1. Introduction
This document was created in order to help all Scouts get acquainted with the data collecting procedures and rules that
SportsModule set in place.
- Be informed about all the sports events that are going to take place where you are
based;
- Apply for the sports events you want to report in our SportsModule Scouts Portal ;1
- Attend sports events and report the action live as it unfolds, from the venue;
- Oversee pre-match reporting procedures on scheduled events such as match kick-off
time, match format, etc.
- Have a fully charged mobile phone with internet connection in order to report live sports
event data from the venue;
- Possess a backup mobile device with a different mobile service provider to your main
device (optional);
- Provide a detailed post-match report on any Scouting issues encountered;
- Submit all ticket & travel expense information in a timely manner to receive
reimbursement;

After successfully attending the SportsModule initial training you will receive a manual explaining how to register and use the functionalities of the SportsModule Scouts
Portal.
The SportsModule football training program is a mix between self-preparation and a trainer-led online group training session.
We have prepared a self-preparation package which covers the theoretical basics of scouting. The package includes tutorial
videos as well as match examples with a different level of difficulty. All training videos are uploaded here:

Please keep in mind that theory itself is not enough. Watching the training videos will provide you a solid theoretical
foundation, but you need to build on it by practicing with the Collection Tool as much as you can. That is why during your
training you will have access to a demo version of our Collection Tool. If at any point during your training you have open
questions or difficulties you can always contact our Training Team at [email protected].
If you have any training-related questions and/or you want to test your knowledge and practical skills (by participating in a
short assessment simulation) you can book a slot for a FAQ/pre-assessment session. As soon as you book a time slot for a
training session a unique Zoom video conference link is generated and included in the confirmation email. We will send you a
manual about how to work with Zoom. The document explains how you are expected to
interact with your host during the FAQ/pre-assessment session. Alternatively you can always contact our Training Team at
[email protected].
- Final assessment
The final assessment task consists of:
- theoretical assessment - completing an online quiz to reflect on your training progress;
- practical assessment - using the SportsModule Collection Tool to update a 15-minute
match recording shown on video.
2. Match Events
In this section you can find all possible events during a match, sorted by importance. Always update all events in real-time.
Refer to Section 4.5 to better understand how to prioritize match events.

Since VAR includes several possible scenarios, please be advised that the deductions are also divided into several possibilities,
depending on the mistake.

3. Pre-match procedures
90 percent of the matches you cover will be reported via the SportsModule Collection Tool. In the other 10 percent of the
cases, you will communicate via phone with our Sports Data Analysts, who will enter the data manually (voice coverage). In
both cases, it is very important to have a fully charged phone with an internet connection.
In case of a voice coverage, a Data Analyst will call you 30 minutes before Kick-Off to confirm that you have arrived at the
venue.

The Collection Tool link will be active 1 hour and 30 minutes before KO.
3.3. Collection Tool - pre-match verification steps
Confirm the match details no later than 15 minutes before Kick-Off only if you are inside the stadium and stay online in your
reporting position.3

It’s important to have a good buffer and 30 minutes is reasonable but there is no need to rush confirmation of the match details until you are sure. You can go around and
ask for information if necessary.
You have to select one of the following two options for each of the two teams:
➔ - Confirm team
➔ - Team is different/wrong
If for some reason the Home or Away team is different or you are not fully sure about this information, please request support by the
Data Analyst by clicking the button. They will assist you in resolving the situation.
You have to select one of the two options for both date and time::
If the date or Kick-Off time is not correct, please request support by the Data Analyst by clicking the button.
➔ - The match ends after full time and there is no Extra Time/Penalty Shoot-out in case of a draw. ➔
- The match will not end in case of a draw and will continue with two Extra Time halves. In case of a draw in the
two Extra Time halves, the match will proceed to a Penalty Shoot-out.
➔ - The match will not end in case of a draw and will proceed to a Penalty Shoot-out directly. Important note:

In the second step you have to select the duration of the two halves:
➔ - The halves’ duration is different from the above-mentioned. When this option is selected, the Data Analyst
will call you for more information.
Important note: SportsModule does not cover other match formats. If you can confirm the match will have a different format (for
example 3 x 30 MIN) before going to the venue, you shouldn't waste time to make the trip.
When you click on the button you will proceed to the Match Details screen where you will be asked to
confirm that you have entered the stadium:

For example you report a cup match between Team 1 and Team 2. The first leg ended 1-0 for Team 1. If Team 2 wins the second leg by the same result (1-0) the match will
proceed to ET/PEN.

Important note: The shirt colour is extremely important. This is what determines the
colour of the button icons during the match update.
Important note: As soon as you are ready with the selection of kit colours the Fixture
details screen will not be available to you anymore.
Please let us know as much in advance as you know if you can no longer cover a match that has been approved for coverage
by writing to [email protected] or [email protected] (Operations Hotline) if it is at the last 36 hours before
KO.

These are the most common cases in which the hotline needs to be used:
- You are late/unable to attend your assigned game;
- Your assigned game is postponed/delayed/already started;
- In a general case when you have important and/or emergent information and you want
to reach a Data Analyst.
4. Match procedures
4.1. Phases of event reporting
There are three main phases of event reporting:
1) Possible Event - there is a possibility for a certain event to happen, but the event has not
occurred yet. We report the possibility that the event may occur e.g. Possible Goal,
Possible Penalty, Possible Yellow card, etc.
2) Actual Event - the event has just occurred. We report the event with the Collection Tool:
- Level 1 events must be reported within 3 seconds.
- Level 2 events must be reported within 7 seconds.
- Level 3 events must be reported within 15 seconds.
3) Event Confirmation - the event was confirmed by the referee. Before you confirm an
event, wait for at least 10 seconds. If you have any doubts, wait as long as you have to.
We confirm the event with the Collection Tool when we are absolutely sure that the
decision of the referee will not be changed.
Keep in mind that in some cases (examples: VAR, additional communication between
the referee and the assistant referee) the final decision can be made long after the event
has occurred.

You can switch between the Menus by clicking on Status, Main and Log.
As soon as the players are on the pitch and the match is soon about to start, please pay attention if both teams have 11
players on the pitch. If one of the teams is going to play with less than 11 players immediately request a call from a Data
Analyst.

When you press the button on the bottom end of the menu, you will be

4.7.2. Support Me
In this section, you will understand better in which cases you can request a call with our Data Analysts, by using the Support

When our game clock is wrong and manual time adjustments need to be made (e.g. The correct game time is 07:55 instead of 07:45),
you need to request a call with us, so we can correct the game time.
5. Connection problems
If you have connection issues with our Collection Tool, continue covering the game in Offline mode and please request a call, so we
can cover the game over the phone. In the meantime please try to switch your connection from 4G to 3G.
6. No pitch visibility
Use GameLock and Support Me, if you do not have clear visibility of the pitch or cannot focus on the game for any reason - fog, smoke,
fans in front of you, etc.
Do not forget to call one of our hotline numbers in the cases listed in Section 3.3 of this document:
- You are late/unable to attend your assigned game;
- Your assigned game is postponed/delayed/already started;
- You are unable to access our system;
- In a general case when you have important and/or emergent information and you want
to reach your Data Analyst.
When calling, please stay on the line until we hang up and after that, we will call you back. This way, we will cover the
expenses of the call.

attention to any important Level 1 or 2 events that may occur and update the Data

4.9. Finishing the match

5. Post-match procedures

6. Bonus and deduction policy
6.1. Bonus system
The SportsModule bonus system applies to Scouts who perform well over 5 consecutive matches, without a Level 1, Level 2
or systematic mistakes, rewarding them with a bonus match fee.

All Level 1 events must be updated immediately and within 3 seconds of their occurrence. If a Level 1 event update is delayed
with more than 3 seconds or wrongly entered/missed/updated for the wrong team, a Level 1 deduction will be applied for the
match and the bonus run will be stopped. Please refer to the table below:

Note: Corner is being confirmed at the moment it is taken.
Level 2 Yellow Card 30%
Level 2 Additional time 30% Please make sure to update additional/injury time at the end of each
half. If there is no information about the added time, please send a No
indication message.
Level 2 VAR delayed 30% Please check the referee carefully and update a VAR status as soon as
the situation is being reviewed.
Level 2 VAR - wrong input 30% Please make sure to check carefully and wait before stating the
type of VAR (e.g. VAR Goal).

possession or control which shall include, without limitation, all documents, any supplied hardware/software licenses, Company lists or details (and any
copies or abstracts thereof), whether in physical or electronic format and which relate in any way to the business or affairs of the Company or any
Company or customer of the Company.
7.5.1.2. know-how, trade secrets, unpublished information relating to the Company’s or any group company’s intellectual property and to the creation,
production or supply of any products or services of the Company and any group company;
7.5.1.3. any information to which the Company or any group company owes an obligation of confidence to a third party; and
7.5.1.4. any other commercial, financial or technical information relating to the business or prospective business of the Company or any group company
or to any past, current or prospective Company, customer, Contractor, licensee, officer or agent of the Company or any member or person interested in the
share capital of the Company or any group company and any other person from whom the Scout receives information (whether confidential or not),
provided that such information is treated as confidential or which the Scout knows or ought reasonably to know to be confidential and which comes to
the knowledge of the Scout during the term of the present agreement.
7.5.2. The Scout shall not at any time, whether during the term of the signed agreement or at any time after its termination for whatever reason (except
with the written authority of the Company), use or disclose to any person any Confidential Information and will use her best endeavours to prevent or
avoid its unauthorised use or disclosure. The Scout shall, at the request of the Company, execute a confidentiality undertaking in respect of the Company
in a form specified by the Company.
7.5.3. The terms of the agreement between the Company and the Scout are confidential. Details relating to the fees and expenses or other information
related to these terms, are not to be disclosed to any third party by the Scout without the express permission of the Company in writing (with the
exception of any professional accountancy or legal advisers of the Scout).
7.6. INTELLECTUAL PROPERTY
7.6.1. For the purposes of the present regulation Intellectual Property Rights shall cover documents, contracts, systems, interfaces and data collected. In
addition, patents, rights to inventions, copyright and related rights, moral rights, trademarks, trade names and domain names, rights in get-up, rights in
goodwill or to sue for passing off, rights in designs, rights in computer software, database rights, rights in confidential information (including know-how
and trade secrets) and any other intellectual property rights, in each case whether registered or unregistered and including all applications (or rights to
apply) for, and renewals or extensions of, such rights and all similar or equivalent rights or forms of protection which may now or in the future subsist in
any part of the world.
7.6.2. For the purposes of the present regulation “work” shall be all records, reports, documents, papers, drawings, designs, transparencies, photos,
graphics, logos, typographical arrangements, software, and all other materials in whatever form, including but not limited to hard copy and electronic
form, prepared by the Scout in the provision of the Services and the Sports data collected and method of collection in provision of the service.
7.6.3. All property, software and other material supplied by the Company during the term of the provision of the services shall at all times remain the
property of the Company.
7.6.4. The Scout shall assign to the Company all existing and future Intellectual Property Rights in the Works and all materials embodying these rights to
the fullest extent permitted by law. Insofar as they do not vest automatically by operation of law or under the agreement, the Scout holds legal title in
these rights on trust for the Company.
7.6.5. The Scout shall:
7.6.5.1. keep confidential details of all Works created in the provision of Services;
7.6.5.2. whenever requested to do so by the Company and in any event on the termination of the Agreement, promptly deliver to the Company all
correspondence, documents, papers and records on all media (and all copies or abstracts of them), recording or relating to any part of the Works and the
process of their creation which are in his/her possession, custody or power;
7.6.5.3. not register nor attempt to register any of the Intellectual Property Rights in the Works, unless requested to do so by the Company; and
7.6.5.4. do all acts necessary to confirm that absolute title in all Intellectual Property Rights in the Works has passed, or will pass, to the Company.

7.7.1. The Company shall keep the Scout’s personal records at all times in accordance with the Data Protection Legislation.
7.7.2. The Scout shall provide his/her personal data when these are required by the Company or/and the applicable law in connection with the fulfilment
of the obligation of the parties in connection of the Agreement (full name, PIN, address, qualification, professional experience).
7.7.3. For the purposes of the provision of the service, as well as of the signing of the agreement, the Scout is not required to disclose personal data
relating to racial or ethnic origin, political, religious or philosophical beliefs, membership in political parties, organizations, associations with religious,
philosophical, political or trade-union purposes, related to health or sex life. The Company shall be entitled to process such data only with the explicit
written consent of the Scout.
7.7.4. The Scout acknowledges that for the performance of the Agreement it is necessary to collect and process data on the current and planned location
of the Scout. By signing the agreement, the Scout shall agree to be continuously tracked of his/her presence at the sports events, and on the data being
reported. The Scout is aware that in cases where necessary personal data could be provided to third parties, namely SportsModule’s clients. By signing
the Agreement, the Scout shall his/her explicit consent for collection of personal data, including information on his/her location, as well as photos, along
with any audio and video records of his/her presence at sports events monitored. By signing the agreement the Scout shall give his/her explicit consent
for the provision of personal data to third parties - clients of the Company.
7.7.5. Provision of data to third parties: personal data will be provided to third parties only under the conditions of art. 7.7.4 as well where the Company is
legally obliged to provide the data to the relevant public authorities and organizations or where the data is duly required by such authorities in the
appropriate order; where the Company has expressly given consent for disclosure of the data to a third person; or in others instances provided by the
applicable legislation. For the avoidance of doubt the Company is not responsible if the Scout has disclosed his or her personal data to third parties.
7.7.6 The Company reserves the right to share the Scout’s personal data, to the extent necessary, with third parties for the proper administration of the
activity of the Company, including to the accountants and accounting company or to other consultants providing services to the Company in connected
with its commercial activity, as well as to the performance of the agreement, signed between the Company and the Scout.
7.7.7 Targets of processing: the Company is a data controller and shall process the personal data of the Scout for the performance of its obligations
arising in connection of the agreement signed, including tax, accounting and other purposes, for the purposes of the legitimate interests of the Company
or of a third party, for the purposes of conclusion and performance of the Agreement signed and the services provided, as well as for the performance of
the Company's obligations towards its Clients and partners. The use of the data for other purposes not covered by the Company's statutory obligations,
can be performed with the Scout's consent.
7.7.8 Data processing: Personal data shall be processed and stored on paper and on an electronic storage device. The Company shall provide the
necessary technical and organizational measures to protect the data from violation, loss or alteration.
7.7.9 Access to personal data: The Scout is entitled to access his/her personal data processed by the Company under the terms and conditions of
Regulation 2016/679 of the European Parliament and the Council. The Scout shall have the right to receive from the Company a confirmation if the
personal data related to him/her are being processed and, if so, to access the data and the following information:
a. the purposes of processing;
b. the corresponding categories of personal data being processed;
c. the recipients or categories of recipients to whom personal data is or will be disclosed;
d. the foreseen period for which the personal data will be stored and, if it is not possible to foresee it, the criteria used for the determination of that period;
e. the right of the Scout to require from the Company correction or deletion of the personal data or restriction of the processing of personal data relating
to the Scout or to object to the processing;
f. the right of appeal to the Commission for the protection of personal data;
g. where the personal data is not collected from the Scout - any available information about their source.

7.7.10 The Scout is entitled to receive the personal data concerning him/her and the data he/she has provided to the Company in a structured, widely
used and adapted machine-readable format, and has the right to transfer the data to another data controller without impediment on part of the employer
to whom the personal data are provided, under the conditions of Art. 20 of Regulation 2016/679.
7.7.11 The Company is obliged to provide a copy of the personal data that is being processed free of charge. Additional copies are made against a fee
that covers the Company's administrative costs.
7.7.12 The Company may assign the processing of the data to a natural person or legal entity - a "processor" different from the Company and processing
the data on the basis of an agreement.
7.7.13 Correction, deletion or restriction of the processing of personal data: The Scout shall have the right to request from the Company:
a. correction and deletion of the personal data under the conditions of Art. 16 of Regulation 2016/679;
b. deletion of the personal data ("right to be forgotten") under the terms of Art. 17 of Regulation 2016/679;
c. limiting the processing of personal data under the conditions of Art. 18 of Regulation 2016/679;
7.7.14. Deletion of data after completion of the processing: After the completion of the processing of the Scout’s data the Company shall delete them
within one year after the expiration of the limitation and prescription periods. The Company shall keep the data after this period only if there is a legal
obligation to do so or if the data relate to a legitimate interest of the Company and only the data necessary for the fulfilment of these obligations or the
protection of this legitimate interest.
7.7.15. Confidentiality. Protection of personal data obligation: The Scout shall keep safe and to duly store the personal data that he/she has access
during the performance of the assigned work, and not to provide the data to third parties without the explicit written consent of the Company. The Scout
shall undertake all reasonable measures to protect the confidentiality of the personal data provided to him for the performance of his/her duties. Failure
to fulfil this obligation will be considered by the parties as a significant breach of the Scout's obligations.
7.7.16. The scout is entitled to file a complaint before the supervisory body which in Bulgaria is the Commission for Personal Data Protection. Address:
