Backup Policy

Objective
 To ensure recovery in the event of a data loss or system failure, Leadway Pensure PFA is
able to rebuild its information data from Offline/Offsite tape backups in a timely and efficient
manner with no data loss. It is also to ensure that data erroneously erased or damaged from
the data stores can be replaced at any time.

Data sources
 1. Microsoft Exchange

 2. Microsoft SQL Server Database

 3. File Storage location on production storage devices and on end-user laptops.

 4. Application Files

 5. CCTV Files

 6. Data resident in the cloud (OneDrive)

Policy
 All incremental Information Technology data to be backed up daily (except CCTV files)

 A full database and systems data shall be backed up weekly

 An offsite location shall be identified to store tapes on daily basis

 A tape rotation formula shall be used to recycle the tapes

 Every eight weeks for daily backup

 Every eight months for weekly full backup

 Every twenty-four months for monthly backup

 Every 10 years for yearly backup

 A backup tape restore shall be carried out weekly to ascertain the quality of the backed-up
data
 Backup of critical business data shall be restored and validated by Internal Control at least
once every quarter (every quarter for database) and at least once a week for other backups.

 IT Management shall ensure that safeguards are in place to protect the integrity of the data
files during the recovery and restoration of data files, especially where such files may replace
more recent files

 Data on backup tapes / disk shall be duly protected to ensure data integrity when backup
tapes or disk shall be taken to an offsite location.

 Critical but non-database documents shall be backed up unto the fileserver by document
owners. Users shall ensure compliance to safeguard critical documents from residing on
personal laptops and computers.

 Send quarterly newsletter to emphasize the need to backup business data on the network.

 Folder Redirection (My Documents Folder) shall be implemented for all staff who make use
of company’s laptop.

 Shadow Copy of files shall be kept for a duration of 2 hours before it is overwritten by newer
update.

 In the event of losing or damaged files reported by a user, recovery of the deleted file shall
take six (6) hours with no data loss.

 There shall be an assurance of a read back verification for all backups carried out.

 Duplicate copies of end of year backup tapes shall be kept for redundancy.

 IT Management shall ensure that the required tape drive technology is made available for all
tape cartridges containing the company’s data up to the lifetime for which the tape needs to
be read.

Responsibilities
 Employees of the LPPFA are expected to understand this policy.

 Head, IT is responsible for enforcing this policy
