Email Piping is a feature that lets users create project tasks simply by sending emails.
Email piping allows users to create tasks directly from their email inboxes. This will save a lot of time to visit your website every time, log in to their account, and then create a new task.

For example, you are using [email protected] email address for email piping. You will need to set up an email piping connection for this. To setup email piping please go to Dashboard > Projects > Settings > Email Piping. Set email address, password, Encryption whether SSL/TLS/None, Mail server, Imap port.
If you are using Gmail email for piping, you must use a specific App Password generated within your Google Account settings, rather than your regular Gmail password. This requires enabling two-step verification on your account first. To create app password for gmail please follow below steps-
Step 1: Enable IMAP in Gmail
- Go to mail.google.com and sign in.
- Click the gear icon (Settings) in the top-right corner, then select See all settings.
- Go to the Forwarding and POP/IMAP tab.
- In the “IMAP access” section, select Enable IMAP.
- Click Save Changes at the bottom.
Step 2: Enable 2-Step Verification
- Go to your Google Account’s Security page.
- Under “Signing in to Google,” find 2-Step Verification and follow the prompts to turn it on if it’s not already.
Step 3: Generate an App Password
- On the same Security page, go to the App passwords section.
- You may be asked to re-enter your Google password.
- In the “Select app” dropdown, choose Mail.
- In the “Select device” dropdown, choose Other (Custom name) and enter a name for the app you are using (e.g., “Email Pipe Script” or “Tasks”).
- Click Generate.
- A 16-character password will be displayed in a yellow bar. Copy this password immediately, as it will not be shown again.
Step 4: Configure Your Email Piping Application

[email protected]) - Password: The 16-character App Password you generated in Step 3 (not your regular Gmail password)
When email piping is enabled, the system monitors a configured email inbox (via IMAP). Incoming emails are automatically processed and converted into tasks, within a project. Typically:
- Email subject is used to identify the project to create task of such project. You have to add project name in bracket [] in subject. For ex- [Website Redesign] Create homepage banner. The project will get identified from subject and that project’s task will get create. i.e. [Website Redesign] create homepage banner. From that example create homepage banner task will get create having Website Redesign project. If project name is not present in email subject, task will not get create from email.
- Email body becomes the task description.
- Attachments are saved in comment and linked to the task.
- Sender’s email is matched to a registered user and set as task creator. Only register user can create task of project in which he is assign. If project name is not present in email subject in [] bracket then task will not create. Only, that project’s task user can create in which he is assign. User can create public project’s task by sending email if he is not assign to that project still user can create task.
This allows team members to manage projects directly from their email without logging into the project management system, improving speed, collaboration, and traceability—especially useful for support requests, client communication, and remote teams.
When anyone emails this account, a new task will automatically be created.
