Project Initiation Document
Project Brief
The project deals in arranging a inter club football tournament in the university. Although, the
event will be more like a sports festival, as it will host general public, local food vendors and
entertainers, which will be used as complimentary offerings in the sports festival. As, the
university has agreed to provide with their grounds for the tournament, therefore, the profit
generated from the event will be donated to the university as charity for the university funds.
Although, we are anticipating that it will cost around $100,000. As, the major two costs
which are supplies and the ground is provided by the university, therefore, it has subsidized
our costs to the minimum, but as we are expecting almost 20 teams, therefore, it will be a
large-scale tournament, and it will require supplementary expenses of administration and
other services, therefore, we have marginalized our budgets to the figure of $100,000. As, we
know that such an amount can not be secured solely from sponsorships, therefore, we have
decided to introduce a minimum ticket fee, an entry fees for the teams, fees for the vendors,
however, it should be mentioned that still sponsorships would be the major source for the
funds needed for the university.
Project Objectives
Arrange & organize best football tournament in the city.
Publicize University & Campus, along with the Clubs that are taking Part.
Attract maximum possible Charity for the university.
Provide the winning teams with best possible monetary and recognition reward.
Timescale
The time frame for the total project is six months, as we it requires multiple activities, starting
from planning from the scratch to organize and control the whole event, therefore, it will
require minimum six months, which will be enough time for every stakeholder to adjust

accordingly. As, we, being the organizers need to announce the project at least two months
before, so that the teams can get prepared, and also, we need to contact potential sponsors and
suppliers to contribute in the event, moreover, we also need time for marketing campaign, as
we are hoping that we will start our marketing campaign at least two months before, to ensure
a high buzz in the city. As, the event is expected to be launched in July or August, therefore,
we have to start working on the project right after February.
Key Staff
Although, most of the people working as organizers in the event will be students of the
university or the local football players along with senior football players and interested
volunteers from the city who can be valuable to us. Mainly we need a team lead, which will
be titled as event manager, who will be assisted by three managers, each will be looking a
specific area of activity, which are Organizing Event, Sponsorship, and Revenue Generation.
However, the exact subordinates required by each manager will be determined after finalizing
the project planning.
Stakeholders
There are two types of stakeholders involved in this event, internal and external stakeholders.
Internal stakeholders will be all the people involved in organizing of the event, along with
university, participating teams. The external suppliers would be general public, sponsors,
local suppliers, local city government, and sports ministry of the state.

Importance of WBS
WBS, referred as work break down structure break down different activities in the project, it
helps in the general project management, and it also helps in effectively following the
activities and know the project status, on the other hand it also helps in finding and
establishing the most effective way for completing the project[CITATION Vas \l 1033 ]. As, a
project is accompanied with time bound activities, therefore, WBS indicate the time frame
and dependency of each and every activity, which further helps in scheduling the activities in
efficient manner. A WBS also helps in reducing the complexity of tasks, as it portrays the
tasks as not a one activity, but it provides details of each activity and its expected time, along
with the dependencies of the activity. Additionally, as every activity has different nature, and
it requires different skills and different resources, therefore, developing a WBS also helps a

Importance of Critical Path Analysis
Critical Path Analysis is a method in which the analysts identify the critical path for
completion of a project. It provides with the information which includes the data about the
activities which are required to complete on time in order to complete the project on time. In
simple terms it identifies the criticality of each activity, so that the project managers can
rationale resources if needed, as the activities identified in the critical path are utmost
necessary to be completed in order to complete the project, and any delays in the completion
of these activities also creates delay in the completion of the project[CITATION RJW85 \l
1033 ].
