PROJECT RECORD DOCUMENTS
PART 1 - GENERAL
1.1 SUMMARY
A. Section includes administrative and procedural requirements for project record
documents, including the following GIS files containing:
1. As-built Drawings
2. Record Specifications
3. Record Product Data
4. Miscellaneous Record Submittals
5. GIS Building As-Build Survey
6. BIM Model (refer to and comply with Section 019800.)
1.2 DEFINITIONS
A. Geographic Information System (GIS): A software system designed to capture, store,
manipulate, analyze, manage, and present spatial or geographical data.
B. Geodatabase: A repository of geographic data of such things as equipment,
structures, countries, etc. and their related non-graphic information enabling spatial
measurements, functions, predications, and other applications to convert data into
useful information.
1.3 AS-BUILT DRAWINGS and BIM MODELS
A. Record Prints: Maintain one set of electronically marked-up AutoCAD drawings and
PDFs of Contract Drawings and Shop Drawings, incorporating new and revised
drawings as modifications are issued.
B. Drawings submitted by the Contractor shall include standard drawing format, BIM
files, GIS data layers in soft copy format. Additionally, and concurrently, the
Contractor is to derive and extract data in such format, type, quantity to enable the
Company’s approved EAM/CMMS system full utility of said data. The Contractor is to
liaise, in conjunction with the O&M Contractor, the Company’s Representative and the
Company staff regarding the selection of one CMMS platforms:
C. The Works comprise, without limitation: the collation of appropriate GIS data during
and after the design and construction of the Works. Data on all new MEP and special
system installations, services, utilities from design though commissioning shall be
organized in the same usable format. When completed and delivered, the
EAM/CMMS Works shall provide fully functional, operationally efficient, and resilient
operations and maintenance system.
D. The Contractor is to liaise with the rO&M Contractor and agree the type, format and
method building information required for the future O&M system applications which is
then to be collated, transmitted, and delivered. The agreed process in to ensure the
data's quality, consistency and level of detail satisfy the functional requirement of the
selected CMMS application system.
E. Refer to Section 017824 for details on the format, type, quantity, and quality of the
data if the selected EAM/CMMS platform requires a COBie/BIM data format to
operate. Otherwise, the reminder of this section will address other data formats that
may be required, depending on the EAM/CMMS selected.

F. Preparation: Mark record PDFs and the BIM Model to show the actual installation.
Require individual or entity who obtained record data, whether individual or entity is
Installer, subcontractor, or similar entity, to provide information for preparation of
corresponding marked-up PDF's and the BIM Model.
1. Give particular attention to information on concealed elements that would be
difficult to identify or measure and record later.
2. Accurately record information in an acceptable drawing technique.
3. Record data as soon as possible after obtaining it.
4. Record and check the markup before enclosing concealed installations.
5. Cross-reference record prints to corresponding archive photographic
documentation.
6. Locate and reference items to visible and accessible features of construction.
G. Content: Types of items requiring marking include, but are not limited to, the following:
1. Dimensional changes.
2. Revisions to details.
3. Depths of foundations below first floor.
4. Locations and depths of underground utilities.
5. Revisions to routing of piping and conduits.
6. Revisions to electrical circuitry.
7. Actual equipment locations.
8. Duct size and routing.
9. Locations of concealed internal utilities.
10. Changes made by Variation Order or Works Variation Directive.
11. Changes made following Engineer's written orders.
12. Details not on the original Company’s Requirements.
13. Field records for variable and concealed conditions.
14. Record information on the Works that is shown only schematically.
H. Record Digital Data Files: Prior to application issuance of the Works Completion
Certificate submita full set of corrected digital data files of the As-built Drawings and
BIM Models, as follows:
1. Format: Same digital data software program, version, and operating system as
the original Company’s Requirements. Verify and confirm format is compatible
with Company’s digital requirements.
2. Incorporate any Changes and any necessary additional information
3. Refer instances of uncertainty to the Company’s Representative for resolution.
I. Format: Identify and date each As-Built record ; include the designation "AS-BUILT" in
a prominent location.
1. Format: Annotated PDF electronic file with comment function enabled.
2. Record Digital Data Files: Organize digital data information into separate
electronic files. Name each file with the sheet identification. Include
identification in each digital data file.
3. Identification: As follows:
a) Project Name
b) Date
c) Designation "AS-BUILT"
d) Name of Engineer (NB: this refers to the design engineer, not the
Engineer recorded in the Agreement.)
e) Name of Contractor.
1.4 RECORD SPECIFICATIONS
A. Preparation: Mark Specifications to indicate the actual product installation where
installation varies from that indicated in Company’s Requirements.
1. Give particular attention to information on concealed products and installations
that cannot be readily identified and recorded later.

2. Mark copy with the proprietary name and model number of products, materials,
and equipment furnished, including substitutions and product options selected.
3. Record the name of manufacturer, supplier, Installer, and other information
necessary to provide a record of selections made.
4. For each principal product, indicate whether record Product Data has been
submitted in operation and maintenance manuals instead of submitted as
record Product Data.
5. Note related Changes, where applicable.
6. Include related manufacturer's certifications, inspection certifications, and field
test reports.
B. Format: Submit As Built Specifications PDF electronic file(s).
1.5 RECORD PRODUCT DATA
A. Preparation: Mark Product Data to indicate the actual product installation.
1. Give particular attention to information on concealed products and installations
that cannot be readily identified and recorded later.
2. Include significant changes in the product delivered to Project site and changes
in manufacturer's written instructions for installation.
3. Note related Changes, where applicable.
B. Format: Submit record Product Data as PDF electronic file(s) . Include record
Product Data directory organized by Specification Section number and title,
electronically linked to each item of record Product Data, and the As-Built BIM model
1.6 MISCELLANEOUS RECORD SUBMITTALS
A. Assemble miscellaneous records required by other Specification Sections for
miscellaneous record keeping and submittal in connection with actual performance of
the Works.
B. Format: Submit miscellaneous record submittals as PDF electronic file(s). Include
miscellaneous record submittals directory organized by Specification Section number
and title, electronically linked to each item of miscellaneous record submittals, and the
As-Built BIM Model.
1.7 GIS BUILDING AS-BUILD SURVEY
A. As-Built drawings submitted by the Contractor shall include (in addition to the
standard as-built drawings and BIM files) GIS data layers in soft copy format. Three
(3) GIS layers shall be provided for every floor of the building, showing floor plan
details as described below. GIS layers shall be based on the latest ESRI ArcGIS
Geodatabase platform using benchmarks and control points provided by the
Company’s Representative based on the Jubail local system, as well as National Ain
AI Abd UTM 39R and WGS84 coordinate system. Further information and guidance
will be provided by the Company’s Representative.
B. Required Layers: Each floor shall have the following three (3) layers:
1. Floor Plan Polygons Layer: This is a polygon layer that shall include all floor
plan features, such as walls, rooms, hallways, staircase, elevator shafts, etc.
2. Floor Plan Lines Layer: This is a line layer and shall include all line features
such as door swings, windows, stairs and elevator details.
3. Floor Plan Points Layer: This is a point layer and shall include all point features,
such as overhead signs, fire pulls, smoke alarms, etc.
