Al organizar un evento, lo primero es nosotros tener claro nuestras expectativas y lo segundo es poder transmitirlo clara y explícitamente a nuestros proveedores y por supuesto a nuestro equipo de trabajo. Luego de varios eventos organizados y con experiencias de todos tipo conocidas, creo que los siguientes tres puntos son fundamentales para que los proveedores alcancen nuestras expectativas: 1- comunicar clara y explícitamente cada detalle que necesitamos para que el evento sea exitoso. 2- informar cual será el publico presente y sus requisitos especiales, qué puede haber y qué no puede haber. Cómo deseamos que se lleve a cabo el trabajo y cómo no deseamos que suceda. 3- no dejar nada librado a la interpretación de un tercero.

Acredito que comunicar aos fornecedores com um briefing detalhado, estabelecendo metas, objetivos e o tom desejado para o evento, é um bom ponto de partida. Realizar reuniões/encontros iniciais para alinhar expectativas e escolher fornecedores que compartilhem dos nossos valores, avaliando cuidadosamente suas experiências e reputação perante o mercado. Posteriormente, o desafio de transformar os fornecedores em parceiros, incentivando a inovação e o feedback constante. A base formal é parte do processo, dessa forma, contratos que especifiquem serviços, prazos e responsabilidades. Durante o evento, o monitoramento do que foi previamente acordado e, após a conferência, uma avaliação para identificar pontos de melhoria.
