EXECUTIVE SUMMARY

Internship is a pathway between the theoretical knowledge and practicality in real


world business scenario. Pokhara University has been emphasizing internship as an
academic requirement to make such pathway for students. In this regard, I chose
Employee Provident Fund, Thamel, Kathmandu. This report entailed an “an
internship report on pension and social security management of employee’s provident
fund” has been prepared for the partial fulfillment of BBA program on the basis of
sixty days internship experience at Employee Provident Fund, Thamel, Kathmandu.
KarmachariSanchayaKosh (Employees Provident Fund - EPF) was established under
Employees Provident Fund Act, 2019. The name of fund is modified as EPF in 2019
BS, but the concept of saving the deposit of the army will starts form 1991 BS as
“SainikDribya Kos” for making the life of pensioned army financially helpful.
Similarly, the SainikDribyakos was modified as “Nijamati Provident Fund” which
also starts to accept the deposit form the administration employee as well. Finally,
the fund is names EPF in 2019 by mixing the both concept. EPF manages Provident
Fund (PF) in Nepal on behalf of the Government of Nepal (GoN) for government,
public enterprises and private sector employees. It has been entrusted to manage
Contributory Pension Scheme for the employees of Federal GoN and other public
sector employees appointed from Fiscal Year 2076/77 as per the Pension Fund Act,
2075. 
As an intern, I did the client counseling, Accident Claim recording, recording and
filing of the medical expense and Task related to fund management department at
Employees Provident Fund. All the data that were used for the analysis were not
recorded in digital forms. Important variables such as customer’s name, NMC
number, doctor name, claim amount and ageing were recorded for the analysis in
medial re-imbursement department.

CHAPTER I: ORGANIZATION PROFILE

1.1 Organization's vision and missions


Vision
 Through leadership role as the national social security provider, establish the fund as a
social security organization of international standards.
Mission
 Through effective resource mobilization, sustainable and attractive facilities,
qualitative services and expanding the coverage of potential social security programs
to all employees in the organized sector, establish the fund as Nepal's most reputed
social security organization.
 Through modern management systems, establishment and expansion of quality based
network, creative and competitive working principle, extensive cooperation and
partnership, develop the fund as a social security organization of international
standards.
 Through good management of the provident fund and social security benefits,
providing assurance on social security to the contributors and making the fund as
''A happy big family of satisfied members''.
 Through mobilization of the long term savings available with the fund in
infrastructure development, contribute in the country’s economic development

1.2 Major markets and customers


There are around 27,862 offices, as employer organizations, with about 555,000 employees
as members regularly contributing to PF. Under recently introduced contributory pension
scheme about 1950 offices have joined with fund to maintain contributory pension fund of
their appointed employees of around 45,850.
The rate of PF contribution for all employees is 10% of monthly salary and equal amount by
the employer's side. Hence, 20%of basic salary is credited in member's PF account as
monthly contribution. The prevailing contribution rate was initiated from the year 1971/72.
Initially the rate was Rs. 2 to 475 based on their salary for member's contribution and
additional amount of 10% of member's contribution from government's side. In the year
1967/68 the rate was increased to 10% of their salary for member's contribution and the

addition contribution from government’s side was also revised as 50% for below officer level
employee member and 25%for officer level employee member.

1.3 Products, Services, Location, Branches/ Outlets


1.3.1 Products and services
A. Contributory Pension
Features of the plan:
1. Contributory Retirement Scheme has been implemented for the employees of Civil
Service, Nepal Army Service, Nepal Police Service, Armed Police Force, Nepal and Nepal
Special Service permanently appointed 2076 BS Shrawan 1, onwards.
2. Monthly salary of the employees participating in this scheme will be deducted by 6% and
the Government of Nepal will contribute in the same proportion.
3. The pension amount will be increased up to 5 times at the rate of 10 percent every 3 years.
4. In case of non-completion of 20 years of service, the amount deposited in the fund, interest
amount and profit amount will be paid in lump sum.
5. The amount deposited in the personal account of the employees who have completed 20
years of service will be paid in accordance with the provisions of the Pension Fund Act,
2075.
The process of joining the scheme:
1. Employees participating in the retirement scheme will follow the procedure prescribed by
the fund, update the KYC, get the UCIN number and inform the concerned office.
2. The concerned office must obtain the Web Entry Access of the Fund.
3. Deposit the amount in the designated bank as per the retirement plan and the concerned
office will send the digital details through web entry and keep the receipt sent from the fund
(online) safely.
4. To fill  in the personal account of the employee participating in the pension scheme after
verifying the bank details from the fund and the digital details sent by the concerned office.
5. Regularly check the personal account details of the employees participating in the pension
scheme online.
6. Inform the concerned office about the UCIN number of the employee in case of transfer or
posting in other office.
B. Social Security Services
I. Medical Benefit

Under the Social Security Program from the Employees' Provident Fund, the "Contributors
Medicine and Deadly Disease Scheme" operated by the former National Insurance Company
Limited has been converted into the "Contributors Health Care Scheme". The scheme is
funded by the Contributors Medicare Assistance Program in the past, 2070, and the
Contributors Medicine and Fatal Diseases Insurance. The scheme covers contributors who
have been depositing money in the fund regularly for at least six months. This means that the
patient should be a regular contributor of the fund in case of hospitalization. In addition,
contributors who have retired due to age limit or tenure and have not been paid from the fund
for 6 years on that date also benefit from this scheme.
The cost of treatment at a hospital, nursing home, health center, or other similar healthcare
provider operating within the state of Nepal after obtaining an operating permit from the
Government of Nepal can be claimed. Also, due to the inability to get treatment in Nepal,
such treatment can be claimed even if the treatment is done in a foreign hospital on the
recommendation of the concerned doctor. However, the cost of treatment at a doctor's private
clinic cannot be claimed.
II. Funeral Grants
It starts form Magh, 2048 and the amount was revised to Rs. 40,000 from 2075 and is to be
provided to the nominee of the deceased contributor expired within the service period.
III. Maternity and Child Care
Rs. 7500 per delivery upto two times.
IV. Accident Compensation
If the contributor will died or completely disable in the service period then in such case fund
will provide Rs. 1,25,000 the nominee or contributor.

1.4.1 Departments & their functions
Customer service department
In the finance industry, where technology continues to evolve the way we handle personal
and business finances, quality customer care includes keeping pace with both live and digital
options for handling everything from simple to complex transactions. Customer service
representatives help businesses to develop strong relationships with their clients and
customers. The function of CSD in KSK is

 Make suggestions regarding the purchase of additional products and services.
Education Department
This department looks after the academic affairs. The functions of education department are

 Responds e-mails who asked for the new PF number for new employee

Medical Expense Department
Medical records are the document that explains all detail about the patient's history, clinical
findings, diagnostic test results, pre and postoperative care, patient's progress and medication.
The Medical Records Department prime objective is the provision of patient Medical Records
in a timely manner to different hospital units in order to assist clinicians, allied health
professionals and other hospital staff in the provision of quality care to patients.
Data Entry Department
There is the great role of internee in EPF, Thamel branch. The current employees are not
enough to handle the paperwork. So the internee helps the employees to do their work by
helping them in data entry. The function of data entry department is

 Providing necessary information to customer.
 Assisting the EPF employees.
 Helping to find different department to customer.
 Responding communication channel like, email.
 Checking PF number
 Data entry of PF amount in CSM system.
 Distinguishing file according to department like education, corporation and police
section etc.

The figure 1.2 shows the cash flow statement of employee provident fund from the year
2073/74 to 2077/78. The figure shows total fund available and total cash disbursement from
the year 2073/74 to 2077/78. The total fund available is Rs. 27503.28, Rs. 31200.56, Rs.
34239.76, Rs. 38680.76 and Rs. 44566.42 in the year 2073/74, 2074/75, 2075/76, 2076/77
and 2077/78 respectively. The total cash disbursement is Rs. 27503.28, Rs. 31200.56, Rs.
34239.76, Rs. 38680.76 and Rs. 44566.43 in the year 2073/74, 2074/75, 2075/76, 2076/77
and 2077/78 respectively. The loan/ total fund ratio is in fluctuating nature from the year
2073/74 to 2077/78. The investment properties/ total fund ratio is increasing in nature from
the year 2073/74 to 2077/78. The cash and bank/ total fund ratio is in decreasing nature from
the year 2073/74 to 2077/78. The miscellaneous/ total fund ratio is in fluctuating nature from
the year 2073/74 to 2077/78.

The figure 1.3 shows comparative income statement of employee provident fund for the year
2077 and 2078. The total income for employee provident fund is in increasing trend. The
income has increased by Rs. 162352999. Similarly, the total expenses of employee provident
fund are in decreasing trend. The expense has been decreased by Rs. 338319538.
Overall the income statement shows that net income for employee provident fund is in
increasing trend. The net income of employee provident fund in the year 2078 is Rs.
3934576919.

The figure 1.4 shows comparative balance sheet of employee provident fund for the year
2077 and 2078. The total asset for employee provident fund is in increasing trend. The total
assets have increased by Rs. 58,857,344,361. Similarly, the total liabilities of employee
provident fund are in increasing trend. The expense has been increased by Rs.
58,857,344,361.

1.6 Organization Performance


The employee provident funds have got outstanding performance. The profit margin for the

Table 1.5 shows organization performance of employee provident fund. This shows how
better the company performance is, in compare to previous year. The table shows that there is
increase in volume of provident fund whereas there is decrease in volume of pension fund.

The reserve for the organization is in increasing trend. The liabilities for the company are in
increasing trend.
The loan/ total fund ratio, investment properties/ total fund ratio, cash and bank/ total fund
ratio and miscellaneous/ total fund ratio are in increasing trend. This shows that there is better
performance of employee provident fund in compare to previous year.

CHAPTER II: JOB PROFILE AND ACTIVITIES PERFORMED

2.1 Activities Performed in the Organization

KarmachariSanchayaKosh (Employees Provident Fund - EPF) was established under


Employees Provident Fund Act, 2019. EPF manages Provident Fund (PF) in Nepal on behalf
of the Government of Nepal (GoN) for government, public enterprises and private sector
employees. It has been entrusted to manage Contributory Pension Scheme for the employees
of Federal GoN and other public sector employees appointed from Fiscal Year 2076/77 as
per the Pension Fund Act, 2075.  Its relationship with GoN is routed through Ministry of
Finance.
According to Income Tax Act, 2058, EPF is an approved retirement fund that allows annual
income deduction benefit on contribution by member to his/her PF and Pension Fund
account and special tax benefit privilege at the time of repayment of PF after retirement.
EPF also provides some social security benefits to the contributors, via medical treatment
reimbursement, Accident Indemnity Claim, maternity and child care benefit, funeral grant
etc
2.1.1 Introduction to involved department
Counter (Front Desk) Department
This department is also known as service department and generally responsible for
dissemination the information asked by the client. Many client visit to know about their detail
such as statement print, view loan detail, know forecasted payment etc. Generally this
department will consist the task related to the loan.
As an intern I performed the following task:
 Statement print
 Special loan entry
 View loan history
 Interest accumulation up to working date
 Forecast payment
Any contributor for being eligible for the loan, his/her contribution should be deposited
continuously and only can borrow the loan after the 2 year. He/she must wait for additional
one year to borrow if loan is already borrowed.
Fund Management Department:

This department is generally responsible for the collection of fund from the employers and
form the organization in which the contributor is involved. Employee provident fund uses the
manual deposit system in its early period. In the manual deposit system the individual
employee is responsible for entry of contribution.
Due to the possibilities of errors and missing in manual deposit system, fund adopt the online
web entry system in which the accountant of the respective office is responsible for the
deposit of the contribution. The detail of the contribution by the accountant of that specific
off is shared with the fund management department of EPF with the help of server. This
system is also not able to solve the problem of duplication and missing of the contribution
due to the mismatch of temporary id of customer.
Form Poush, 2077, in mutual agreement with Office of Auditor General (OAG) EPF uses the
Central Government Accounting System (CGAS) for the record of contribution of civil
officer. This will automate the collection of contributor and OAG will provide the unique id
along with the statement with the help of Information Communication Technology (ICT) that
should verified by the staff of EPF and approve the payroll. In the same manner the fund also
work with the Bank to ensure there is deposit of the amount with the help of Application
Program Interface (API).
Hence, in this department I was able to learn about the system and working process of
financial transaction between the agencies and with the bank. As an intern I have to verify the
detail provided by the OAG and bank then process for the further process by doing C-gas
post and C-gas push.
Medical Expense Department
Under the Social Security Program from the Employees' Provident Fund, the "Contributors
Medicine and Deadly Disease Scheme" operated by the former National Insurance Company
Limited has been converted into the "Contributors Health Care Scheme". The scheme is
funded by the Contributors Medicare Assistance Program in the past, 2070, and the
Contributors Medicine and Fatal Diseases Insurance. The scheme covers contributors who
have been depositing money in the fund regularly for at least six months. This means that the
patient should be a regular contributor of the fund in case of hospitalization. In addition,
contributors who have retired due to age limit or tenure and have not been paid from the fund
for 6 years on that date also benefit from this scheme.
The cost of treatment at a hospital, nursing home, health center, or other similar healthcare
provider operating within the state of Nepal after obtaining an operating permit from the
Government of Nepal can be claimed. Also, due to the inability to get treatment in Nepal,

such treatment can be claimed even if the treatment is done in a foreign hospital on the
recommendation of the concerned doctor. However, the cost of treatment at a doctor's private
clinic cannot be claimed.
The contributor should be hospitalized and treated for at least 24 hours. However, due to
natural causes or other special conditions, even if discharged 24 hours before admission to
the hospital on the recommendation of the concerned doctor, claims can be made. Expenses
incurred for OPD services or similar health examinations cannot be claimed without
hospitalization. However, if the contributor has to be hospitalized and treated on the basis of
such a health examination report, the cost from EGF (Admit to discharge] is claimed.
Requirement for medication
A. Operation Fee: Expenses for a surgeon or anesthetist fees and operation theater fees not
exceeding Rs. 40,000 (forty thousand only)
B. Diagnosis fee: purchase of medicine and equipment: one-time treatment Rs. 15,000
(fifteen thousand only) without increasing to a maximum of up to Rs. 30,000 (thirty thousand
only) for physician's examination, Diagnosis - X-ray, USG, MRI, CT Scan, etc, Pathology or
Diagnosis fee as per doctor's recommendation and cost of purchase of medicine.
C. Hospital Bed Fee: In case of hospitalization, at the rate of Rs. 2,000 (two thousand only)
per day, one-time treatment at Rs. 15,000 (fifteen thousand only) without exceeding the
maximum of Rs. 30,000(thirty thousand only).

How much money can be recovered under fatal disease?


For fatal diseases, a maximum of Rs. 10 lakhs without exceeding  (up to Rs. 1 lakh out of the
expenses incurred during diagnosis, up to Rs. 7 lakhs out of the expenses incurred during
hospitalization and treatment and up to Rs. 2 lakhs for the expenses incurred in follow-ups).
However, in the case of contributors who are undergoing regular dialysis and chemotherapy
treatment for cancer and kidney failure, the facility can be provided up to Rs. 1 lakhs.

What happens if a contributor dies during treatment?


In case of death of the contributor during the treatment, the cost of the treatment before death
can be claimed by the rightful claimant as per law.

Where and when should the claim be made?


The contributor or their heir should be able to submit the application to the fund or branch
offices within 60 days from the date of discharge from the hospital along with all the required
documents and the recommendation of the head of the office working for the claim. In case

of non-availability of required documents, the claimant/contributor will be responsible for
providing such documents to the fund.
 How long does it take to settle a claim?
For claim repayment, the date from which all the documents are  submitted, Rs. 25 thousand
should be paid within 15 days, Rs. 25 thousand up to Rs. 1 lakh to be paid within 21 days and
30 days for fatal disease. 
What documents are required for a claim?
The contributor should submit the following documents:
 Contributor's application in the format as per schedule 1,
 Claim form as per schedule 2 (signed by the concerned physician of the hospital and
Nepal Medical Council (with NMC registration number),
 Original Prescription and Discharge Slip,
 Original medicine bills (including seller's name, permanent account no. and clear
signature) in the name of the patient as per the prescription and discharge slip of the
doctor.
 Diagnosis as per prescription -X-ray, USG, MRI, CT Scan, etc, Pathology or
Diagnosis as per the recommendation of the physician,
 Copy of identity card or citizenship with photo,
 Retirement letter in case of retired contributors,
 In case of contributor's death, death registration certificate, proof of relationship, and
other necessary documents.
Accident Claim department:
This department deal with the review of document of file presented by the nominee of
contributor claiming the amount that is to be received form the EPF in cased of the death of
contribution in working period and whole body disability occurred within the working period
as per the rule of EPF.
In the period of intern I also work as counsellor to the client that visit to claim the accident
file. I also review the required document and check them whether they are complete or not
and submitted complete file for higher discussion in meeting after registration the file.
2.1.4 Activities Performed
As I did internship in Employee Provident Fund at medical expense record department for
sixty days, as an internee I performed following activities.
Customer handling

During my internship period, many clients had visited employee provident fund regarding
their medical expenses claim. As an internee, I had handled all clients, all their problem are
addressed in consent of my supervisor. Different clients have got different problems
regarding claim, I need to verify all those documents and forward it to medical claim section.
Apart from this, I kept all record of customer queries in separate register.
Data entry of medical expense record
As per their document presented I had done data entry for claim compensation. At the time of
data entry various things need to be taken into consideration. Firstly we need to register
information like name of hospital name, name of diseases and types of disease. For medical
claim, client should be admitted in hospital and get discharged slip. Medical claim will be
provided with signature and NMC number of doctor.
For medical claim, all bills that are presented by client must be stamped by hospital. We
should identify whether client had paid in cash or credit. If payment is in credit, client must
present clearance bill.
While doing entry there are three category, surgery, medicine & lab test and bed charge and
nursing charge.
Those clients who are severe, and need to go regular follow up will get claim after providing
date with hospital stamp up to rest. 10, 00,000/-, in case of general, 40,000 claim is provided
in surgery, 15000/- is provided in medicine and 15000/- in bed charge. In case of bed per day
Rs. 2000 is provided.
Within the bill entry process, I also get chance to learn about the software Contribution
Management System (CMS). Within the CMS we can check the detail about the client and
decide whether the client is eligible for getting social security benefit or not.
Fund Management
During the job rotation, I also get a chance to work in fund management department where I
learned to know about the entry of payroll (office wise as well as individual wise). After
checking and verifying the status in CGAS software and Bank with the help of APT, the
statement were posted and pushed for further process.
Communication channel handle
Internee had to handle the external and internal communication channel like email. In mail,
different organization sent their statement of PF where they sent their employees name, PF
number and PF contribution amount in excel format through mail. Internee should response
to their mail.

Every month or year there is chances of replacement or addition of new employees of those
organization who provide contribution every month to EPF should add new employee to their
EPF list as well, which requires new PF number so, Internee should check those file whether
there are PF number or not.

2.2 Problems Faced and Solved


The following are the problem and challenges and how these problems were solved:
Problem in Coordination
The period of the internship was very good. But certain coordination problem between the
co-workers caused a confusing moments to me. It was difficult to work. The communication
between the co-workers and mine was interrupted. The solution to this problem was done by
the co-workers themselves. Later on they realized the conflict and they communicated with
each other. The problem was solved.
Time Management
Internees were given lots of tasks to be completed within a certain time limit. It was quite
difficult for me at first week of internship as I was very new at this organization. Later on, the
problem was solved as due to understanding of time period and assigned tasks. This made the
work easier and it was completed in given period of time.
Problem Related While Accessing
The Important details Of KSK According to the rules of KSK; I was not able to get any
access with the internal details of the KSK even for their tasks. This made me acquire less
knowledge and skills. The problem was solved as soon as the new rules were formed which
made me easy access to the different official websites and details of the PF. This made the
task easier for me and I was able to learn many important things about the
KarmachariSanchayaKosh.
Data entry of medical expense record
There was lots of problem while data entry, the documents provided by employee doesn’t
match with system information. There were lots of steps to follow while recording data, if
any error occurs; I need to repeat recording from the first again. Regarding document
mismatch, we used to ask to present genuine document for the recording system. As I am in
medical expense record department employees must submit hospital signed documents for
the claim in hospital letter head with stamps.
Filing

Filing is the task that I was assigned, there were lots of individual file of individual
employees, which I need to arrange. At the time of filing, I need to look after all documents
whether it is complete or not and I found lots of incomplete documents which made me
difficulty in filing. The problem was solved by following up all clients to present remaining
documents.

2.3 Intern's Key Observation


2.3.1 Observed Gap
Knowledge gained from the academic courses seems to be different in practice to some
extent. Concept of theory is essential in the workplace. Literature is the base to perform any
task in the working environment. Socio-cultural factors, interpersonal relationship seems to
be simple in theory but in the practice maintaining interpersonal relationship and mixing with
the society and professionals is a crucial task. Dealing with various kinds of customers
effectively can be sharpening through the practice. Whenever internee learned something
through the help of books, get a mental picture as to what should be, but after the completion
of the internship it found out that the textbooks and the real world situation are two
completely different matters because what was learnt in the textbooks are not updated from
time to time whereas in the real world one has to be updated in order to complete and get
success in the competitive financial environment.
These 60 days long internship on EPF helped me to satisfy theoretical queries by facing them
on the spot. Various skills are acknowledged to me during my performance on data entry
section and communication channel handling section which I was not able to achieve through
syllabus, based theoretical studies.

CHAPTER III: LESSONS LEARNT AND FEEDBACK

This internship of 60 days programmer had helped me transform in the positive way. We
have learned so much theories and principal related to different fields. It seems easy to while
studying the theories but I didn’t got chance to apply such theories in real job setting. My
perception of work has changed greatly after the internship. As we all know that the work
culture is most important for any employee, so I have got a chance to learn the work culture
while doing my internship at EPF. In addition, I have gained some of the basic skills required
for any kinds of job. I have learnt how to communicate, how to convenience, how to control
my emotions at the work and adapt myself to the environment.

3.1 Key Skill and Attitudes Learnt


Communication skills
After the completion of my internship, I am now confident to go and work at any new job. I
know how to introduce myself, how to greet the seniors, how to make other do things for
myself, how to talk to customers, et cetera.
Teamwork
Teamwork is must in all sectors. Nothing can be done alone. Each and every task requires it
to pass through many employees. The proper teamwork leads to synergy. For example, when
a client comes for medical expenses, first step is we verify his documents and keep record of
his documents, after record keeping and initial verification, it is forwarded to claim
department and finally account department, therefore all department work together to
accomplish the task. Hence, teamwork is of most importance and everyone should work in a
consistent manner. Otherwise, one or more employee will find themselves without work.
During the first few days, it was hard for me to understand how the work is done and what
should be done to keep the teamwork flowing. But, with the passage of time I learnt the skill
to work as a team.

Difference between the theory and practice


I guess it’s hard for a new graduate to start working because of the perception s/he has about
the job. All the things we are taught in our curriculum don’t apply in real life instead. Hence,
this internship has helped me a lot understand that difference and prepared me with skills to
get acquainted at a real life workplace. Particularly, it has prepared me to work in employee

provident fund after I graduate since I have understood the real life working practices and
how jobs are done at a bank.
Dressing sense
As our college don’t have any specific student dress and all are free to wear the cloth which
they like. It is occasional for us to wear the formal dress even if anyone like to ware formal
dress. But, while working in the EPF I got a chance to change my dressing sense and start to
move office in formal dress that make me more confident and smart while dealing with the
client.
Controlling the emotions/ resilience
We should leave all the tensions, frustrations, anger and sorrows at home while we go to
work. We should mould our emotions and attitudes according to the task we perform at our
jobs. There is no second option to it.
I had to deal with many client some of them are angrier with the process and service provided
by the fund. Sometimes they are about to fighting with us. In such condition we have to calm
down and deal with them more diplomatically even we are angry with such behavior.
Eventually we have to performed many task assigned by our seniors even we are doing our
regular task, which really makes us anger and frustration. In such case I have controlled my
emotions and starts to work in more diplomatic way and make a situation win-win both of us.
At the same time, there is difference between policy making staff and working level staff.
That create the hassle in the daily work. Many client comes and report us about the issue and
in such case we have to deal with client and make convenience them.
Time management
As I have already mentioned couple of times earlier, the most difficult thing about internship
is that we had to wake early in the morning, go to college, the classes ended at 9:15 am and I
had to have my lunch and be there at work by 10:00 am. The office used to end at 5:00 pm
and by the time I get home, it would be dark already. All I wanted to do was to sleep but we
used to have home works and assignments as well.
This busy schedule helped me find possible solutions to do the right things at right time and
save time for other tasks. I used to carefully plan the assignments viewing their submission
dates. I even utilized the time for doing assignments at class whenever a teacher would be
late for classes. I used to ask for help from others on the areas where it didn’t require me
doing it.

The nature of the job also helped me learn time management skill at work. I became an expert
to decide what to do and what to keep pending in order to keep the teamwork going in its
pace. I could classify between which job is to be done at what time.
Discipline
I have learnt the DOs and DON’Ts at the workplace. I have learnt the required level of
motivation, pace of work, acceptable and unacceptable languages, acceptable and
unacceptable absences from work and so on from the internship. Though the discipline at
work differs with the type of work, I have realized the need to learn the corporate culture,
policies and practices.

3.2 Feedback to the Organization


As I had worked in the medical department along with the fund management and front desk
office. I have saw many problems in the department. I would like to provide following
feedback to the organizations that should be followed for the effective efficiency and high
productivity.
 Lack of proper human resource planning. As the work load in the medical department
is high, but the department have only four working staff. So the proper planning of
human resource is crucial to increase the outcomes. It the problem of scarce human
resource solved then client may get the service easily.
 Lack of proper space and healthy environment at medical department. Due the flow of
client the staff cannot concentrate in their task. They have to handle the issue of client
along with their task. This disturb them as a result their less productivity. Probably
each staff should have private cabin so that they can concentrate in their task.
 Lack of proper physical space for keeping file as well as necessary document. And
there poor physical arrangement for the proper filing. So, the concern department
should conduct research for the scientific management of the files and documents.
 Lack of coordination between policy making staff and working level staff due to lack
of effective communication. Policies are created by the higher level staff and it lack to
consider the behavioral issues of client. So while making new policy the working
level staff should be involved then only the policies will address the issue of client.
 Employee should be assigned the task in target basis for enhancing the organization
performance. It will make them conscious about their target. If there is no target they
are less likely to do perform the task as per their capacity.

 Due to the lack of proper staff, the department also uses the intern to perform the task
which is better for intern as well. But it will increase the chance of error.
 Organization should focus on the development of employee. For which different
training, seminar, conference etc. should be organization for the enhancing the skills
of employee and for their career development.
 Employee seems to be monotonous by the similar nature of work. That why I
recommend the fund for adopting the job rotation so that employee will be motivated
for doing new job. Job rotation should be done time to time.
 Unnecessary interference in the performance will creates the problem and the regular
work get slowed. The pressure form the higher authority and powerful person
pressurized to proceed their file before their turn that will create the problem and
other client will get service late. Such unnecessary interference will decrease the
organizational performance in the long term.
 EPF is unable to update the information in website as per the change. Client will not
get updated information form the website and they only know updated information
while they visit the office and it will surprised them. So this will created the
communication gap between the company and its client.
 As we all know that the toady world is about the information technology. But in EPF
the performance of the IT department is seems to be dissatisfied (not prompt). As all
the performance is web based, in such case inactive IT department will directly
hamper the performance in different department.
 There is unequal distribution of the power and authority. As the organization is
centrally controlled, to take small decision the senior manager should have to take
decision. This process will take 2/3 days even more sometimes this will make the
things slow in any organization. So the power and authority should be divided
accordingly.
 Employee are the greatest resources of the organization they should take organization
as their priority. For the motivation of staff organization should conduct the research
to know what makes employee attractive towards the organization.
 It is disastrous for the organization if the employee not work as per their post and
capacity and think that no one can remove them from the job. In the organization I
have seen it is necessary to conduct the performance appraisal in scientific basis and

start to promote and demote the staff on the basis of their performance rather than
political power.

3.3 Feedback to the College/University

While I am doing internship at EPF, if find so many differences between the learned theory
and their implication in real job setting. This indicated that there is difference in academic
process of learning and real job doing. From the internship I would like to provide following
suggestions to the college as well university.

 There is difference in what we learn and what we do in our job. University should
modify the curriculum that will teaches us skills and qualities that will be used in
work place.
 Although university provide provision of 50% marks form the practical and 50% from
the board exam. However the college are providing internal marks without evaluation
of practical done by student related to the learned theoretical knowledge. Hence the
university should check and follow the process of evaluation form practical strictly.
 As I have worked more than 340 hours within a semester which only covers 100
marks. Along with this, we also have to study 4 additional subjects. We have a lot of
pressure to actively participate in daily study. University should rethink and make
modification. So that we can actively participate in internship.
 While doing internship the college time should be friendlier. As our regular class end
at 9:15 am (sometime reach to 9:30 am) and I have to reach to office by 10 am. It is
rush for us to have lunch and reach office within 45 minutes. Sometimes I even had to
skip meals to be at work on time. At the same time there is lack of enough public
vehicles to reach office.
Apart from that, there is no dissatisfaction at all. They did a great job informing and guiding
us about the internship. The teachers were well aware of the pressure on us due to the
internship; the assignment submission dates were timed perfectly.
