ABSENTEEISM MANAGEMENT SYSTEM

Front End: VB.NET


Back End: MS-Access
AMS is an acronym for Absenteeism Management System. This system
provides a comprehensive methodology for keeping track of your recruits work
schedules. It uses MDI or Multiple Document Interfaces. This means a user can have
access to more than one part of the system at any given time.
The main functions of the system are: -
 Add / Remove Employee details
 Record Absences, Record Planned Leave
 Record Flexi-time Equivalent
 Request Absences, Enter weekly timesheets
 Parameters/Rules set-up and upkeep
 View and Print Reports, New e-mail notification capabilities

 Incentives / Increments
 Report Generate

1. LOGIN
The system handles multiple users. Each user is assigned a unique user name
and password. Any transactions and input/ updated data will have the user
identification associated with it. This functionality is handled by the system itself,
and the information is taken directly from the system login screen. The login is used
to Identify the person who is the employee of the company or not, and second thing
is login is attendance for him.

2. LEAVE MASTER:
2.1. Attendance:
 Informed Leave.
 Un-Informed Leave.
 Permission.

2.2. Time Constraint:


9- 9.30 – Session I
2 – 2.30 – Session II
2.3. Informed leave:
Leave Sanctioned as a result proposal by the employee. In spite of Sanctioned
leave employee reported to work.

2.4. Un-informed leave:


When time constraints exceeds check for sanctioned leave
If sanctioned then “Marked Leave” else “Marked Absent”
This counts for both the sessions.

2.5. Late Arrival:


Late in usual Login.
Late during permission

2.6. Requisition:
o Requisition for Leave.
o Requisition for Meeting.
o Requisition for Permission.
o Requisition for Modifying personal Details.

2.7. Requisition for Leave:


Employee’s proposal for the leave. Analysis is been made on the proposal.
Then if sanctioned then, the status is “Obtained” else “Refused”

2.8. Requisition for Permission:


Employee’s proposal for the permission. Analysis is been made on the
proposal. Then If Sanctioned then the status is “Obtained” else “Refused”.

2.9. Requisition for Meeting:


Employee’s proposal for the meeting. Analysis is made on the proposal. If
proposal is accepted then the meeting “Take Place” else “Refused”. Here also we
follow the time slice that is to be specified.

2.10. Employee Management:


Employee’s Profile is maintained by the manager.

2.11. Permission for the updating:


After the placing of the proposal of the modification of the details of the
employee, he gets the proposal accepted and a link, which follows to a page in which
the employee can alter the details. And once he has finished, he will be submitting
the details to be stored in the database. Then at the time of submitting the
administrator is been noted with the updating of the employee’s details.

3. ABSENT CALCULATION
First of all set the minimum number of days leaves or permissions can be
taken by a employee. Depending upon the numbers you can calculate the leave. If
some one put the leave means immediately mark leave will be update in the
database. And also if the leave has taken then
The type of the leave like medical leave or CL or comp-off is updated. if the leave is
not informed by the employee means by default the leave is counted loss of pay.

4. ADD / REMOVE RECRUITS


If a new employee is joined, add the employee details in the database. And
specify the rights like, how many hours he should work. How many days can he take
leave and permissions etc..

5. ADD/REMOVE SALARY DETAILS


Salary details like HRA,DA,TA, etc… are maintained by the admin. The
Information like HRA TA, DA may change frequently so the changes will be updated
by the admin.

6. SALARY CALCULATION
Salary will be calculated as per the days of attendance. If he/she took one day
more than the allotted leave means loss of pay will be calculated in this module

6.1. Salary Management:


In this Module the Details about the salary such as the basic pay, allowances
such as HRA, DA, TA and Deductions such as PF, Loan and considered as the time
goes on i.e., as his experience and the performance (Appraisal) increases.

7. INCENTIVE / INCREMENT:
The increment and Incentives are calculated in this module. These
calculations are depended upon the employees working performance and
attendance entries.

8. REPORT GENERATION:
Pay bill will be generated with the details like: Name, empnumber, month,
basicpay, DA, HRA, ETC..,

 Operating System : Windows XP
 Front End : VB.NET 2005.
 Back End : MS-Access.
 Documentation : MS-Word.

EXISTING SYSTEM
An application which I typically found on a desktop computer there is no need for any
access control – the administrator has access to every processing and event within the
application. In the existing system, the leave or absent entries are maintained in an attendance
for the employees. In some companies, the salary of the employees depends upon their leaves
taken in a month. A helper is needed to calculate the number of leaves and provide the salary.
It takes too much of time to calculate all the employees for a big concern. Wrong calculations
may be raised in some cases.

PROPOSED SYSTEM
To avoid those above mentioned problems, all the process of the attendance
management can be converted into systematically generated application. The entry details of
the employees are maintained by the administrator. The admin enters the leave details in day
by day manner. This project automatically calculates the number of leaves taken by the
employee and also reduces their loss of pay in their salary. It just takes little work and time
with accurate result.
This project is developed fully automated process. So language selection for this
project is very necessary. This project requires a large number of GUI concepts to enhance
simpler for the end users. Visual Basic .NET finishes the work neatly for the front end design
and a flexible database MS-Access as the backend.

The cost of the current project when compared to the benefits of the system are much
low. Hence this system is economically feasible. The conversion of the staff registers for
daily, hourly attendance are maintaining in the paper records to sum other important work is
possible which may be taken us added advantages of this project.

Accurate and reliable information like number of leaves taken, decrement or


increments are exchanged with reasonable cost is possible. Taking this into consideration,
this system is found to the economically feasible.
