appendix E for an explanation of the transition process.

Meet the Transition Manager

The Transition Manager will be your primary contact in Microsoft online services and is
responsible for ensuring your transition experience is as smooth as possible. The Transition
Manager will initially contact you to take you through the transition process, answer any questions
you may have, and request your permission to set up a trial account on the Microsoft online
services environment for your organization (see Trial Organization Set Up section).

Transition Manager conducts profiling session

The Transition Manager will conduct a profiling session via a telephone meeting to understand
your company and your deployment of Microsoft Dynamics CRM Online. With the assistance of
our customers, who participated in an early adopter transition program, Microsoft has found that
being able to provide a comprehensive profile will help minimize the impact of transition on your
users. These topics will help you prepare for what the Transition Manager needs to know.
For each organization you have today with an active Microsoft Dynamics CRM Online
subscription, but excluding trial or test organizations, please provide the following information:

Review Pre-Transition checklist

How the transition will affect your users

1. Once transitioned users will need to input their new cloud managed credentials when logging
on to Microsoft Dynamics CRM Online. As a part of your communication plan you should
ensure each user has received a communication telling them what their new user name and
password will be.

Note
For customers and partners merging their Microsoft Dynamics CRM Online
subscription with an existing Office 365 subscription, new user names and passwords
will not be needed for sign-in. Users will sign in with their existing Office 365 user
names and passwords.
2. If your users access Microsoft Dynamics CRM Online using the Outlook client and
experience logon difficulties even after inputting the correct cloud managed credentials or
federated IDs then they may need to run the Outlook Configuration wizard to set the Server
URL to “CRM Online”. See section Review Pre-Transition Action Items.

Review Pre-Transition Action Items

This section provides a checklist of technical items for administrators and configuration managers

2. If your Organization uses the Microsoft Dynamics CRM Email Router, it will need to be
updated to use new cloud managed or federated credentials after transition.
Microsoft recommends that you determine the credentials to be used by the Email Router in
the Pre-Transition stage. Once the transition has occurred, you will need to run the Email
Router Configuration Manager and update the Deployment properties to use the new
discovery service and input the new cloud managed or federated credentials. More
information regarding the new discovery service URL can be found in Step 4.
For more information on configuring the Microsoft Dynamics CRM Email Router, see
http://technet.microsoft.com/en-us/library/hh699786.aspx.
3. If your organization includes customizations in JavaScript, Silverlight, Web Resources, or an
ISV solution that authenticates to Microsoft Dynamics CRM Online using Live ID credentials
these functions should be updated to use the new cloud managed or federated credentials.

22
To determine if Live ID credentials are being used, a code inspection may be necessary. If
your application includes any ISV solutions, Microsoft recommends contacting your ISV.
More information on coding approaches can be found at:
 http://technet.microsoft.com/en-us/library/hh771584.aspx (JavaScript)

4. You should check if your organization uses the correct discovery service for accessing your
Microsoft Dynamics CRM instance after transition to Microsoft online services. The following
table lists the Web service URLs for the worldwide Microsoft Dynamics CRM Online data
centers.

To determine if the right discovery service is being used, a code inspection may be
necessary. If your application includes any ISV solutions, Microsoft recommends contacting
your ISV to determine if the solution supports authentication used cloud managed
credentials.
More information on the Discovery service can be found in the Microsoft Dynamics CRM
SDK: http://msdn.microsoft.com/en-us/library/gg328127.aspx
5. You should check if your application uses the correct Web service endpoint for your Microsoft
Dynamics CRM instance after transition to the Microsoft online services environment. The
2007 Web service endpoint is not supported by the Microsoft online services environment
and organizations must be converted to the 2011 endpoint.
To determine if the correct endpoint is being used, a code inspection may be necessary. If
your application includes any ISV solutions, Microsoft recommends contacting your ISV to
determine if the solution supports the 2011 endpoint. More information on Service Endpoints
can be found in the Administration screens of your organization by navigating to Settings >
Customizations > Developer Resources.

23
Set up a trial organization
With your permission, your Transition Manager will start a trial account of Microsoft Dynamics
CRM Online on the Microsoft online services environment and will create users for you on that
trial account. A mapping between your users and the users on the trial account in the new
environment will be created by the Transition Manager.
If you already have an account on the Microsoft online services environment, you should inform
your Transition Manager of this during the Profiling Session.

Note
By authorizing your Transition Manager to set users on a trial account, you grant your
Transition Manager limited access to your data (user names only). Please visit the
Microsoft Dynamics CRM Online Trust Center for information on the steps Microsoft
takes to ensure your data is protected.

Activate licensing and billing

Before your Microsoft Dynamics CRM Online subscription can be transitioned, you need to
activate the licenses on your trial account. Depending on how you purchase your Microsoft
Dynamics CRM Online subscription you will either convert to a full paid subscription or activate
license SKUs.

Convert to a full paid subscription

(Direct Subscription customers only)
If you pay for your Microsoft Dynamics CRM Online subscription by direct invoicing or credit card
(rather than through an Enterprise Agreement) then you will need to convert your trial account to
a full paid subscription following your transition. The Transition Manager will walk you through the
steps for converting your trial account to a full paid subscription before you transition.

Activate license SKUs

(Volume Licensing Subscription customers only)
If you pay for your Microsoft Dynamics CRM Online subscription through an Enterprise
Agreement, then the Transition Manager will work with the Volume Licensing Operations Team to
have your Enterprise Agreement updated with the correct SKUs for the Microsoft online services
environment.
Once these SKUs have been created, a transition offer email will be sent to the Online Services
Advisor identified on your Enterprise Agreement, or the Notices Contact if the Online Services
Advisor is blank. The links in the email allow you to add a new Microsoft Dynamics CRM Online
subscription and hence create a new temporary Microsoft Dynamics CRM organization. The offer
email has been customized to your current Microsoft Dynamics CRM organization setup with
respect to number of licenses and storage.
An example of the email offer is shown below:

24
Perform transition
The actual transition command is executed by the Transition Manager.
Using the transition timeline in section: Key phases in transition in the Transition Planning
Guide for Enterprises as a guide, you will need to schedule the transition date with your
Transition Manager well in advance, to ensure you leave plenty of time to plan for and perform
the Pre-Transition steps.

Important
It is essential that you set up a communication plan to inform the end users in advance,
of all the important dates and milestones, as well as what to expect during the transition.
It is also important to notify the end users of any potential downtime they can expect.

25
During the transition the Microsoft Dynamics CRM application will be inaccessible and data
changes will not be allowed (for approximately 30 minutes).
The Transition Manager will inform you of the outcome of the transition.
 If the transition is successful:
You can perform the activities in the Post-Transition checklist.
 If the transition is unsuccessful:
Transition command will immediately and automatically roll back any changes, so you and
your users can continue to use the current Microsoft Dynamics CRM application.
The Transition Manager will work with you on resolving any issues.

Perform Post-Transition activities

Post-Transition Action Items

Following notification from your Transition Manager that your organization has been successfully
transitioned, you should complete the post-transition activities shown in the table below.

Note
For customers and partners merging their Microsoft Dynamics CRM Online
subscription with an existing O365 subscription, new user names and passwords will
not be needed for sign-in. Users will sign in with their existing Office 365 user names
and passwords.

27
4. Update the Email Router Configuration (Deployment Tab) with the new Microsoft CRM
Server Discovery Service URL and your new cloud managed or federated credentials.

28
Attaching your partner of record
If you pay for your Microsoft Dynamics CRM Online subscriptions through direct invoicing or
credit card and you have a partner of record, then you will have to add your partner once you
have transition to the Microsoft online services environment. You can do this by going to the
Administration page in the Office 365 admin center.

29
Differences in administration practices after transition
1. New Microsoft Dynamics CRM Online users need to be created in the Microsoft online
services portal.
If you navigate to the Settings -> Administration -> User screen in Microsoft Dynamics CRM
Online to perform user administration (e.g. creating a new user), it will now take you to the
Microsoft online services portal.

30
2. After you have transitioned to the Microsoft online services environment, only administrators
can contact support. Administrators can access both the Service Health Dashboard and issue
services requests within the Microsoft online services portal.

How the transition will affect your users

1. Once transitioned, users will need to input their new cloud-managed credentials when logging
on to Microsoft Dynamics CRM Online.

2. If your users access Microsoft Dynamics CRM Online using the Outlook client and
experience logon difficulties even after inputting the correct cloud-managed credentials or
federated IDs then they may need to run the Outlook Configuration wizard to set the Server
URL to “CRM Online”. See section Pre-Transition Action Items Checklist.

How the transition will affect the configurations and customizations you
have deployed to your Microsoft Dynamics CRM Online organization
The Pre-Transition Action Items Checklist provided in the section Review Pre-Transition Action
Items Checklist provides details on the items to be checked to ensure your Microsoft Dynamics
CRM organization is not impacted by the transition. Microsoft recommends that these checks are
conducted by resources that are experienced in the configuration and customization of your
Microsoft Dynamics CRM Online organization.

Authentication and AD FS
In a post transition Microsoft Dynamics CRM organization there are two identity providers
supported by Microsoft Dynamics CRM Online:
31
1. User identities managed in the Microsoft cloud.
2. User identities federated with your corporate identity, configured in your on-premise Active
Directory.
The following discussion provides an overview of these identity services and how they relate to
Microsoft Dynamics CRM Online.

User Identities provisioned by customer in the Microsoft cloud

Microsoft online services is the identity provider for all customers that have subscribed to
Microsoft Dynamics CRM Online via the Office 365 portal. This provider enables customers to
provision one identity that supports all Microsoft online services such as Office 365 and Microsoft
Dynamics CRM Online.
By default, all Microsoft Online Services identities will utilize a generic domain such as
contoso.onmicrosoft.com. Alternatively, customers have the option to add their own domain within
the Microsoft Online Services environment for use with user identities in the Microsoft cloud. It is
usually recommended this is set up in the pre-transition phase.
User identities that are created by customers and managed in the Microsoft Online Cloud are also
referred to in documentation as “managed” or “non-federated” users.
User identities that are created by customers and managed in the Microsoft Online Cloud are also
referred to in documentation as “managed” or “non-federated” users.

User Identities provisioned by customer in their on-premise Active Directory

Federation allows customers to use Active Directory based domain user accounts to access
Microsoft online services. This capability is only available to Microsoft Dynamics CRM Online
customers that subscribed via the Microsoft online services portal. Once federation is configured
by an administrator, AD based system user accounts can be locally managed but are replicated
to Microsoft Online, thus they are kept in sync with changes made to the on-premise Active
Directory. The benefit for federation is a seamless sign-on experience across Microsoft Dynamics
CRM Online and other Microsoft online services. This type of identity management is useful for
large corporations that have hundreds or thousands of established users. It means that
administrators do not have to re-create those identities in the cloud.
For information on how to configure identity federation, see http://onlinehelp.microsoft.com/en-
us/office365-enterprises/hh125004.aspx

Tip
You partner or TAM may be a helpful resource in completing this step.

Purchase more licenses

If your company hires more people, you might need to purchase more licenses for the services
you already use. A global administrator or a billing administrator can purchase more licenses at
any point.
To purchase more licenses, do the following.
1. In the Office 365 admin center, click Purchase services.

32
2. Find the service that you want to buy licenses for, and then click Buy now.
3. Follow the directions on the screen to complete your purchase.

Appendices
Appendix A – Glossary of terms
Account: (see Tenant) A term used interchangeably with tenant.
Active Directory Federation Services (AD FS): AD FS provides the various end-points that the
Microsoft Federation Gateway uses to redirect clients to the AD FS server for different types of
authentication. AD FS must be installed on a separate physical server that is a part of your on-
premises network organization.
Billing Administrator: This administrator role can buy or manage Microsoft online services
subscriptions and update billing information, payment options, etc.

33
Comma separated value (CSV) file: A text file in which each value is separated by a comma. It
is typically used as an input file for a software program or script.
Commerce Transaction Platform (CTP): The current administration portal and billing platform.
This platform will be transitioned to the new Microsoft online service platform.
Global Administrator: This administrator role can act as both the billing and service
administrator.
Identity federation: Identity federation provides a true single sign-on (SSO) experience for users
to access both on-premises applications within your enterprise and Microsoft Dynamics CRM
Online with a single user name and password.
Instance: (see Organization). A term used interchangeably with organization.
Legacy Platform: (see CTP). A term used interchangeably with CTP.
Microsoft Online Services Agreement (MOSA): The contract agreement entered into between
Microsoft and a customer to license access to Microsoft online services environment such as for
Office 365 and Microsoft Dynamics CRM, it also incorporates by reference the Acceptable Use
Policy, the Online Service Use Rights and the Service Level Agreement services purchased.
Microsoft Online Services ID: The unique ID that is required to administer or use Microsoft
online services. The Microsoft online services ID can be created when you try or buy a Microsoft
Dynamics CRM Online or Office 365 plan for the first time. Alternatively, an administrator creates
a new ID when creating a new user.
Microsoft Online Services Environment: The web portal that customers use to try or buy
Microsoft online services such as Microsoft Dynamics CRM Online or Office 365, manage active
subscriptions, and/or manage user accounts and other service capabilities included in their
subscriptions.
Organization: An organization is the Microsoft Dynamics CRM system provisioned in Microsoft
Dynamics CRM Online environment. An organization contains the users, application, and data for
a customer. Organization is a term used interchangeably with instance.
Partner of Record (POR): The term used to reference the Microsoft online services partner tied
to a specific subscription. The Partner of Record is the partner recognized for selling a customer
an Office 365 subscription and will be providing that customer with value added services using
Office 365.
Plan: Plans are listed in the online services catalog within the Microsoft online services
environment. Each plan includes a set of online services capabilities or functionalities. A
customer can subscribe to any Office 365 or other plans.
Service Administrator: This administrator role can create or manage user accounts, manage
service requests, and monitor service health.
Service Request (SR): A Service Request is how customers engage Microsoft online services
support for issues – regardless of whether the support is provided online or via phone.
Single sign-on: See Identity Federation.
Subscription: A subscription represents the detailed attribute of an agreement between
Microsoft and a customer who has subscribed to a Microsoft online services plan.

34
Technical Account Manager (TAM): Microsoft Dynamics CRM Online Premier Customers are
assigned a Technical Account Manager (TAM) to help support their solution.
Tenant: A tenant is an administrative entity within the Microsoft online services portal. The tenant
is where your subscription, users and licenses are managed for your Microsoft Dynamics CRM.
Tenant is a term used interchangeably with account.
User Principal Name (UPN): A user account name (sometimes referred to as the user logon
name) and a domain name identifying the domain in which the user account is located. This is the
standard usage for logging on to a Microsoft Windows domain. The format is
[email protected] (similar to an e-mail address). Dynamics CRM Online requires the UPN and
at least one SMTP address for the associated user to precisely match.
User Principal Name (UPN) suffix: The part of the UPN to the right of the @ character. The
default UPN suffix for a user account is the Domain Name System (DNS) domain name of the
domain that contains the user account. Alternative UPN suffixes may be added to simplify
administration and user logon processes by providing a single UPN suffix for all users. The UPN
suffix is used only within the Active Directory forest, and it does not have to be a valid DNS
domain name.
User Subscription License (USL): Microsoft online services are subscription-based and provide
access to software and services. Licensing for Office 365 requires a User Subscription License
(USL) for each user of the service.
Volume Licensing (VL): A set of programs and policies allowing customers to attain licenses to
software and services in a way that works for them. Examples of programs: Enterprise
Agreement (EA), Enterprise Services Agreement (EAS), or Enrolment for Education Solutions
(EES), Select License, Select Plus, Open License, Open Value, or Open Value Subscription.
