WPCafe Integrations with Bit Flows – Automate Online Food Ordering in WordPress

WPCafe Integrations: WPCafe is a restaurant management plugin for WordPress that helps you create food menus, accept online orders, manage pickup or delivery schedules, and handle table reservations.

Bit Flows integrates with WPCafe to let you build automated workflows. Whenever something important happens in WPCafe, such as a reservation being created, updated, cancelled, or a notification for an order or reservation being sent, Bit Flows can automatically run a flow based on that action.

In this guide, we’ll show you how to use WPCafe as a trigger to start your first WordPress restaurant automation with Bit Flows.


How to Setup WPCafe Workflow Automation with Bit Flows

First, go to your Bit Flows Dashboard, click on Flows, and then either create a new flow or open an existing one. If you are new to workflows, follow this guide to know more about creating a workflow in detail.

After creating or opening an existing flow, you’ll be taken to the Flow Builder screen.

In the Flow Builder, you’ll see a section called Trigger. Under that, click on “Select an App.” Click on the “Apps” and a list of trigger apps will appear. Then from the search bar, search for your preferred apps (WPCafe).

After selecting WPCafe, a list of available events for this action will appear. From the list, choose your preferred event. For example, we’ve selected the first option, “Reservation Created.”

  • Reservation Cancelled Notification Sent
  • Order Notification Sent

After selecting your preferred event, a popup will appear prompting you to click the “Listen Response” button. This will capture the required data, which will then be used in the next step of your automation workflow.

After clicking the “Listen Response” button, create a reservation in WPCafe to generate sample data.

Then return to your workflow, and you’ll see that the reservation data has been successfully captured and is now available for use in the next steps of your WPCafe automation.

After finishing these steps, close the popup and click the plus (+) icon to add an Action. Next, you’ll need to add and authorize an Action. In the Flow Builder, click the plus (+) icon on the right side to add an Action. You can add multiple actions and also use tools like Router, Condition, Delay, Iterator, Repeater/Loop, or JSON Parser to build advanced workflows.

In this example, we’ll send reservation data to Google Sheets as part of a simple restaurant reservation automation workflow. To add Google Sheets as an action, click the (+) icon, search for Google Sheets, and select it. 

The available events will appear. Choose your preferred event for this action. We’ve selected “Add Row” as the event type.

A popup will appear asking you to establish a connection. If you don’t already have a connection with Google Sheets, click “Add Connection” to create one. For detailed instructions on how to establish a connection with Google Sheets, please follow this guide.

After successfully connecting to Google Sheets, you can either create a new spreadsheet or select an existing one. Choose your preferred spreadsheet, select the desired sheet (tab), and then map the row fields accordingly.

Once everything is set up, click “Test Run” to verify that the automation is working correctly.

Finally, open your selected spreadsheet and confirm that the reservation data has been successfully added as a new row based on the fields you mapped.
