Terms and Conditions



The following terms and conditions apply to all registrations applicable to The Electronic Security Expo (“ESX”).  By submitting your registration, you are hereby acknowledging your acceptance of, and agreement to comply with, all such terms and conditions.


Cancellation Policy

ESX registrations are non-refundable. If you are unable to attend, your registration can be transferred to another employee of your company at no additional fee. Please email [email protected] for transfer requests, questions or concerns.


Code of Conduct

We are committed to creating a safe, productive, and welcoming environment that is inclusive and free from discrimination, regardless of race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other protected categories under applicable law.

All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, sponsors, service providers, and all others must abide by the following Code of Conduct:


Expected Behavior

  • Be considerate of those around you.
  • Be respectful of others and their viewpoints that may be different from your own.
  • Be collaborative with others.
  • Be mindful of your words and actions.

Unacceptable Behaviors
Certain behaviors are unacceptable, including, but not limited to, the following:

  • Offensive or unwanted behavior or language related to, but not limited to, race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other similar categories.
  • Visual harassment, such as sexual images OR sexual language including in presentations, PowerPoint etc.
  • Sexual harassment of any kind, such as unwelcome sexual advances or words/actions of a sexual nature.
  • Wearing attire that includes harmful or offensive language or imagery that is not appropriate for a professional setting.
  • Disruption of presentations during sessions or events.
  • Abusive action directed at an individual, such as threats, intimidation, or bullying.
  • Sharing your ESX registration credentials with any other person(s).
  • Making event content available to a competitor of ESX.
  • Inappropriate comments or stalking of fellow attendees.

Consequences of Unacceptable Behavior
Unacceptable behavior will not be tolerated and could result in expulsion from ESX and/or any future ESX events. If you are found or reasonably believed to be engaging in unacceptable behavior, ESX may take any action it deems appropriate, up to and including expulsion from ESX without warning or refund. If necessary, local law enforcement may need to become involved.

ESX has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you are the subject of, or witness to any violations, you can contact us by sending an email to [email protected].

Entering a Booth

By entering an exhibit booth and allowing your badge to be scanned, you are providing the exhibitor with your contact information and opting-in to receive communications from the exhibitor. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications.

Suitcasing and Solicitation

ESX maintains a strict policy to protect the investment of its exhibitors and sponsors. Participants acknowledge and agree that unauthorized solicitation (“suitcasing”) is strictly prohibited at ESX.

Suitcasing includes, but is not limited to:

  • Soliciting business in the exhibit hall aisles, public spaces, or within another exhibitor’s booth
  • Conducting commercial activity without an official sponsorship or exhibit agreement
  • Hosting meetings, demonstrations, or events in hotel rooms, hospitality suites, or other venues in connection with ESX without prior written approval from ESX
  • Promoting products or services to attendees in any manner inconsistent with ESX’s exhibitor and sponsorship policies

ESX reserves the right, in its sole discretion, to determine whether an activity constitutes suitcasing or unauthorized solicitation. Participants representing manufacturers, service providers, or other commercial entities who are not official exhibitors or sponsors may have their registration denied, canceled, or revoked at any time.

Any participant found to be in violation of this policy may be removed from the event without refund, have their credentials revoked, and may be prohibited from participating in future ESX events. Additional action may be taken at ESX’s sole discretion.

 

Liability

Liability Waiver and Release: In consideration of being allowed to register for and participate in ESX, you hereby represent that you are 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue ESX or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after ESX, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the gross negligence of ESX. This Liability Waiver and Release is binding on your heirs and assigns.

Photography/Video

On occasion, you may be photographed, video-taped, or audio-taped in connection with ESX. By registering to attend ESX, you are granting ESX permission to record your image, voice, comments, and questions during ESX. As a participant in ESX, you agree that ESX is the sole owner of all rights in and to any the resulting photographs, screenshots in the virtual experience platform, video footage and recordings (both now and in the future). Your name and likeness may be used by ESX in advertising and promotional materials. You shall receive no compensation or royalties for appearance in any materials.

Data Privacy

As part of your registration of ESX, ESX may share the data you provide ESX with third party vendors, to make you aware of goods and services you may be interested in, to perform analytics, and in connection with ESX and for such other purposes as ESX may approve from time to time. Your registration may include technology that monitors your activities throughout ESX, such as session attendance and booths visited.

Content Recording

Participants acknowledge and agree that, to protect the integrity of ESX educational programming and the intellectual property rights of speakers and presenters, recording of any kind is strictly prohibited during all education sessions and Main Stage presentations.

Without prior written consent from ESX management, participants may not:

  • Audio record
  • Video record
  • Photograph slides or presentation materials
  • Livestream
  • Broadcast, retransmit, or otherwise distribute session content in any format

All session content, including presentations, materials, and discussions, is the intellectual property of ESX and/or its respective speakers and is protected by applicable copyright and intellectual property laws. Violation of this policy may result in immediate removal from ESX, revocation of event credentials without refund, and any other action deemed appropriate by ESX, including potential legal action.

ESX reserves the right to change, amend, add or remove any of these Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions should become invalid, the remaining will continue to be valid and apply. These Terms and Conditions apply to all ESX participants (attendees, speakers, sponsors, exhibitors, etc.). The views expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily those of ESX. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporate presentations, marketing collateral, and/or advertising.
