CORE LEADERSHIP TEAM:

Job Descriptions
These are the roles and work to be done on the Core Leadership Team in order to attain the
Vision, Mission and S.M.A.R.T Goals. Take note that the job description is going to involve a lot
of followup to make sure the work is done and also the work is to be timebound. Note that in the
time of crisis for example a funeral or some event of like nature, the leader should inform the
vice chair person or chair person, so that there is a substitue in that season.

1) Chair Chair Person (Leader of leaders)

-Making sure there is a Program (with timelines) that is everything to be done during meetings to
the smallest details so as to maximize order within at least a two months before event.

-Co-ordination of Venue and Dates of event, also securing proposed venue, and giving the
directions to the venue, cost of accomodation within at least a two months before event.

-Co-ordinating the availability of a theme/agenda for the all youth meetings within at least a two
months before event.

-Representing Eastern Zone in National Youth Council

-Chairing Meetings-> providing with updates of progress (resollutions and finalized items) every
now and again and directing meetings both online and physical

-Organizing meetings including Core Leadership Team meetings, Zonal Council meetings as
well as Zonal Youth Meetings and Co-ordination of the Zonal Calender that it maybe available.
For the Zonal Calender, it has to be available in the previous year to the year of the events, e.g.,
the Events for 2025 should be available by the end of the last quarter of the year

-On congregational level, driving the vision of the youth ministry, that the aspects of the vision
maybe on every youth by the appointed days of submission for the goals. On Zonal Level, to
make sure every leader from the Core Team to the Zonal Council has reached the the desired
aspects of the Vision by the appointed days of submission for the goals.

2)Vice Chair Person

-Calling and Mobilizing all the youth or churches to meet on the day and before the day of
meeting, also checking the number of people attending before the event within at least a two
months before event.
-Followup on leadership structures, calenders, and reports of events that have been done i.e.,
feedback on events before and on the date of submission

-Followup on the roles of every leader in Core Zonal Leadership Team if they are being done
every month end and making sure there is a substitute during times of crisis e.g., funeral

-Assigning duties where there is noone responsible and also checking progress so that there are
no assumptions made that someone is doing and so that every area is covered

3) Prayer Co-ordinator

-Co-ordinating the Eastern Zone Youth Intercession Group Prayers and making sure they are
happening consistently. This includes making sure every member of the group has a slot to pray
at least one hour(If one cannot tarry so long, they just pray as much as they can e.g., 30 minutes)
once every week using checkin/checkout system. Also making sure that every member has a day
of fasting and prayer every month, praying for the zone. Also at least once every week
encouraging the people in the group to interact and share what the Lord is saying, scriptures and
also if willing audious while praying. When moving closer to any Zonal Event e.g., camp, the co-
ordinator has to make sure that people take slots and pray one hour everyday for two weeks until
the event. The co-ordinator has to make sure every spectator is removed from the group, that is
anyone discovered to be domant for a whole month in the group.

-Also making sure there are prayer leaders in all events that require prayer leaders within at least
a two months before event.

-Also lead helper of Chair in planning, organizing and executing prayer retreats and all nights
among other Zonal Prayer Sessions together with the help of the core zonal leadership team. The
Chair will see how they desire to be helped, and assign the help to the prayer co-ordinator.

4) Evangelism Co-ordinator

-Also lead helper of Chair in planning, organizing and executing evangelism and outreach events
together with the help of the core zonal leadership team. The Chair will see how they desire to be
helped, and assign the help to the evangelism co-ordinator.

-Once every month they should post on the Youth Platforms such as the Zonal Youth Group,
Zonal Youth Council Group as well as the Core Leadership Group the Simplified Evangelism
Gospel and Sinner's prayer as a whatsapp text message, and also encourage the youth to
memorize it and to have save a soul.
-they should come up with initiatives for mission trips(outreach events)

5) Secretary

-Writing down minutes in every meeting, from the Core Leadership Meetings to the Zonal
Council Meetings, both online and physical

-Preparing Reports (Typing) for every Zonal Event, and they will ask the Core Zonal Leadership
on the feed back in terms of , helpful experiences(merits), problems encountered and suggested
solutions. They will ask the chair person for the Date and time and the program. Then they will
ask the vice chair of the number of churches and people attended, who did not attend and why.
Then they should ask for the cashflow report from the treasurer. All this and the report is to be
done and submitted within two weeks after the event on the core zonal leadership group (the
chair and vice chair, as well as the secretary will store the report some where safe)

-The secretary is also to store and maintain records, files, databases and reports (i.e., mainly the
administrative tasks)

-Providing information and data to inform decision making during meetings when it has been
requested by the chair e.g., the statistics of youth who can pray for an hour

6) Treasurer

- The money to be collected at least a month before the event except if there are some challenges
and this money might include accomodation, transportation and the food items among others. All
this money is to be collected through the treasurer

-Registering all the money that comes in and out of the system that is all the money that is used
up during the event, and all the money that was collected during the event. The cash flow report
to be sent within a two weeks after event and to be sent in the core zonal leadership group and
for the cashflow of events it is to be sent to the secretary that it maybe part of the report

-The collected money to be registered to the zonal youth pastor or the assistant youth pastor

-organizing fundraising events and strategies

7) Events Co-ordinator

-Preparing a food budget for the expected attendance. They are to collect the expected attendance
from the Vice Chair and then prepare the food budget within at least two months before event.
-Buying and Collecting food stuffs. The money to be withdrawn for food stuffs through the
treasurer, and then the foodstuffs to be bought during event

-Followups of all food items pledged during event (since some food stuffs are perishable).

-Preparing Food During Event or organizing Catering Services for the event. The Catering
Services are to be prepared within at least a month before event.

8) Media and Word Co-ordinator

-Creating flier/posters 6 months or earlier before the event occurs for advetisement

-Advertising the Event through sending the flier at least twice every month in the Zonal
Platforms such as the Core Zonal Leadership Group, the Zonal Council Leadership Group as
well as the Zonal Youth Group

-Planning, organizing and handling the Thursday teaching in the Zonal Youth Group within a day
of the teaching i.e., by Wednesday hence making sure Zonal Teachings run smoothly in the social
media platforms. Also they will be involved in Moderation of these discussions. They will also
work with the Zonal Pastor in organizing the teacher for that week a week before the teaching so
that the teacher is well prepared. The teachings will involve the teacher posting the teaching on
Thursday morning i.e., by 0900 hrs, then the Media Co-ordinator regulates the discussion and
then the teacher concludes their teaching for 5 minutes that is from 2000hrs to 2005hrs.

-Handles audio-visual, sound, and media aspects during every event including the availability of
a generator, generator fuel and P.A. system with the help of the Core Zonal Leadership Team.
The Media Co-ordinator to ask for whatever form of help they need in these areas.

-Making sure every leader within the Zone is in the Zonal Council Group, and every Youth in the
Zone is in the Zonal Youth Group

9) Life Skills Manager

-Placing in order or planning, organizing and executing all life skills events including workshops
of Career Guidance, Youth Empowerment, marriages, drugs, ettiquette(communication and
dressing) and school among others

-target is to go beyond the theoretical aspect to the practical so as to impact the youth.

-Coming up with proposals of these workshops.


-Making sure we have MC's for all events

-Works with ushering team in every event

10) Praise and Worship Co-ordinator

-Placing inorder all praise and worship sessions, that is making sure there is a praise and worship
team and also co-ordinating practicing etc.

11) Zonal Youth Pastor

-Overseeing the entire youth ministry, providing vision, direction and spiritual guidance

-Communicates with parents

-Represents the Youth in the Pastoral Team i.e., when there is need of something pushed to Zonal
Pastor's team, he is the link person

-To receive reports from the core zonal leadership team

-Provide counselling and support for youth struggling with personal issues

12) Assistant Youth Pastors

-Assisting the youth pastor,

-helping in co-ordination of events

-acts as matrons during zonal events

Hierachy of Youth Ministry


This hierachy shows the order of authority within the Eastern Zone Youth. The hierachy is shown
in two levels, the Zonal Level and the Congregational Level. From the Zonal Level, the Youth
Pastor mainly drives the vision to the rest of the Pastors as well as the Youth Pastors in the Zone,
whereas the Youth Chair Person drives the vision to the rest of the Zonal Council. The Zonal
Youth Council, Youth Pastors as well as the Pastors then drive the vision to the youth in the
congreagtion.

1) On Zonal Level-> On the highest point we have the Zonal Youth Pastor or Pastor in Charge
of the Youth Ministry. Below him we have the Core Zonal Youth Leadership Team consisting of
Assistant Youth Pastors and Some Youth Leaders. Below them there is the Zonal Youth Council
consisting of all the Zonal Leaders in the Zone. Below them we have the rest of the Zonal Youth.

2) On Congregational Level-> On the hightest point we have the Youth Pastor, followed by the
Chair Person then the Vice Chairperson and the rest of the leadership team. Below them we have
the rest of the youth.
