Objective of the Academic Monitoring Committee (AMC)
The Academic Monitoring Committee (AMC) at C.P Namchoom Govt. Polytechnic College,
Namsai, is established to oversee, evaluate, and enhance the academic activities of the
institution. The AMC ensures that all academic processes align with the standards and guidelines
prescribed by the All India Council for Technical Education (AICTE). The committee aims to
maintain high academic standards, improve teaching-learning processes, and ensure the effective
delivery of academic programs.
Composition of the AMC
The AMC will include members from the academic and administrative staff, ensuring a balanced
approach to monitoring and improving academic activities. The composition of the AMC is as
per AICTE norms and will include a mix of internal faculty members and, where required,
external academic experts.
Committee Composition:
1. Chairperson: Senior faculty of the college appointed by Principal.
2. Vice-Chairperson: A senior faculty member appointed by Principal.
3. Secretary: A faculty member (appointed by the Principal) responsible for recording meetings
and coordinating the committee's activities.
4. Members:
o Department Heads from each academic department.
o Two senior faculty members’ preferably academic coordinator and examination
coordinator of the college.
o One member from the administrative office responsible for academic records.
o One external academic expert (if applicable) from another AICTE-approved institution
for periodic reviews.
5. Student Representatives (optional): One or two senior students to provide feedback on the
academic experience (optional but recommended for a holistic approach).
Roles and Responsibilities of the AMC
The AMC is responsible for monitoring all aspects of academic activities within the institution to
ensure compliance with AICTE norms and the continuous improvement of academic quality.
1. Monitoring Academic Progress
Monitor the progress of academic activities in alignment with the institution's academic
calendar.
Ensure that teaching plans, syllabus coverage, and laboratory activities are on track and
completed as scheduled.
Regularly assess the quality of curriculum delivery, ensuring those faculties are adhering to
prescribed syllabi and academic plans.
2. Evaluation of Teaching-Learning Process
Conduct regular reviews of the teaching-learning processes to ensure they align with AICTE
standards.
Promote the adoption of innovative teaching methods such as ICT tools, e-learning platforms,
and interactive teaching approaches.
Collect student feedback on faculty performance, course content, and overall academic
delivery, and use the feedback for performance improvement.
3. Assessment of Learning Outcomes
Review the learning outcomes of students by monitoring their performance in exams,
assignments, practicals, and other academic activities.
Ensure that Outcome-Based Education (OBE) principles are implemented effectively and that
Program Outcomes (POs) and Course Outcomes (COs) are properly defined and measured.
Identify gaps in student learning and recommend remedial actions such as additional classes,
workshops, or tutorials to help students improve.
4. Faculty Development and Support
Ensure that faculty are encouraged and supported to engage in continuous professional
development, including attending Faculty Development Programs (FDPs), workshops, and
conferences.
Monitor the implementation of AICTE-recommended faculty appraisal systems to ensure
accountability and continuous improvement.
Provide recommendations for faculty recruitment and suggest areas for faculty specialization
based on academic and industry needs.
5. Examination and Assessment Processes
Monitor the examination process to ensure timely and fair conduct of exams, as well as
adherence to AICTE's examination norms.
Review and recommend improvements in internal assessment procedures, ensuring
transparency and fairness in the evaluation of students.
Ensure the timely declaration of results and address any discrepancies or grievances related to
academic performance.
6. Curriculum Review and Development
Periodically review the curriculum and make recommendations for curriculum updates based
on industry trends, technological advancements, and academic developments.
Ensure that the curriculum is in compliance with AICTE norms and addresses the current and
future needs of the industry.
Suggest the introduction of new courses, specializations, or value-added programs to enhance
the employability and skill development of students.
7. Academic Infrastructure Monitoring
Evaluate the adequacy and quality of academic infrastructure such as classrooms, laboratories,
libraries, and ICT facilities.
Recommend upgrades or improvements in teaching aids, lab equipment, and library resources
to meet AICTE standards.
Ensure the optimal utilization of infrastructure and suggest measures for the maintenance and
upgradation of academic facilities.
8. Student Performance and Progress Tracking
Develop mechanisms to track student performance in academics and co-curricular activities,
identifying students who require additional support.
Organize remedial classes, bridge courses, and mentoring programs for students who are
underperforming.
Review student progression data, including graduation rates, placements, and higher education
enrollments, to assess the overall effectiveness of academic programs.
9. Coordination with Other Committees
Collaborate with other institutional committees such as the Internal Quality Assurance Cell
(IQAC), Career Counseling Committee, and Placement Cell to ensure academic initiatives align
with overall institutional goals.
Ensure that recommendations from accreditation bodies such as NAAC and NBA are
implemented effectively to maintain the quality of education.
Meetings and Frequency
The AMC will meet at least once every month to review the progress of academic activities and
ensure timely execution of action plans.
Quarterly reviews will be conducted to assess the overall performance of academic
departments and track progress on identified improvements.
Special meetings may be called to address urgent academic issues, such as discrepancies in
academic schedules, faculty performance, or examination-related concerns.
Reporting and Documentation
The AMC will maintain detailed records of all meetings, including agendas, minutes, action
plans, and progress reports.
An Annual Academic Report will be prepared and submitted to the Principal, highlighting key
findings, achievements, challenges, and recommendations for further improvement.
The committee will also submit reports to external bodies such as AICTE and accreditation
agencies as required.
Monitoring and Evaluation
1. Evaluation of Teaching Effectiveness
Evaluate the effectiveness of the teaching process through student feedback, peer reviews, and
self-assessment reports from faculty members.
Monitor the use of technology-enabled learning tools and recommend improvements in
teaching methods.
2. Outcome-Based Evaluation
Evaluate academic programs using the Outcome-Based Education (OBE) framework, ensuring
alignment with AICTE standards for student outcomes.
Conduct regular reviews of Program Outcomes (POs) and Course Outcomes (COs) and
recommend changes to achieve desired learning outcomes.
3. Performance Indicators
Use key performance indicators (KPIs) such as student success rates, placement outcomes, and
faculty development to assess the overall academic performance of the institution.
Develop a structured evaluation mechanism to review course completion rates, dropout rates,
and student satisfaction levels.
4. Continuous Improvement
Implement a system of continuous feedback and review to ensure that all academic processes
and outcomes are continuously improving.
Recommend strategic interventions to address gaps in academic performance, such as
curriculum reforms, faculty development, and infrastructure upgrades.
