In this tutorial we’ll take a look at how you can export accident forms – for both the Care Diary and Accidents Only features – for individual children and groups of children in bulk.
For your record keeping it is important that you keep hold of copies of children’s accident forms made on Tapestry. Obviously whilst a child is at your setting, these can be kept on Tapestry, but when they leave you may want to export these or just keep a hard copy. Accident forms will be kept indefinitely on Tapestry if you partially delete a child. You can read more about this here.
Please note that only a manager will be able to export the accident forms from the configuration menu.
For both the individual and bulk export you’ll first need to go to Configuration > Children > Manage Children.
You can search for a specific child using the search bar, or filter the list of children using the Filter & Sort button.
To export for an individual child: click on their cog > Bulk export accident forms.
To export for more than one child: tick the boxes next to the relevant children (you can also tick Select all to tick all children on the page at the same time) and then select Export accident forms as PDFs in the bottom right, and click Go.
Regardless of the number of children you select, the next steps will be the same. On this next screen you can add or remove children to export the accident forms for, and select the date range of accidents and the sorting order.
When you’re happy with the selection click on Download PDF.
You’ll then receive confirmation that the export is underway. If there are any children without accident forms to be exported a message will appear to let you know.
You can head to your Downloads page to view the exports, or go back to the Manage Children page.
And that’s it! If you haven’t already got the Care Diary enabled on your account the below tutorial will show you how.
