Types of Letters:
Letter to the editor of a newspaper (drawing the public’s attention towards social or
common issues)
Complaint letter (reporting a lost wallet, cycle, etc. , complaint on neighbours, poor
facilities at tourist place, etc.)
Placing an order letter (ordering books, equipment for school, etc.)
Enquiry letter (planning a trip, details for joining a class, etc.)
Format to follow while writing a formal letter :
1. Sender’s address: On the left side of the page, just next to the margin, write the
sender’s address/ contact details.
2. Date: Below the sender’s address write the date after leaving a line.
3. Receiver’s address: After date, write the address of the recipient (the Officer /
Principal / Editor).
4. Subject of the letter: Here you have to mention the main purpose of the letter in 4 -
5 words.
5. Salutation: Dear Sir / Madam
6. Body: Here you have to explain the matter of your letter. Body of letter must be
divided into 3 paragraphs as follows:
First Paragraph: Introduce yourself and the purpose of writing the letter in brief.
Second Paragraph: It should include the matter in detail.
Third Paragraph: Here you have to conclude your letter by mentioning the conclusion or
solution.
7. Complimentary Closing:

Subject- Complaint regarding the issue of bad parking habits in the locality
Sir/Ma’am
I, a resident of Arjun Nagar, would like to draw your attention to the bad parking habits of
residents in our locality. It is resulting in a lot of chaos and no place for parking for those who
come back late.
Despite defining the area assigned to each vehicle, cars are parked amidst two parking spots.
One vehicle occupies the space for 2-3 vehicles leading to mismanagement. Two-wheelers are
placed nowhere near the allotted zone. This creates problem for other people as they have to
then spend a lot of time finding parking spots in other localities. It induces frustration and
tension for safety of vehicles.
Various notices and warnings have been given to the rule-violators, but to our dismay, no
betterment can be seen. I request you to take strict action as this is leading to fights between
the residents. An effective and speedy action is expected considering the depth of the situation.
