Jaycee Week marks our 67th birthday, and we're going to tell our communities, our states, our country and the world who we are, what we do and what we stand for. It's an event whose public relations value has been building from year to year and Jaycee Week 1987 promises to be the best ever. Scheduled for January 18-24, Jaycee Week comes right on the heels of a prestigious U.S. Jaycees event: the Ten Outstanding Young Americans Awards Congress (January 15-17), which willget the ball
rolling with some solid, positive publicity about our organization. Good media exposure can do much toward boosting chapter pride and, of course, boosting recruitment, but the recognition your chapter receives depends upon you. This brief manual is designed to guide you through some basic activities you might want to pursue. Use this guide as a starting point to spark some ideas among chapter members and take it from there. Imagination is the key!

Each step of the way, you can probably get help from the media in publicizing the "theme for the day": 1. Use the enclosed Jaycee Week ad slicks in your newspaper push. Editors may be willing to run them each day, Monday through Saturday (the Creed is segmented for that purpose). Check with area TV stations on running a new station identification slide each day of the week, 3.

Include a professional-looking sign stating the days, times and location of your meetings, and list a phone number for those interested in joining. COUNTER DISPLAYS The counter card kit (715-1 and 699-1) can give you high visibility at sales counters. BUSINESS NEWSLETTERS - Some businesses in your community may have weekly or monthly newsletters or magazines. Check on getting your Jaycee Week publicity placed in the appropriate issues. MARQUEES AND PORT ABLE SIGNS - A surprising number of businessesare now using changeable-letter signs in front of their firms. Check around; you'll probably find many who'd be glad to put up a message suchas: "Congratulations to the _ Jaycees during Jaycee Week 1987." Remember, this list doesn't begin to cover all the promotional avenues available to you. Do somecreative thinking and you'll come up with at least twice as many as are listed.
Develop a flier on the history of the chapter, highlighting programs and projects, and the benefits of being a Jaycee. Distribute the fliers to homes and businesses;check with banks, utility companies and department stores to see if they will include them in their monthly bill mailings. BILLBOARDS - Outdoor advertising can have a huge impact. Billboards are available through The U.S. Jaycees Products Catalog (719-1). An outdoor advertising company may even be willing to give you free billboard space for December and January. MATCHBOOKS Have matchbooks printed and distributed to area restaurants and clubs. Thiscan be a very inexpensive way to reach a lot of people. POSTERS - Jaycee Week posterscan be made using the ad slicksincluded in this mailing. Hit as many store windows and bulletin boards as possible; pl.Jce some outdoors on utility poles if local ordinances permit. REMEMBER:Take them down as soon as Jaycee Week is over and thank the merchants who helped you. RJLLWINDOW DISPLAYS - Checkwith department stores,banks, the chamber of commerce, etc., on
You may also be able to get a station editorial commending your chapter; check with the general manager on this. NEWSPAPERS can be a great sourceof in-depth and continuing coverage. As a general rule, they have larger staffs than the electronic media, and thus can spend more time developing a story. Supply the city editor with frequent news releases (again, only
when the subject matter is newsworthy) as well as photos and feature ideas. (Photos should be black and white glossy prints.) Talk to the managing editor about doing a congratulatory editorial. Supply him or her with plenty of background materials on your chapter, including any newspaper clippings from past projects. The newspaper's advertising manager is the person to talk to about cooperative ads paid for by sponsoring merchants (e.g., "Davis Radiator Shop salutes the Maple Ridge Jaycees for their outstanding civic endeavors"). If enough advertising is available, a special section or supplement might be possible. Just make sure enough feature storiesand photos are available to keep it from being advertising only; include stories on your chapter, your state organization and The U.S. Jaycees. And don't forget the ad slicks included with this mailing; in such a supplement, they could be placed throughout. WIRE SERVICES (Associated Pressand United PressInternational) may be interested in your Jaycee Week activities, but usually only if the stories are of statewide or of national interest. The Distinguished Service Award is presented to the man of Jaycee age who exhibits most meri torious service to his family, community, and nation. materials and community resources you need. You'll anticipate problems and come up with possible solutions, list steps to complete your project and prepare a proposed budget. As your project work progresses, follow through on the implementation and evaluation steps of the CPG. The size of your chapter is not as critical as conducting projects. Projects such as an information booth downtown, a charity sports event or a children's participation event are easy ways to take part in Jaycee Week. This week-long celebration of Jaycees is a prime time to encourage new members to join your chapter. Each project you conduct is a membership opportunity. Make sure you are ready to answer questions. Have applications handy - aoo use them. Explain the benefits of Jaycees and then ask your guests to join.
Advance planning gives you time to prepare promotional material about your chapter, such as fliers, posters and counter displays. Billboards are even available through The U.S. Jaycees Sales department. Jaycee Week, which follows the annual U.S. Jaycees Congress of Ten Outstanding Young Americans (TOY A) in Tulsa, Oklahoma, focuses national attention on your community. Build on this with a strong local public relations campaign. Radio and television mentions of your activities can get your message to the widest audience. Make sure the newspapers get the story: Your hometown is a better place to live because of Jaycees. Assign responsibility for public relations and set a timetable to publicize your events. Jaycee Week is a golden opportunity to build a solid, positive image. Advance planning is the key in taking advantage of that opportunity. ,

If your chapter doesn't hold an annual banquet to honor outstanding citizens of the community, you might consider adding such a function to your Jaycee Week activities. There are three logical reasons for running such an event as part of Jaycee Week: with a new year having begun, it's appropriate to recognize those who contributed to the community during the year just past; Jaycee Week immediately follows The U.S. Jaycees' national recognition ceremonies, TOYM; and, of course, there's a great potential for media publicity and public attention. When carried out properly, an event of this nature whether to honor the Outstanding Young Man, Outstanding Young Educator, Outstanding Young Law Enforcement Officer or any other worthy citizen can be an excellent image builder for your chapter, but much planning and preparation is required. It's usually best to start about ten weeks ahead on a project of this magnitude, but if several members of your chapter will commit a lot of energy and time in the weeks between now and Jaycee Week, you could pull it off.
Here's a step-by-step look at some of the details you'll need to address; there will be others, but these are some of the major ones. 1. Consult The U.S. Jaycees Committee Chairman's Workbook for guidance. 2. Determine your objectives, establish a budget and select the category or categories of awards. 3. Explain the project at a general membership meeting to get ideas and stir up interest among your members; get all responsibilities assigned immediately. 4. Determine the process for selecting winners and begin preliminary arrangements for the event (securing a site, selecting guest speakers, displays, entertainment, etc.). 5. Select nominating groups (i.e., government leaders, businessmen, school principals, etc.) and distribute nomination forms. Solicit nominations from the public as well as by making forms available at publicized locations. 6. Order plaques or trophies to be presented. 7. Select a judging panel; you might try for government officials, business leaders, etc. Distribute completed nomination forms to the judges, explaining the judging criteria and the deadline.
Firm up and finalize plans for the banquet, confirming the date, time and location, speakers, entertainment, catering arrangements, etc. 9. At least two weeks ahead of the event, gather the results from your judging panel and determine the winner or winners. Contact all honorees to determine whether they can attend the banquet. If an honoree cannot attend, select one of the runners-up. 10. Issue a news release announcing that the winners have been selected; announce location, time and ticket information (but not the honorees' names). 11. Send invitations to VIPs, such as elected government officials, Jaycee state officers, your judging panel, employers of nominees; send invitations and complimentary tickets to news media; distribute tickets through locations outlined in news release. 12. A week prior to the event, conduct a final overview of all details, making sure everything has been covered. 13. Conduct the ceremony; if all nominees are invited, make sure they each are introduced; introduce all VIPs. 14. Where applicable, submit winners to state or national recognition programs. 15. Prepare a final report on the project to make planning another such event eaSIer. As noted earlier, an event of this type can't be thrown together in three weeks; there are many details to follow up on, and it takes a lot of manpower particularly when time is getting short. But it carries many public relations benefits and will be a great learning experience for everyone involved.
