Employee can initiate Resignation by using the following path -
Login to HCM Resignation
A] On initiation of Separation Request by Employee:
1. If the employee has availed any staff loan he/she needs to close the loan in to system before
25th of the month. On the basis of closure confirmation from pad team salary will be released
on 6th of the next month, the last month’s salary will be on hold & will be credited along with
the final settlement after the last date subject to clearances of all dues with the Bank.
2. In case staff loan is not closed, Salary will be held back & will be process along with Full &
Final settlement.
3. You are requested to keep your account funded, every month, for EMI payout of your staff
loan liability with the Bank.
4. If the employee has not availed any staff loan his/ her salary for the 2 months during notice
period will be released on 6th of the next month, the last month’s salary will be on hold & will
be credited along with the final settlement after the last date subject to clearances of all dues
with the Bank.
5. For the employee on probation salary will not be released for the month when he/ she has
initiated the resignation, salary will be credited along with the final settlement
On submitting the resignation, the request will be triggered to the Manager which needs to be
accepted & approved by the Manager within 7 days
Note: Employees are requested to maintain updated email ids, phone numbers, contact
addresses, etc. in the Portal under `Personal Profile’ to enable Bank to communicate
Guidelines for the resigning employee
Notice Period
• The Final last working date will be decided by the Front Line HR
• Notice pay will be calculated on updation of the final last working date by line HR
• All Confirmed Employees are required to serve 90 days notice period. The notice period for
Employees on probation would be 30 days.
Full & Final Settlement
1. Employee separation process does not complete until you clear all the dues payable to the
Bank viz., Notice pay in case of shortfall, loans, hard furnishing, Bank vehicle,
Accommodation, Corp Card / Travel Claims (if applicable), etc.
2. Employee will be able to view the status of your dues / clearances from the respective Units
in the ESS Portal in the below path :

3. Employees are required to coordinate with respective Units to update the dues / clearances
before your Last Working Date with the Bank and clear the dues if any by providing necessary
authorization to debit the a/c or to adjust from Settlement.
4. In case of o/s dues if any, dues communication mail will be sent from HR-Workspace ID to
the resigning employee on Official / Personal email id before & after the last working date.
5. In case Employee fails to clear the pending dues to the Bank on or before the LWD, full &
final settlement will not be processed and Relieving-cum-Experience Letter also will not be
issued.
6. Further, please note in case Employee does not clear the dues, the same shall be adjusted /
recovered from his / her final settlement to the extent possible.
7. Please note the outstanding HR Staff Loan, if any, are not cleared after the Last Working Date
and / or within one month from the date of your Last Working Date, the same will attract
applicable interest rate till the date of closure.
8. Please note PAN card is mandatory requirement for processing Full & Final Settlement. In
case any employees, who have not provided Pan Card till now are requested to submit a copy
of the Pan Card to PAD :

Only upon settlement of all outstanding dues (if any), and clearance from all departments, HR
will advise PAD(Finance) Department to process the Full & Final Settlement after the last working
date.
PAD Department will take approximately 10-15 working days, to process the settlement amount.
Please note the below points:
1) Full & Final settlement will comprise of Unpaid salary till last working date & Unclaimed
LTA – Leave Travel Allowance (if applicable). Same will be credited into staff salary account. Note:
LTA will be paid to confirmed employees who have completed 1 year service with the Bank.
2) Kindly upload investment proofs on ESS portal under investment tab before your last
working day in the organization. Actual Investment done before LWD will be consider for
exemption while processing settlement. Post updation kindly drop a mail to Cnergyis.
3) Request you to kindly take printout of all your pay-slips / form 16 from DOJ till Last salary
or mail soft copy to your personal mail id for future reference and to avoid unwanted follow ups.
4) Post settlement, FnF statement and tax computation will be send on your personal email
id which is updated on portal.
5) Form 16 for current Financial year will be sent on your personal email id by end of May
of next year
6) Post settlement for any queries related to FnF calculation, FnF Statement and Tax
computation kindly drop a mail to below id's.

Issuance of Relieving-cum-Experience Letter
On receipt of confirmation from PAD Dept confirming processing of Full & Final settlement, <4
Days from the date of settlement, Relieving-cum-Experience letter will be issued as a PDF
format & the soft copy will be sent to Employee’s personal Email ID updated / maintained by
Employee in the `Personal Profile’.

1. Employees are requested not to close the salary account, till the final settlement is done by
the Bank including Retiral Benefits.
2. The Salary a/c would be treated as a normal Savings account post LWD of the employee.

A) Provident Fund:
It is mandatory that Employees to submit PF claim form for Withdrawal or Transfer of PF within<3
months from their last working date.
The appropriate claim / transfer form for PF is available in the portal home page as per path
mentioned below:

Note :
a. PF and Pension account no. details available on Cnergyis ESS portal under PF details Tab
b. Updated PF balance is available on Cnergyis ESS portal under PF Details Tab
PF and Pension withdrawal forms are also available on Cnergyis ESS portal under PF Details
Tab sub category FAQ’s / Forms. Please note PF settlement will be credited to employee’s
HDFC Bank’s salary account by default. Also if said salary account is closed then employee
need to provide other bank account details along with cancel cheque copy
c. There is 60 days waiting period for PF & EPS settlement from last working date (As per EPFO
Guidelines). Hence post completion of waiting period PF will get settled within next 20
working days subject to following condition a) If employee has submitted the PF Withdrawal
application and b) Employee reliving formalities and the FNF Settlement is completed.
d. If employees PF membership tenure is less than 5 years then PF is subject to tax
e. In case employees opt for withdrawal of pension dues (administered by the Regional PF
Commissioner) you are requested to submit Form 10C to PAD dept.
f. Please note that those employees who have not completed 6 months in the organization
cannot withdraw the pension amount
g. If employee’s EPS Tenure is more than 9 Year 6 months and age is less than 58 age then
eligible for Pension Scheme Certificate ( Employee need to additional given the nomination
details and age proof of their nominee & self)

a) The Bank Account should be – Single Holder Account or Jointly with Spouse only
b) Name should be reflect on Cancel cheque else need to provide bank statement or bank
passbook where employee’s name is mention
c) Though employee hold HDFC Bank Salary account, cancel cheque needs to submitted as the
EPS( Pension ) settlement is done by RPFC office and not by HDFC Bank
d) Please don’t close the bank account mention in 10c form till receipt of EPS settlement
amount since there is lengthy procedure for re-issue of 10C Settlement
e) If employee joined the HDFC Bank after 01st Sep 2014 & not enrolled under EPS Scheme 1995.

B) Gratuity Benefit:
Gratuity Benefit:
(i) Eligibility: Benefit payable only to Employees who have rendered continuous service
for 5 Years & above with HDFC Bank.
(ii) Benefit Calculation: Last drawn Basic Salary / 26 days x 15 days x number of
completed years of service
Eg., If last drawn Basic Salary Rs. 10,000/- and completed years of service is 6 years,
then Gratuity payable = Rs. 10,000/- divided by 26 days multiplied by 15 days
multiplied by number of years of completed service = Rs. 10,000/- divided 26 x 15 x
6 = Gratuity amount = Rs. 34,615/-
Note: Number of years of service is rounded off to nearest period i.e., in case the
service period completed is 6 years & 5 months then service period considered is 6
years and in case it is 6 years & 7 months then service period considered is 7 years.
(iii) Gratuity Settlement Timeline: Gratuity is paid within 30 days from the Full & Final
Settlement Date.
(iv) Gratuity Form: NO CLAIM FORM REQUIRED : There is NO Requirement to fill Gratuity
Claim form, it is paid directly to Employees account if the Employee has completed
continuous 5 Years’ service with HDFC Bank.
(v) Income Tax Applicable to Gratuity: Gratuity Benefit received upto Rs. 10 Lac is not
taxable.
C) Retiral/Seperation Payments – Superannuation
Eligibility Criteria:
a) Employee who has completed minimum 5 years continuous service with the Bank in
the Role of E4/A5 & above are only eligible. For e.g., Total Tenure with Bank 6 Years
i.e., in Band E2 & E3: 4 Years and in Band E4: 2 years - Not eligible.
b) Retirement cases are exception to such (5 years continuous service) condition but
E4/A5 & above Band condition is applicable.
c) Employees placed Overseas in Bank are not eligible.
Claim Process:
d) Only Eligible Employees to send Email for Claim procedure to

Employee Code.
e) Emails to Eligible Employees will be reviewed at PAD Team’s end and accordingly
claim procedure and claim form provided for completing the claim formalities.

Employee needs to upload investment proof under investment declaration tab under Zing HR on link or
on zing HR application.

measures and policies of Bank which you must comply without any exception.
1. All information exchange during your remaining tenure of employment with the Bank must be in
kept completely confidential.
2. All information, whether oral, written or otherwise, that was created, accessed or processed by
you during your tenure in the Bank is Banks proprietary information and you do not have any
right on the same. So please refrain from taking this information or its copy available with you.
e.g. Documents on your PC, email archives, printouts, CDs, USB stick etc.
3. If you have taken a backup of your Hard disk on any personal external media, you must delete
the same immediately.
4. It is your responsibility to ensure that all the access that you have to different applications/
systems within the Bank are deleted before your last working day.
5. If you are in possession of any confidential documents/CD/ USB sticks, you must ensure that
those are handed over to your manager with a mention in your hand-over document.
