Who Can Apply

  • Artists & Crafters Only: Tables are open to artists and crafters showcasing their own work.

  • No Dealers: Commercial resellers and large-scale retailers are not permitted.

  • Organizations/Groups: Non-commercial groups promoting causes or organizations may request complimentary space by emailing [email protected].

What KupoCon Provides

  • One table with linen and two chairs.

  • A unique opportunity to showcase your work at KupoCon.

  • Additional services may be available for purchase (contact us for details).

Eligibility Requirements

To exhibit at KupoCon, you must:

  • Be at least 18 years of age or the age of majority in the event region.

  • Submit a detailed application (Google Form linked below). Applications that are vague or incomplete may not be considered.

  • Include your order number with the application.

  • Ensure every person working at your table has purchased an event ticket.

  • Comply with all KupoCon rules and policies.

  • Provide a portfolio if requested.

  • Conduct all activities lawfully.

Rules & Guidelines

General Rules

  • Tables are limited to two people maximum.

  • If a two-day event, you must market both days.
  • Sharing a table is permitted only if declared on your application. Adding vendors later without approval will result in removal.

  • Unstable or unsafe displays will be taken down.

  • You are responsible for your own property; KupoCon accepts no liability for loss, theft, or damage.

  • Food and covered drinks are allowed; please use common sense.

  • KupoCon does not provide change, refreshments, or table coverage during breaks—plan accordingly.

  • Unapproved quests, hunts, or stamp rallies are not allowed.

  • Attaching items to venue walls is prohibited.

Content Rules

  • AI-generated art is strictly prohibited.

  • Your table must display at least 70% Final Fantasy or other Square Enix content. Non-FF work is welcome but secondary.

  • Fan art is permitted if it is original work. Copying, tracing, or printing official logos or art is not allowed.

  • The KupoCon logo may not appear on products but may be used in online advertising of your attendance.

  • Private individuals may sell new or used official FF merchandise from personal collections (small scale only).

Adult Material

  • Sexual content, nudity, or lewd imagery may not be openly displayed.

  • Adult items must be stored in a clearly marked binder or behind the table, and buyers must present valid ID.

  • Selling adult material to minors will result in ejection and a permanent ban.

Prohibited Items

  • Real weapons or metal props

  • Bootlegs (buttons, prints, keychains, etc.)

  • Flammable materials (aerosols, airbrush paint, etc.)

  • Gum or substances that damage property

  • Food or drink sales

Code of Conduct

  • Abuse of attendees, staff, or the KupoCon brand will not be tolerated.

  • Harassment or bullying must be reported immediately to a Coordinator and will be addressed without delay.

  • Zero-tolerance enforcement applies—tables breaking these rules may be removed without refund.

Application Process

  • Priority: Applications from longstanding KupoCon Patrons will be prioritized in cases where applications exceed available tables.

  • Review Time: Applications may take several weeks to review. Please be patient.

  • Not First Come, First Served: Applications are judged on detail and suitability, not on when they are submitted.

  • Capacity: If application numbers are high, submissions for an event may close with little or no notice.

  • Outcome:

    • If accepted, you will receive a welcome email.

    • If declined, you may request a refund of the associated order within seven days of receiving the notice.

  • Shared Tables: For shared tables, include both names and details in a single application.
