MALAWI SCHOOL OF GOVERNMENT.
STUDENTS UNION CONSTITUTION.
The purposes of this organization include;
i. Represent students both within the institution and externally.
ii. Representing student’s political interests by helping students voice out their concerns
and opinion.
iii. Providing welfare services and organizing leisure activities and career affairs.
iv. It shall serve as a platform for students to build a sense of community on campus, as it
provides a space for student clubs and organizations to come together.
v. Advocating for students’ rights; the Union advocates for rights and helps address
issues that affect students on campus, such as harassment, discrimination and/or
violence.
vi. Offering leadership opportunity; the Union provides leadership for students to serve
as a club leader, running for student government office, or serving on various
Committees.
The Student Union shall comprise of the following positions and functions;
THE PRESIDENT.
There shall be a Student Union President who shall be a senior student at the institution and
shall hold office for a period of 1 year and shall;
- Be the chief executive officer of the Union.
- Preside at all meetings.
- Be responsible for the supervision and control of the other officers.
- Shall suspend any erring member of the Union In consultation with other
members of the Union.
- Shall exercise general managerial authority over the business and activities of the
Union.
- Resent ideas and propose direction for the Union.
- Make or delegate day-to-day decisions that do not necessitate more formal
process.
- Compile a brief synopsis of his/her yearly activities and produce a transition
report at the close of the term in office.
- Act in the capacity of liaison officer.
THE VICE PRESIDENT.
There shall be a Student Union Vice President who shall be a senior student at the institution
and shall hold office for a period of 1 year (subject to renewal) and shall;
- Perfome the duties of the President in his or her absence and shall represent the
President at all functions in his or her absence or whenever he or she is unable to
attend.
- Meet with the Union Committee once every two months in order to promote good
relations and network between the boards, get a general view of the state of
affairs, enquire on certain matters and ensure that the Union is moving in the same
direction.
- Be the principal advisor to the President.
- Be signatory to the Union Account(s).
- Oversee the functions of all Committees of the Union.
- Assume the position of the President in the event that the office becomes vacant.
- Perfume other duties as may be prescribed.
GENERAL SECRETARY.
There shall be a Student General Secretary who shall hold office for a period of 1 year and
shall;
- Be the Chief Administrative Officer of the Union.
- Be in charge of academic affairs of the Union and shall organize and supervise
academic tours.
- Advertise and distribute the agenda for all General and Union Committee
meetings.
- Record the minutes of the Annual General Meeting, Union or other meetings of
the Union and shall attend to all correspondence of the Union.
- Reserve rooms for all Union meetings.
- Be the Chief Spokesperson of the Union.
- Perfome other functions and duties as the Union may assign.
THE VICE GENERAL SECRETARY.
There shall be a Vice Student General Secretary who shall hold office for a period of 1 year
and shall;
- Performs the duties of the general secretary in his or her absence.
- Performs duties as the President or the Vice President may order.
- Be responsible of educating the students populace about the Union and shall
make certain that this constitution is distributed to all Union leaders and
candidates aspiring to assume any office of the Union Committee.
TREASURE
There shall be a Student treasure who shall hold office for a period of 1 year and shall;
- Shall prepare and maintain all books of account for the Union
- Supervise all business venture of the Union.
- Prepare and publish a detail financial report to the members of the Union at the end of
each month.
- Be a signatory to the Union’s account together with the Vice President and shall
execute all financial transactions of the Union provided that such transaction shall be
documented and approved by the Union Committee.
- Prepare a budget for all activities of the Union and present such budget to the
members of the Union Committee for approval.
DIRECTOR OF RECREATION AND CULTURE
There shall be a director of recreation and culture who shall hold office for a period of 1 year
and shall;
- Shall promote culture and values across the institution through activities, mindset and
engagement at all levels.
DEPUTY DIRECTOR OF REECREATION AND CULTURE
- Performs the duties of the Director in his or her absence.
DIRECTOR OF SPORTS
There shall be a director of sports who shall hold office for a period of 1 year and shall;
- Administer guidance for sports programs.
- Confer with coaches to establish games, events and practice schedules.
- Select, recruit and oversee coaching staff.
DEPUTY DIRECTOR OF SPORTS
- Performs the duties of the Director of sports in his or her absence.
DIRECTOR OF ENVIRONMENT, SAFETY AND HEALTH
There shall be a director of environment, safety and health who shall hold office for a period
of 1 year and shall;
- Provide advice and guidance to all institution members concerning sanitation.
- Provide centralized monitoring related to implementation of safety and health.
- Regulate requirements and assist the management staff in identifying unsafe or
unhealth conditions.
- Conduct at least an annual review on sanitary related issues.
DIRECTOR OF ACADEMIC AFFAIRS
There shall be a director of academic affairs who shall hold office for a period of 1 year and
shall;
- Handle advocacy and other efforts related to academic affairs which includes
advocating for students’ interests, working with administration and faculty or faculty
Directors to further students’ academic interest.
DIRECTOR OF STUDENTS WELFARE
- Promote the physical, mental and social wellbeing of all students by fostering the
balanced growth and development of young students through culture of caring and
positive interaction within the school community.
DEPUTY DIRECTOR OF STUDENTS WELFARE
- Performs the duties of the Director of students’ welfare in his or her absence.
- Special attaché responsible for persons with disabilities.
- Special attaché responsible for gender.
DIRECTOR FOR RELIGIOUS AFFAIRS
There shall be a director of religious affairs who shall hold office for a period of 1 year and
shall;
- Plan and conduct worship services.
- Provide spiritual care through visitation, counselling and prayers.
ORDINARY MEMBERS OF THE UNION
- All students of the institution are automatically eligible members of the Union, except
class representatives who shall be subsidiary Committee members of the Union.
- Upon selection, two ordinary members shall be signatory to the Union Account(s).
NOTE: ALL MEMBERS OF THE UNION SHALL MAKE MONTHRY CONTRIBUTION
OF MWK 2,000 THROUGH THE UNION’S ACCOUNT.
