Description

The issue was mentioned in the "Office Hours" session on April 18, 2026. The minutes are available at Meeting Agenda – Office Hours, Saturday, April 18, 2026 #3413.

The meeting notes and agenda templates in the Office Hours repository need to be reviewed and updated based on lessons learned from the first session.

Tasks

  • Review the current meeting notes template and adjust based on how it was used in practice
  • Review the current agenda template and adjust if needed
  • Ensure the templates reflect the recurring agenda structure agreed upon during the meeting (welcome, introductions, topic presentation, discussion, review of open items, next steps, next meeting)
  • Align the Office Hours repository with the Training Team's existing processes
  • Draft a Training Team Handbook section that can be adopted after the pilot phase

Context

During the session, a fixed agenda structure was defined for all future meetings. The templates should reflect this structure so that future moderators and note-takers have a clear starting point.
