community now faces the challenge of rebuilding and providing relief.

In response, a community meeting has been called to coordinate disaster relief and recovery
efforts. Local leaders, health workers, NGOs, business owners, and affected residents have
gathered at the barangay hall, ready to collaborate on a comprehensive plan.

With all attendees seated, the presiding officer, the lead social worker, will now officially open
the meeting.

1. Call to Order

Clier Lead Social Worker (Presiding Officer):

Good morning, everyone. I now call this meeting to order. As we gather here today, we are
focused on discussing and implementing our disaster relief and recovery plan for Barangay
Santa Cruz, which has been severely impacted by the recent super typhoon. Our community’s
resilience and cooperation will be key to our recovery. Thank you for being here.
2. Prayer

Khea (Youth Leader):

Before we begin, let us offer a prayer for guidance and strength.

Dear Lord, we thank you for keeping us safe despite the challenges we are facing. As we come
together today, we ask for your wisdom and guidance as we plan for the recovery of our
community. May we be filled with compassion, patience, and a spirit of cooperation. Bless our
efforts as we work towards restoring our homes, our livelihoods, and the well-being of our
families. Amen.

3. Roll Call

Nova Barangay Secretary:

I will now conduct the roll call. Please respond when your name is called.

[Barangay Secretary calls out the names of the attendees (participants reply 'present')]

4. Declaration of Quorum

Barangay Secretary:
Based on the roll call, I confirm that we have a quorum present. We can now proceed with the
meeting.

5. Reading of Previous Minutes

Barangay Secretary:
For our previous meeting, we discussed the immediate response to the disaster, including
emergency relief efforts, initial assessment of damages, and a proposal for this recovery plan.
The minutes have been distributed. Does anyone have any corrections or comments regarding
the minutes of our last meeting?

[Pause for any corrections or comments.]

Lead Social Worker (Presiding Officer):

If there are no further corrections, the minutes are approved as read.

6. Calendar of Business (Agendum)

Lead Social Worker (Presiding Officer):

We will now proceed with today’s agenda. The main items for discussion are relief distribution,
health and safety concerns, and livelihood recovery. Let’s begin with updates on relief efforts.

Agenda 1: Relief Distribution

Queeny NGO Representative:

Our organization has been distributing food, water, and temporary shelter materials. We are
prioritizing families with children and the elderly. However, we’ve encountered some delays due
to transportation issues. We need additional volunteers to help with the distribution process.

Christian Barangay Captain:

We’ve also been working with local authorities to clear roads and improve access to isolated
areas. I ask our youth leaders and volunteers to assist in coordinating with the NGO team.

Loey NGO Volunteer:

We’ve already started gathering volunteers to assist with the distribution. However, we’ll need
more people for the isolated areas. Any volunteers can sign up after this meeting.

Khea Youth Leader:

We are ready to help with the distribution. We’ve organized a group of volunteers and can start
as soon as possible.

Ezzy Disaster Response Coordinator:

We’re also coordinating relief efforts with neighboring barangays. We have a timeline in place
for aid distribution, but we need to ensure our resources are used efficiently. We will prioritize
the most affected families and work closely with the NGO teams.

Lead Social Worker (Presiding Officer):

Thank you all. Let’s coordinate further after this meeting. Moving on to health concerns.

---

Agenda 2: Health and Safety

Charmaine Health Worker:

Our immediate concern is the potential outbreak of diseases, particularly waterborne diseases.
We’ve set up temporary clinics and have been distributing hygiene kits. However, we are short
on medical supplies and personnel. We also need mental health support for the traumatized
members of the community, especially children.

Gwyn Health Aide:

We’ve been monitoring families in the temporary shelters, but we need more volunteers to help
with mental health counseling. If anyone is interested in volunteering, please approach us after
the meeting.
Rafael Government Representative 1:
The local government is working on securing additional medical supplies. We are also planning
a vaccination drive next week to prevent potential disease outbreaks.

Maiza Community Member 1:

Many of us are still suffering from the trauma of the typhoon. I know families who are struggling
to cope, and they’re not just concerned about physical health. We need more mental health
support, especially for children and the elderly.

Lead Social Worker (Presiding Officer):

“We appreciate the input. It’s clear we need to act quickly on this. Let’s continue to support our
health workers. Moving on to the next agenda item—livelihood recovery.

---

Agenda 3: Livelihood Recovery

Shane Local Business Owner:

The damage to local businesses has been extensive. Many of us lost inventory, and some
stores were completely destroyed. We’re hoping for financial support to help rebuild, but we also
need immediate assistance for our employees, who are now without jobs.

Roshelle Local Business Employee:

Many of us who work for small businesses have lost our income. We’re hoping for immediate
aid or temporary work opportunities. Without income, it’s impossible for us to recover.

Bregiatte NGO Financial Officer:

We are working on securing funds to help small businesses recover. We’re also exploring
partnerships with microfinance institutions to provide loans for business recovery.

Niecky Community Member 2:

Our families have lost their income sources. It’s not just about rebuilding businesses, but also
finding ways for the community to regain its livelihood. We need training programs or short-term
job opportunities to help us sustain our families.

Sarah Government Representative 2:

The government is allocating financial aid for affected families, and we are also exploring public
works programs to create temporary jobs for those who have lost their livelihoods.

Lead Social Worker (Presiding Officer):

Thank you for your insights. We’ll make sure that these suggestions are followed up on. Are
there any other urgent matters?
7. Other Matters

Shane Community Leader:

We’ve also been discussing the importance of education in our recovery. Many children have
been out of school since the disaster. What are we doing to address this?

Sarah School Teacher:

We are working on setting up temporary learning spaces in the shelters. However, we need help
in gathering school supplies and finding volunteer teachers.

Barangay Captain:
We will prioritize this issue and work with the education department to restore classes as soon
as possible. Let’s ensure that our children’s education is not disrupted any further.

8. Adjournment

Lead Social Worker (Presiding Officer):

We have covered all the main points on today’s agenda. Is there a motion to adjourn this
meeting?

Barangay Captain (or any participant): I am moving that we adjourn the meeting.

Niecky:
I second the motion.

Lead Social Worker (Presiding Officer):

It has been moved and seconded that we adjourn the meeting. All those in favor say ‘all is well’.

Participants:
All is well.

Lead Social Worker (Presiding Officer):

The meeting is adjourned. Thank you all for your participation. Stay safe, and let’s continue to
support each other.
