LESSON 3: ADVANCE WORD PROCESSING SKILLS
OBJECTIVES:
Uses common productivity tools effectively by maximizing advanced application techniques
Creates an original or derivative ICT content to effectively communicate or present data or information
related to specific professional tracks
CONTENT & DISCUSSION:
Advancement and technology play a pivotal role in business’s productivity. There are various advancements in
technology that allows people and organization to increase productivity. Below are some productivity tools
I. MAIL MERGE
This feature allows you to create documents and combine or merge them with another document or data file. It
is commonly used when sending out advertising materials to various recipients. A mail merge lets you create
personalized documents that automatically vary on a recipient-by-recipient basis.
Two Components of Mail Merge
1. Form Document
It is the document that contains the main body of the message we want to convey or send. The
second file is the word document or the letter template. The recipients' information on the letter
template is kept empty. When the mail merge process is initiated, the recipients' data from the
spreadsheet or database data file is fetched and placed within the empty field in the letter, one
by one, until all labels or letters are created.
2. Lists or Data File
The data file includes the information of the recipients to whom the letter is to be sent. This
file can be a spreadsheet or database file containing separate fields for each different type of
information to be merged within the letter.

II. INTEGRATING IMAGES AND EXTERNAL MATERIALS
Integrating or inserting pictures in your document is fun and it improves the impression of your document. A
common use of inserting a picture on a document is when you are creating your resume. Let us understand
first the different kind of materials that can be integrated to documents.
1. Picture
These are electronic or digital pictures or photographs you have saved in any local storage device.

.gif or Graphics Interchange Format
.png or Portable Network Graphics
2. Shapes
These are printable objects or materials that you can integrate in your document to enhance its appearance or
allow you to have some tools to use for composing and representing ideas or messages.
3. SmartArt
Predefined sets of different shapes grouped together to form ideas that are organizational or structural in
nature.
4. Chart
Allows you to represent data characteristics and trends.

III. IMAGE PLACEMENT
It is a feature supported by word processors that enables you to surround a picture or diagram with text
1. In-line wrapping - Doesn’t give you much control. You can’t add a
border.
2. Square wrapping - Gives you much more control. You can add a border
and effects and drag the image.
3. Tight wrapping - The text sits nearer the image. You can add a border &
effects, and drag the image.
4. Behind text wrapping - Useful if you want to put a watermark on a page
or in a table.
5. In front of text wrapping – Text underneath the image is visible.
6. Through wrapping – Similar to tight but if there are any blank spaces at
the sides of the image, text will flow into those areas. Best used in PNG
images.
7. Top & bottom wrapping – This is the one used most often in books. The image breaks up lines of text not just
paragraphs, so you may have to nudge it up or down so it sits between paragraphs.
